Ocean Server Upgrade July 28th 2020 Release Notes

The Ocean Server upgrade scheduled for July 28th, 2020 at 9:30 PM EST contains the following improvements and fixes. 

 

eReferral

Improvements

  • Improvements to the selection and behaviour of the buttons that are displayed for Referral records in the “Awaiting Reply” folder.
  • Ocean referral reference number now appears in the page footer of the Referral PDF Downloads.
  • If the site’s logo is saved in the directory listing, it will now display on the PDF Referral Patient Handouts and Notification Sheet.
  • The referral record will now have appended to it a ‘Forwarded by _____  to _____ on <forwarded date>’ note for each forwarding event (not just the latest one).
  • The eRequest Types in the Website Form Link Configuration panel has been updated to appropriately handle Patient Self-Referrals, and display them in the eReferrals view instead of the Website Form view.
  • OSCAR clients with a Cloud Connect integration will no longer see the ‘Download’ button in the Ocean toolbar as it’s no longer necessary (see Note below).

Fixed Bugs

  • The ‘Needs Review’ yellow icon no longer appears for referrals in the New tab that were simply referrals sent with attachments.
  • Ocean users can now enter an unbounded DARC/T entry even if there is a previous appointment on the referral.
  • Users creating an eReferral using Internet Explorer can now add an appointment time to the referral's scheduling pane.  (An appointment time has to be entered manually before the dropdown shows.)
  • Resolved a bug that was causing some directory listings that were approved by a Regional Authority to still require validation.
  • Resolved a bug occurring when an eReferral record was open and then the browser ‘Back’ button was selected, resulting in the user being redirected to the previous portal view, rather than to the eReferrals view.
  • Resolved a bug so that an OSCAR user is able to preview HTML attachments within a browser rather than initiating a download.

 

Patient Engagement

Improvements

  • The new Website Forms and Online Booking views have been simplified by removing unnecessary columns (i.e. Source, Site, Protocol, Priority, Noted from Online Booking and Source and Site from Website Forms). They also now present records in reverse chronological order by default.
  • Website forms that are used to enable patient self-referrals can now be configured to behave and appear in the eReferral view instead of the Website Form view.
  • The confirmation text displayed to patients after they submit a reply to a secure message has been modified.
  • The Ocean User Account view has been updated to follow the pattern of the new navigation and launcher user interface.
  • Improvements to the Online Booking settings user interface.
  • The OSCAR Cloud Connect integration now supports the ability to write measurements in OSCAR (e.g. PHQ-9 values).  (see Note below)

Fixed Bugs

  • Resolved a bug that was preventing demographic fields (e.g health card validation number) provided in online booking confirmations from updating the EMR record.
  • Addressed issues impacting the ability to display the new Ocean navigation and launcher features on Internet Explorer.
  • Additional redirect support from the old Ocean portal URL to the new portal URL.
  • Resolved issue in which refreshing the edit booking link page results in an error, empty page, and navigation to stop working.
  • The new user menu no longer displays deactivated sites.

 

Note:    Ocean now has a comprehensive Cloud Connect integration with OSCAR. This means that OSCAR users will have many of the same features for eReferral and Patient Engagement as other Ocean-EMR integrations. The integration is only available to beta testing sites at this time. Please contact your OSCAR Service Provider for details about their plans to support this integration.


Ocean Server Upgrade July 7th 2020 Release Notes

The Ocean Server upgrade scheduled for July 7th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

Note:    Ocean now has a comprehensive Cloud Connect integration with OSCAR. This means that OSCAR users will have many of the same features for eReferral and Patient Engagement as other Ocean-EMR integrations. The integration is only available to beta testing sites at this time. Please contact your OSCAR Service Provider for details about their plans to support this integration.

eReferral

New Features

  • OSCAR users can now send eReferrals directly within the Consult panel, upload attachments with the eReferral, as well as have the referral note automatically download into the patient chart. OSCAR will now also automatically update the status of the eReferral within the Consult panel (see Note above).
  • Ocean will now automatically create a new patient chart within OSCAR upon import of an eReferral. If a patient chart already exists (a valid health card number match), Ocean will update the existing record automatically upon import (see Note above).

Improvements

  • When a referral is flagged for review by a site, the referral will now be left in the Pending Booking folder, and a copy of it will be moved to the Needs Review folder. The light grey message bubble icon on referrals within the portal will be replaced with the yellow icon indicating the referral has a message needing review. 
  • A new information flag was added beside the health number field on referrals, so users can be encouraged to add alternate health number identifiers (military id, refugee #, etc) for patients without a health card number. This information has also been added to the “Omit health number” prompt to encourage users to add a number which allows Ocean to track the patient’s referral history. 
  • A “Booked Appointment” column has been added to the "For Me" folder, and an "Appointment Type" Column has been added to to the Booking folders for any Ocean sites with more than one appointment label.
  • A validation step has been included before importing eReferral notes into PSS and Oscar to ensure they are being added to the correct patient record. 
  • DARC/DART date fields can be left empty and edited over time. An error will appear for the user if they attempt to add an appointment to the referral, without first adding in the end date of the DARC/DART.
  • A locking mechanism has been implemented to ensure sequencing across API endpoints.
  • The PSS Ocean Custom Form setting in Cloud Connect is now able to be set per-site across multi-site clinics. 
  • The "Print Notification Sheet" action in the “Notify Referring Provider” prompt now launches the new Status Notification Sheet PDF download.

Fixed Bugs

  • Attachments uploaded to referrals from the Accuro EMR can now be previewed within the browser.
  • The Enter key can now be used to trigger referral printing when the Action menu is opened.
  • Resolved the overlap of text appearing in the PDF downloads.
  • An "Electronically Signed" label was added beside the referrer's signature in the newly formatted PDF downloads.
  • Resolved issue preventing the resubmission of inbound referrals that were transcribed and then declined at Central Intake.

Patient Engagement

New Features

  • Ocean Portal has a new menu that collates the main product modules, views and resources into a single location to make navigation quicker and the user interface cleaner and more intuitive. 
  • Ocean now offers an ‘in-house product tour’ to familiarize new users to the Ocean portal and to highlight new features to current users. 
  • On the My Account page, users can now set an Ocean Portal default landing page. 
  • Ocean can now sync with the OSCAR appointment schedule and automatically update the appointment status via Ocean kiosks and reminders (see Note above).
  • Ocean can now automatically update OSCAR patient demographics, as well as other clinical data bands, from Ocean online messages, web forms, kiosks or tablets (see Note above).

Fixed Bugs

  • Completed forms can now be downloaded as individual progress notes into PSS.
  • Patients can now download secure message attachments multiple times even after clicking ‘I do not need to see this again.
  • Addressed an offset calculation error that was impacting Accuro clients in timezones with nonzero minutes portions (e.g. Newfoundland).
  • Addressed an eForm date format error that was impacting Accuro patient information updates.
  • Resolved issue that was causing Accuro PDF file attachments to become corrupted.

 


Ocean Server Upgrade June 16th 2020 Release Notes

The Ocean Server upgrade scheduled for June 16th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

New Features

  • A new option in the Notes pane that enables referral notes, such as assessment outcome notes, to be downloaded and printed. 

  • Ocean support for OSCAR eReferrals (via Cloud Connect), including creating a new patient chart, automatic new consult creation in the consult tab, automatic updates to the consult status and automatic download of referral notes into the patient chart.

Improvements

  • Accuro EMR users will now have medical summary data (diagnoses,medications, allergies) auto-populated into new eReferrals.

  • Reconciled the current Action menu options for downloading and printing the Referral Letter/Receipt, and replaced with two new options: Download Referral Record and Download Referral Note. The Referral Record will be a complete pdf with Notes, Messaging and Attachments included on the referral. The Referral Note will include only the General section and the Referral Note.

  • eReferrals routed to a Central Intake now include the name of the original requested referral target in the Referral Record/Note pdfs above. 

  • Phone extensions can now be added in the phone number field in patient demographics and referrer information of the eReferral form.

  • Updated the "To:" Line in Referral Messages to Include Referrer's Name with the Site Name.

  • Added an "Accepted as Walk-In" Folder to the set of Sent Folders in the eRequest Tab.

  • Added a pop up HRM Error when a referral message attempts to send through HRM and fails.
  • Updated the logic used to assign the listing name during the Caredove sync to rely on the health service name passed from Hubly.
  • Improvements to the CMD admin directory tab to assist with the review of listing claims.

Fixed Bugs

  • Fixed an ElasticSearch bug in the Health Map, where a listing failed to be returned due to a catchment area being nested in one of the offerings.
  • Fixed bug related to the move of buttons into the autoDirty zone of the referral scheduling pane which is causing Sentry crashes and referrals to crash on close.
  • Appointment label is now assigned Wait1 correctly regardless of the sequence of labels added.
  • Purge date displayed in the Event Log is now correctly updated when a review is requested on a referral, and for referrals in the New box.

 

Patient Engagement

Fixed Bugs

  • Clinics using online booking with Med Access EMR can now allow patients to book across all providers associated with the clinic.
  • Contiguous appointment timeslots within a schedule within similar appointment types can now be booked as separate appointments without requiring a time gap between them.
  • The attachment upload feature no longer flag jpgs from Android as truncated and failing website form submissions.
  • In Cloud Connect, PSS users may now enter the EMR secret and ID in either sequence.
  • An error related to an undefined site number when navigating to the eForm editor from the Online Booking schedule edit page has been addressed.

 


Ocean Server Upgrade May 26th 2020 Release Notes

The Ocean Server upgrade scheduled for May 26th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

New Features

  • A new Patient Handout option is now available to print/download in the referral’s Action menu. This handout includes the referral’s appointment date/time, location (with map), booking comments, and booking attachments. This can be used to provide a patient, who is not receiving email updates, information about their appointment.
  • A new Status Notification Sheet for referring providers is now available to print/download in the referral’s Action menu. This sheet includes the status information, appointment date/time, appointment confirmation status, booking comments, and booking attachments. This can be used to notify a referral sender, who is not using Ocean, of updates regarding their referral.
  • The following Health Service Offerings were added; Assistive Equipment, Personal Care, Independent Skills Learning, and Registered Psychotherapy.

Improvements

  • When declining a referral, the box for messaging the reason for declining the referral will now auto-expand as the user types.
  • The “Est. Wait 1” and “Est. Wait 2” labels in the scheduling pane have been updated to state “Anticipated Time to Appointment”. If the appointment label has been configured for the listing, this new label will also be updated to reflect which appointment the wait time is associated with. 
  • The “Protocol” column was added to the “Needs Review” and “For Me” folders in the eRequest tab.
  • For declined referrals, the patient email notification (if chosen to be sent), now has the declined status above the location details. A line was added to the bottom of the email that states: "There is no action required from you at this time. You will be contacted directly, either by phone or email, regarding your referral."
  • For cancelled referrals, the patient email notification (if chosen to be sent), now has the cancelled status above the location details. A line was added to the bottom of the email that states: "If you have any questions regarding this cancellation, please contact your health care provider."
  • If a referring provider resubmits a cancelled or declined referral, the referral Sent Date will now update to reflect the date the referral was last submitted.
  • Two new referral analytics were added to help capture how many times a referral is resubmitted (resubmissionCount), and when the referral was initially sent (referralInitialCreationDate).
  • The Caredove listing sync was updated to include a handful of new mappings.
  • Added the srcSiteNum to the referral payload, to be used through the API.

Fixed Bugs

  • Fixed a Server Error that was generated when clicking "OK" on HSO Settings on a listing without making any changes.
  • The reason for the "Proceed with eReferral" field is now mandatory for referring providers to select in the eConsult workflow.

 

Patient Engagement

New Features

  • eForms can now be configured to include a ‘flag’ in the subject and body of Ocean form completion email notifications (e.g. “The response has been flagged as RED”). This can be used to visually triage whether form submissions require urgent review. 

Improvements – Website Forms

  • When a redirect URL is configured upon completion of the website form, the patient is shown a ‘message submitted’ confirmation message prior to being redirected.
  • Ocean users can preview the file attachment contents prior to downloading it.

Improvements – Online Booking

  • The setup configuration panel provides updated direction on how to complete an online booking schedule.
  • Increased instruction clarity on the appointment confirmation page.
  • Online booking requests can be filtered by provider in the eRequest tab.

Fixed Bugs

  • In the OceanOnline Patient tab, the ‘search by surname’ option disappeared when a space was entered into the patient's last name.
  • Ocean was including patients whose notes had been downloaded in the weekly "site data removal" email notifications.
  • Online booking eRequests that had been imported into PSS were not updating the mapped demographics.

 


Ocean Server Upgrade May 5th 2020 Release Notes

The Ocean Server upgrade scheduled for May 5th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

New Features

  • Added a new option to batch print eReferrals from the Ocean Portal. This is done by choosing referrals within a specific folder, applying filters (such as listing, service offering, or booking date range), and then clicking Print Referrals to generate one pdf of the referrals listed to print.

Improvements

  • Added a “Cancel” button to the bottom of the full-screen referral display.
  • Added an “Import into EMR” option to the Action menu, so referrals can be imported into the EMR at any point in the referral workflow.
  • Updated the date field formatting for referral creation date, message date, and review date found in the Referral Messages Export. 
  • Changed language in referral email notifications so the status is marked as “Completed as eConsult” rather than simply “Completed”, when appropriate. Also updated the “View” button to state “eConsult” when appropriate. 
  • Added a new Integration Permission for referral messaging attachments, separate from referral messaging. Updated the messaging pane UI if messaging is disabled for an integrated referral target.
  • eReferrals can now be updated to “Completed” through the API, regardless of appointment status.

Fixed Bugs

  • Improved error handling when users link their Ocean account to their EMR user on the HealthMap. The user’s default site will no longer need to be set to the site their EMR is integrated with, and Ocean will prompt if the user does not belong to that site.
  • Fixed a bug that prevents users from successfully removing site favorites in the HealthMap.
  • Fixed a bug that caused eConsult “Needs Review” reminder notification to only be triggered once at the 7-day mark, rather than every 7 days moving forward.

Patient Engagement

New Features

  • Developed an “Office Hours” feature that allows providers to specify hours that should not be available on the schedule for online booking. 
  • Added an Import Button to the Action menu to streamline the steps required to import notes from eRequests (website forms, online booking, eReferrals) into a new patient stub chart. 

Improvements – Website Forms

  • Updated language on the import message window to explain how to import attachments into the EMR.
  • Streamlined the process of attaching files to website forms.
  • Added validation step when the patient selects to include an attachment that s/he cannot proceed if an attached file is not detected.
  • Updated the Referral Import Dialog to indicate that website forms are being saved as Documents rather than encounter notes if the Documents setting is configured.

Improvements – Online Booking

  • Added an “Add to Calendar” option to on Online Booking confirmation emails.
  • Changed “Check In” button to “Submit” on Patient Authenticator. 
  • Updated language on the booking’s confirmation screen from “"Please check your email inbox to confirm the appointment" to "An email has been sent with this appointment information."
  • Users will now be prompted to save if they try to navigate out of the Provider Schedules view with unfinished changes.
  • Added a validation check and prompt for the user to remove an appointment type from a Provider Schedule before proceeding.to delete that an appointment type. 
  • Updated the patient-facing Request Declined language that appears when attempting to book multiple appointments to clarify when the patient will be permitted to book a subsequent appointment.
  • Online Booking submissions are now reported as a separate section and listed by provider in Ocean weekly reports.

Fixed Bugs

  • Fixed a bug that caused completed forms that were emailed as Web Questionnaires to show up in the EMR as partially completed.

 


Ocean Server Upgrade April 14th 2020 Release Notes

The Ocean Server upgrade scheduled for April 14th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

Improvements

  • The Review Form will now open to the right of the Referral Form when opened (rather than in a new window). This now allows users to scroll the Referral Form while the Review Form is open.
  • The Print Letter Action will now log “Letter Printed” events in the referral’s event log.

Fixed Bugs

  • Fixed a bug  so that “Accept as Walk-in” is the default option on referrals that have been forwarded and assigned to a Walk-In Health Service.
  • Fixed a bug that caused the referring site’s MRN to be used instead of the recipient site’s MRN when printing the letter from the action menu.

 

Patient Engagement

New Features

  • Developed a feature for Inbound Secure Messaging that gives patients the ability to send messages and attachments to their provider using a website form. For more information, see this article: How can I set up a Website Form for Inbound Secure Messaging?
  • Patient Authenticator can now be used on website form submissions. 

Improvements

  • Improved the configuration for “Ensure bookings are at least XX day(s) in the future and are not more than XX day(S) in the future”. Both days and hours may be entered now.
  • Improved the workflow for online booking so that patients can elect to receive an email confirmation immediately and automatically after the booking, facilitating online cancellation.
  • Post booking forms will  show “Next” instead of “Finish” even when there are no eForm actions to prompt the patient to complete the booking form.
  • Added appointment details (date, time and provider name)  to the online booking confirmation email.
  • Online booking confirmation emails will reflect virtual appointments if the appointment type selected was configured to be a virtual appointment.
  • Users will now have the ability to add editable text to the  Patient Authenticator for Online Booking.
  • The Patient Authenticator for Online Booking will inform the patients that they must be registered at the clinic if “Patients must be pre-registered at the clinic” setting is enabled.
  • Changed the labels in the Website Forms (eRequest) configuration dialog from “Medical Professionals, For Patients, Inbound Message” to “eReferrals, Website Form, Inbound Message”
  • Improved Online Booking usability for mobile devices. 
  • Basic contact information from the patient’s chart (i.e email address) will now pre-populate after the patient is authenticated.

 Fixed Bugs

  • Fixed the Alternative Provider Schedule configuration for Online booking so the same Provider schedules cannot be configured multiple times.
  • Fixed a bug that prevented Ocean from populating the next of kin number in Accuro when there are dashes.
  • Fixed a bug that made the minimum cancellation window for appointments booked online 24 hours when the value is set to 0.
  • Fixed a bug so users must enter EMR appointment types for all appointments when appointment type mapping is on.
  • Fixed a bug that affected the link to book a new appointment after cancelling appointment from the appointment confirmation window.
  • Fixed a bug that made the import window appear when accepting an eReferral, despite EMR type showing as "NONE" in the portal. 

 


Ocean Server Upgrade Mar 31st 2020 Release Notes

The Ocean Server upgrade scheduled for March 31st, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

New Features

  • The Ocean Healthmap now syncs Caredove listings on a nightly basis via Hubly.

Improvements

  • Updated the referral purge rules for Rapid Access Clinic sites to be 12 months after the initial assessment date booked on the referral.
  • Added an “Add to Calendar” option for upcoming appointment dates received through patient referral booking notifications. 
  • Removed past appointment details in patient booking notifications when new appointments are booked. 
  • Updated the email subject lines of patient email notifications to be in a consistent format based on the action that generated the notification (ex. Health Referral - Sent, Health Referral - Booked, etc.)
  • Added a new prompt for referral senders to notify patients when cancelling a referral (rather than sending it automatically). 
  • Referral senders now have the ability to resend patient booking notification emails.
  • Updated the wording on the “Obtain Patient’s Email Consent” window. 
  • Child referrals associated with a cancelled Master Referral will now be cancelled automatically. Cancelled Master Referrals will generate an email regarding cancellation and an automated referral message that is flagged for review. 
  • Removed the duplicate HSO name from the Listing Configuration Screen so only the default Program Name is displayed.

 

Fixed Bugs

  • Fixed a bug that caused any requisition files,  added to listing’s health service offerings in the Ocean Healthmap, to not render and download correctly. 
  • Fixed a bug that affected the ability to sort eReferrals by Booked Dates in the Booked Confirmed/Unconfirmed folders found in the eRequest Tab.
  • Fixed a bug that caused Sent Referrals that are Declined/Cancelled to also appear in the Received/Declined Tabs. 
  • Selecting the Action Item, “Print Letter” will no longer log users out of the Ocean Portal. 
  • Fixed a bug that caused the Referral Export to only pull 20 referral records at once.

 

Patient Engagement

New Features

  • Ocean can now support the capture of non-binary gender values in the sex field of the demographic update screen.
  • Provide third party billing details in the Admin tab Billing panel. 
  • Online Booking eForms can now support demographic updates directly into the EMR (e.g. email address, virtual care consent).

 

Improvements

  • Added an Online Booking step by step setup guide and prerequisite requirements to simplify Online Booking configuration. 
  • Created a new provider schedule page so that users can easily configure and edit settings for each Provider’s Online Booking link. 
  • Added the ability to select  Provider prior to selecting Appointment Type in the Online Booking workflow to simplify the ability to customize each provider’s appointment type offerings.  
  • Updated the text displayed when a patient sends a reply to a patient message to confirm that the message was sent successfully to the provider. 
  • Updated the Tablet tab’s Health Card Validation panel  to mitigate misconfigurations caused by browser autofill/autocomplete settings.

 

Fixed Bugs

  • Fixed a bug related to Online Booking that prevented the primary provider restriction for schedules to work in Med Access. 
  • Fixed a bug that caused a site’s overdue patient notifications to be sent to the original sender’s email  even though the user account was no longer associated with the site. 
  • Fixed a bug that allowed space characters to bypass eForm email validation. 
  • Fixed a bug related to validation errors encountered when inputting the 4-character year value of eForm date fields.  

 


Ocean Server Upgrade Mar 3rd 2020 Release Notes

The Ocean Server upgrade scheduled for March 3rd, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

New Features

  • New Service Offerings Available: End of Life Care, Assisted Dying Inquiry Support,  Anger Disorders, Sexual Behaviors (synonymous to Sexual Behaviors Clinic), Forensics (synonymous to General Forensic Assessment), Upper GI Series, and Small Bowel Follow-Through.

Improvements

  • Submissions in the eRequests tab will now be viewed in full-screen.
  • Requisition Repository Listings will now display with a green print button in the Healthmap. The grey arrow on listings, not yet accepting eReferrals, will be removed.
  • Updated purge rules to extend the purge date for 12 months after the referral's latest forward date.
  • eReferrals will now automatically close when the "Save for Later" button is clicked on the Healthmap.
  • Added a new action menu item that allows users to print Referral Letters in a new tab without downloading the PDF.
  • Adjusted scroll bars of embedded iFrame in External Referral System Launch.
  • Adjusted wording on referral forms that are set-up with the External Launch Integration.
  • Reformatted referral sent date in patient email referral notifications to be consistent with the format of appointment date(s). Also added the day of the week to the patient’s appointment date(s).
  • Added language to the bottom of the “sent” and “forwarded” patient referral notification emails, to inform the patient that there is no action required of them, and they will be notified when the appointment is booked.
  • Enlarged and changed wording of "Confirm Appointment Button" to "Click Here to Confirm Appointment(s)" on patient booking email notifications.
  • Updated header of patient booking/rescheduling notification to indicate that patient confirmation for the appointment is required.
  • Changed wording in Booking Notification from "Comments" to "Important Information About Your Appointment".
  • Automatic notifications/reminders will be generated for eReferrals/eConsults that remain in the "Needs Review" folder after 7 days, and repeat every 7 days until the message is marked as reviewed.
  • Updated eConsult buttons for referrers to be in the order of "Completed", "Reviewed", "Proceed with eReferral", and "Done".
  • Added a new analytic field called eConsultProceedToEReferralReason.
  • The Import Window will no longer be triggered when the site's EMR is set to "None".

Fixed Bugs

  • Fixed a bug that affected the "Last Week" referral numbers in the Ocean Usage Report.
  • Fixed a bug that caused referral notes not to import into a receiving site when clicking "Review" on a completed eConsult if the patient exists in Ocean.
  • The "Proceed with Referral" option on eConsults will now trigger "Needs Review" email notification.
  • The Scheduling Pane will now be hidden after users respond as an eConsult for the second time.
  • Added logic to set the eConsultAcceptanceDate to the eConsultFirstMessageDate if the latter is populated without a formal acceptance of the eConsult.
  • Added logic to reset the eConsultAcceptanceDate to blank if no eConsult message was ever sent, and the eConsult was instead accepted back to a referral.

Patient Engagement

New Features

  • Redesigned the date selection widget on eForms to be more mobile friendly.
  • eForms used for Online Booking can now be used to update EMR fields (e.g. email address and consent.)

Improvements

  • Selecting the "Decline" option for Online Booking eRequests will now automatically  remove the appointment from the EMR scheduler.

  • The Ocean Platform now supports the ability to respond to an eReferral with an eConsult message. Functionality includes allowing the recipient to accept a referral as an eConsult, send an eConsult message, and track billable time associated with it.   • Updated the Patient Dashboard (commonly used by Accuro and Oscar referral senders/receivers) to a table format, so it more closely resembles how referrals are displayed in the Portal. Any active Sent and Received referrals for a patient are now separated into two tables, with a column to view the current status of the referrals at a glance.
  • Moved the set of “OK” buttons to the bottom of the Review form and added a scrollbar for longer forms, so the buttons are always visible when the form is opened.
  • The patient's Date of Birth field on referrals will now auto-populate the “/” marks, making it quicker to populate manually. Also added validation to the field to ensure a future date is not entered, and that a maximum of 4 digits is used for the year entry.
  • The referral messaging pane now clearly displays senders and receivers of messages by name and location. This includes the listing name followed by the organization name (if available) or Ocean site name.

  • Fixed an issue to ensure the Review form correctly pulls the updated referral analytic value from a previous Review note (if one exists), rather than the original value entered on a referral form.
  • When a referral is booked at a listing of type Rapid Access Clinic, the scheduledAppointment analytic and Wait1 analytic are no longer populated. Only the initialAssessmentDate and Wait1a are populated as expected.
  • The Scheduling pane on a referral now displays who will be receiving email notifications regarding the appointment (referrer and/or patient), before any updates are made to it. After the booking email notification is sent, a green check mark stating the patient was emailed the information will appear, when appropriate.
  • In the Booked Unconfirmed tab, for both sent and received referrals, you can now filter to patients with or without an email, to help streamline the booking confirmation process.
  • Fixed a bug where the MRN number field now accepts leading zeroes.
  • Fixed a bug where the CC field on referral printed receipts no longer overlaps the patient name.
  • Added text to the bottom of patient referral email notifications, to help inform the patient why they are receiving the notification and how to unsubscribe if desired.

  • New feature: Ocean Reminders have been enhanced with a more user-friendly user interface and new features. Reminders can now send for multiple upcoming appointments for the same patient in sequence, including appointments booked on the same day. It can now also send reminders for appointments booked farther in the future or post-visit forms farther beyond their initial appointment.
  • New feature: The Ocean Rule Builder: Implementing complex Javascript rules for Ocean Reminders and kiosk check-in rules is much more user-friendly thanks to a helpful contextual popup pick-list of scripting options.
  • Defining a custom walk-in provider for a particular kiosk is now easier thanks to an embedded contextual help link, an expanded scriptable area, and the new Rule Builder.

eReferral

  • New feature: Listings may now be configured to force users to sign in with an Ocean account prior to sending an eReferral or provider message to the listing.
  • New feature: Streamlined review of health service offerings in the Ocean Health Map: When users search for a particular type of offering, the offerings are now directly shown in the search results. Detailed information about the offering is shown automatically in-line when the match is selected, making it easier for users to review the relevant information.
  • Referrals that were manually fax-forwarded to offline listings claimed by a particular Ocean site will now display the Ocean site as a potential recipient instead of the offline listing (since the offline listing is usually unavailable to review the message).

  • The 'Email Note' option on a referral now sends an automated message to the referrer, flagging the referral for review, and updates the referral status in the EMR.
  • Fixed an issue to ensure completed Referrals that are subsequently Forwarded, arrive in the receiving site's 'New' folder.
  • Fixed an issue with Referral Email Notifications, to remove the 'Dr.' prefix for Nurse Practitioners.
