Ocean Server Upgrade Sept 17 2019 Release Notes

The Ocean Server upgrade scheduled for September 17, 2019 at 9:30 PM EST contains the following fixes and improvements.

eReferral

  • Updated the Patient Dashboard (commonly used by Accuro and Oscar referral senders/receivers) to a table format, so it more closely resembles how referrals are displayed in the Portal. Any active Sent and Received referrals for a patient are now separated into two tables, with a column to view the current status of the referrals at a glance.
  • Moved the set of “OK” buttons to the bottom of the Review form and added a scrollbar for longer forms, so the buttons are always visible when the form is opened.
  • The patient's Date of Birth field on referrals will now auto-populate the “/” marks, making it quicker to populate manually. Also added validation to the field to ensure a future date is not entered, and that a maximum of 4 digits is used for the year entry.
  • The referral messaging pane now clearly displays senders and receivers of messages by name and location. This includes the listing name followed by the organization name (if available) or Ocean site name.
  • Updated the messaging recipient in the Messaging Pane, such that the last message sender is defaulted as the recipient of the message.
  • The Edit Patient Information window for inbound referrals now includes a field to update the Health Card version code, if entered incorrectly.
  • The “Delete” option in a referral’s action menu will now only be available for referrals marked as test, or patient self-referrals.
  • Sending referrals with attachments larger than 10 MB, or incorrect file types, will now prompt the user with an error at the time the referral is sent.
  • Added a new Health Service Offering for “Cataract Surgery”.
  • Fixed a bug where EMR-based attachments could be purged from an incomplete referral before it was sent, resulting in an error when attempting to print or download the referral letter.
  • Fixed a bug where parentheses in file name attachments resulted in the file name being truncated when downloaded from the referral.
  • Fixed a bug where the confirmed status was no longer updating on the appointment in the Accuro schedule when confirmed on the Ocean referral.
  • Fixed a bug where a prior declined event was resulting in the referral incorrectly sitting in the declined tab at central intake.
  • Removed some legacy functionality where the payer of the site would be copied on specific referral email notifications, such as when a referral was resent or ownership is reclaimed.

Patient Engagement

  • Ocean username and password requirements are now displayed on the sign-up page and are validated prior to completing sign-up.
  • Fixed an issue that prevented users from accessing Ocean Support if they updated their email address in the Ocean Portal.
  • Fixed a bug with the Day Sheet to ensure that all appointments are being displayed if a patient has multiple appointments on the same day.

Ocean Server Upgrade Aug 28 2019 Release Notes

eReferral

  • Added a new “Review and Accept” and “Review and Decline” set of buttons to the referral’s Review form. These appear in a dropdown beside the Review button, when a referral has been assigned to a user for review. This allows the user to mark the referral as reviewed, as well as update the status, directly from the “For Me” tab.
  • Removed the ability for recipient sites to cancel referrals, as they should instead mark a referral as declined, when appropriate. The “Cancel” option will still be available in the Action menu for referral sending sites.
  • Fixed a bug where Oscar clinics using the KAI OSP, were noting the patient’s health card number and version code no longer populating Ocean eReferrals.
  • Addressed a rare edge case bug, where an Incomplete referral form could insert the referral into the incorrect patient chart if the Ocean patient reference number had been recycled.

Patient Engagement

  • Ocean Reminder emails now display the timezone of the appointment time.
  • Fixed an issue that could have allowed a patient to respond multiple times to a single Secure Message.
  • Fixed an issue that would occasionally prevent synchronizing appointments from an integrated EMR to Ocean.
  • Fixed an issue with Ocean usage reports to ensure Secure Message counts are consistent across "This Week", "Last Week", and the "Past 30 days".

Ocean Server Upgrade Aug 6 2019 Release Notes

The Ocean Server upgrade scheduled for August 6, 2019 at 9:30 PM EST contains the following fixes and improvements.

eReferral

  • Added new functionality to the “Needs Review” tab, so users can now filter to referrals needing review by a specific user at their site.
  • Incomplete referrals (referrals “Saved for Later”), are now re-launched in the Ocean Healthmap and use Single-Sign-On.
  • Updated the Forward pane so Central Intake and Rapid Access Clinic users can now select the Health Service Offering to assign to the referral at the time of forwarding (the selection will default to the referral’s current HSO, if a match is found at the selected listing).
  • Added a purge date to the bottom of the referral’s Event Log so users can now view the date a referral is scheduled to be removed from Ocean.
  • Fixed a bug where the referral could not be opened from an "email note" email notification.
  • Updated the referral status when an assessment report is emailed, to correctly reflect the site emailing the report.
  • Fixed a couple bugs associated with the “Please Wait” prompt that may appear when sending referral messages on slower networks. This will prevent duplicate messages from being triggered in short time frames.

Ocean Server Upgrade July 16 2019 Release Notes

The Ocean Server upgrade scheduled for July 16, 2019 at 9:30 PM EST contains the following fixes and improvements.

eReferral

  • The Completed, Incomplete, and Deletion Warnings folders, under the eRequest tab, will now automatically display the referral count without having to select the folder first.
  • Removed the “Redirect to this Site” Action menu item on referrals. Instead sites can now “Reclaim Ownership of the Referral” if the referral was revoked from their site, or if they declined the referral.
  • If you attempt to “Revoke Forward” on a forwarded referral that already has scheduled appointments at the new site, you will now be prompted to message the site to request they cancel the appointments before revoking.
  • Fixed a bug where revoking a forward was not resetting the appointment labels on the referral.
  • Fixed a bug where revoking a forward was not resetting the provider label correctly on the referral.
  • Users are now prompted for a reason for declining the referral, if left blank.
  • Fixed a bug with the booking date filters in the Booked Confirmed and Booked Unconfirmed tabs.
  • Fixed a bug where the messaging pane was hidden if the referral sender and recipient belonged to the same Ocean site.
  • The Ocean username is now excluded from patient cancellation emails
  • Cleaned up the referral summary message for when edits are made to a referral form. The message now excludes the invisible "$$" fields and has a couple extra checks to ensure the item was updated.

Patient Engagement

  • By default, Patient Group Messages are now limited to a maximum of 100 recipients. Configuring a custom 'From' address will increase the maximum to 1000.
  • Text Areas on forms now appear by default as two lines (different from a text field).
  • Patient messages are now ordered from newest to oldest, to make it easier for patients to review their most relevant messages.
  • The Patients Tab in the Ocean Portal now supports a message date filter using the format 'YYYY-MM-DD'.
  • The Patients Tab in the Ocean Portal now provides the option to "Load More" when a filter returns a large number of patients.

Ocean Server Upgrade June 25 2019 Release Notes

The Ocean Server upgrade scheduled for June 25, 2019 at 9:30 PM EST contains the following fixes and improvements.

eReferral

  • New feature: Referral summaries can now be saved as Documents in Accuro. Ocean admins can configure this option in Cloud Connect, and may need to re-authenticate with the Accuro API to enable this feature.
  • When sending a referral, the "Other referrer" option now clears Billing #, Professional Id and signature.
  • When a delegate is signed in, the "Other referrer" option now uses the delegate's email on the referral.
  • "Referral Notification Email" in the Admin tab of the Ocean Portal now properly validates a list of emails.
  • Central Intake is now notified anytime a message is sent on a referral.
  • The "Appointment Notification" action (in both Accuro and PS Suite) now allows the user to select the referral to update, and the appointment to apply.
  • The "Add Related Referral" action now maintains the confirmation status of the original referral.
  • The dropdown filter in the eRequests tab of the Ocean Portal now contains the Program name.
  • Fixed an issue that would set the source of a referral as "Directory" when using "Save for Later".

Patient Engagement

  • The Patients tab of the Ocean Portal now supports searching for patients that have messages, and filtering by Primary Provider.
  • The option to individually or bulk invite new users to a site is now prominently displayed at the top of the Users section of the Admin tab.
  • The Shared Encryption Key is now requested on administrator's first login, to ensure sites are properly configured.
  • Fixed an issue that could add an Ocean username to the default email template.
  • Fixed an issue that unnecessarily displayed seconds on appointment times in the daysheet.

Ocean Server Upgrade June 4 2019 Release Notes

The Ocean Server upgrade scheduled for June 4, 2019 at 9:30 PM EST contains the following fixes and improvements.

  • New feature: All-new Ocean Weekly Usage Reports. Reports are generated for each Ocean site and made available, via email, to all subscribed administrators. The new reports provide increased visibility into the users/administrators registered at your site, as well as high-level and detailed product usage metrics, across Patient Engagement and Referrals. Note: daily usage reports are no longer available.

Patient Engagement

  • It is now much easier to generate credentials for Accuro CDS links via the Ocean Portal. For convenience, site administrators can also view these credentials from the Ocean Portal.

eReferral

  • Added the ability for referral recipients to edit referring provider information fields on the referral. Note, that the referrer’s email can only be updated if the referring provider is not associated with an Ocean user.
  • The referring provider email is now hidden from the referrer’s section on a referral (the email used for referral notifications can still be found in the referral Event Log if needed).
  • Added a new analytic, “initialAssessmentSiteRef”, to capture the unique target reference of the assessment site, if the referral was sent to one.
  • Fixed some minor bugs associated with using the back button when browsing the Ocean Healthmap.
  • Referral notification emails will no longer state "The appointment remains scheduled for (no appointment scheduled)." when only booking comments are added to the referral.
  • Fixed a bug with removing favourited listings from the Ocean Healthmap.
  • Users can now go back into the EMR and add attachments either during referral creation or after it has been created.
  • Fixed a couple bugs with the Ocean Attachment Exporter flow, including avoiding duplicate attachments on Saved for Later referrals, and avoiding the “null” file name on attachments added to a sent referral.

Patient Engagement

  • EMR Field Mappings in the Ocean Portal can now map to Accuro Lab Values by Field and Subfield, meaning single lab tests can now support multiple lab results. See our support guide for more information.
  • Fixed an issue to ensure the Ocean Portal properly displays the Daysheet when a single patient has multiple appointments on the same day.
  • Added support for sending multiple appointment confirmation reminders for a single patient.
  • Added support for populating the @ptMemberStatus Keyword from an integrated TELUS EMR, to provide access to a patient's roster status.
  • Fixed an issue that could prevent Ocean from downloading the full list of appointments from an integrated EMR, if a partial (delta) sync ran across midnight.

eReferral

  • Added a set of new Health Service Offerings, including: Intensive Geriatric Service Worker, Foot Care Nursing, Group Exercise/Fitness¸ Hearing Loss/Deaf Support, Intrauterine Device Insertion (IUD), Pap Testing, Endometrial Biopsy, FIT-Positive Testing, and Specialty Drug Patient Support Program. Also updated the aliases for a variety of existing Health Service Offerings.
  • For Regional Authority listings the "Where do you work" drop down was removed from the Participant License Agreement.
  • Introduced a new form item reference “restrictedPhi”, that can be added to referral forms to hide the “Personal Health Information that is medically relevant has not been disclosed at the request of the patient.” checkbox at the bottom of the referral.
  • Updated the import window for Accuro users, so that after accepting a referral there is now a second line prompting the user with “The referral note has been added to the EMR as an encounter note.”
  • When creating inbound eReferrals, importing a listing with an email attached to it will no longer tie that email to the referral.
  • Fixed a bug where the description on a child referral was being wiped out by the review form.

  • Fixed an issue to ensure the Review form correctly pulls the updated referral analytic value from a previous Review note (if one exists), rather than the original value entered on a referral form.
  • When a referral is booked at a listing of type Rapid Access Clinic, the scheduledAppointment analytic and Wait1 analytic are no longer populated. Only the initialAssessmentDate and Wait1a are populated as expected.
  • The Scheduling pane on a referral now displays who will be receiving email notifications regarding the appointment (referrer and/or patient), before any updates are made to it. After the booking email notification is sent, a green check mark stating the patient was emailed the information will appear, when appropriate.
  • In the Booked Unconfirmed tab, for both sent and received referrals, you can now filter to patients with or without an email, to help streamline the booking confirmation process.
  • Fixed a bug where the MRN number field now accepts leading zeroes.
  • Fixed a bug where the CC field on referral printed receipts no longer overlaps the patient name.

Patient Engagement

  • New feature: Ocean Reminders have been enhanced with a more user-friendly user interface and new features. Reminders can now send for multiple upcoming appointments for the same patient in sequence, including appointments booked on the same day. It can now also send reminders for appointments booked farther in the future or post-visit forms farther beyond their initial appointment.
  • New feature: The Ocean Rule Builder: Implementing complex Javascript rules for Ocean Reminders and kiosk check-in rules is much more user-friendly thanks to a helpful contextual popup pick-list of scripting options.
  • Defining a custom walk-in provider for a particular kiosk is now easier thanks to an embedded contextual help link, an expanded scriptable area, and the new Rule Builder.

eReferral

  • New feature: Listings may now be configured to force users to sign in with an Ocean account prior to sending an eReferral or provider message to the listing.
  • New feature: Streamlined review of health service offerings in the Ocean Health Map: When users search for a particular type of offering, the offerings are now directly shown in the search results. Detailed information about the offering is shown automatically in-line when the match is selected, making it easier for users to review the relevant information.
  • Referrals that were manually fax-forwarded to offline listings claimed by a particular Ocean site will now display the Ocean site as a potential recipient instead of the offline listing (since the offline listing is usually unavailable to review the message).

  • The 'Email Note' option on a referral now sends an automated message to the referrer, flagging the referral for review, and updates the referral status in the EMR.
  • Fixed an issue to ensure completed Referrals that are subsequently Forwarded, arrive in the receiving site's 'New' folder.

New feature: Support Sites in Ocean. You can now designate a Support Site for your site in Ocean. Administrators in the Support Site will automatically be able to act as administrators of your site.

eReferral

  • Sites receiving a new eReferral will no longer get the "Forwarded" Referral email notification.
  • When free-text searching the Ocean Healthmap, suggested health services are now limited to a maximum of 10, with the option to show all.

Patient Engagement

  • Fixed an issue that could cause an Ocean user's name to display improperly when using single-sign-on from an integrated EMR.
  • Fixed an issue with batch patient uploads, to better handle patients that have been previously uploaded to Ocean.

Ocean Server Upgrade July 4 2018 Release Notes

The Ocean Server upgrade scheduled for July 4, 2018 at 9:30 PM EST contains the following fixes and improvements.

eReferral

  • The health map blue circle and radius setting has been replaced with a more intuitive search interface that uses the map boundary as the search area. Empty searches will prompt the user to optionally zoom out or search the entire directory to find results.

  • Users can drag and drop on the map and subsequently choose a "Search This Area" button to update their search with the new map boundary.

  • The wait time and distance sorting now displays an ascending sort icon when clicked.

  • Users can now enter a creation date for a referral when entering a New Inbound referral.

  • Listings are now sorted by proximity when accessed using the API (e.g. for CarePortal)

  • In the EMR and the Patient Dashboard summary of a referral, it now displays " - Confirmed" immediately next to the appointment date/time, rather than listing the confirmation status later in the summary.

  • Fixed a bug that could occasionally result in a popup error showing a problem with "sessionStorage" when a user performs a number of interactions with the map.

  • Notification emails sent to clinic administrators that involve pending eReferral purges are now sent to the clinic's referral notification email (if specified) instead of the clinical delegate or system administrator email.

  • Referrals that involve rapid assessment clinics are now available to the rapid assessment clinics using the "initialAssessmentSiteNum" analytic API field. They are also included in the referral analytic export for these sites.

  • The Booked Unconfirmed tab will leave its "Start Date" as blank by default now to reduce confusion for users who are looking for past-booked referrals.

  • The favourites view now in the health map no longer displays a green arrow icon.

  • Fixed a bug that resulted in "New" and "Accepted" referrals showing in the Booked Unconfirmed tab whenever the booking date was cleared from this tab.

  • Fixed a bug that could display an error stating, "Regional authority not found" when the Send Referral Dialog is opened in OceanHealthMap.ca for an unaffiliated SCA listing after previously reviewing an SCA-affiliated listing.

eReferral

  • The map-based directory search engine now uses ElasticSearch for advanced geometric and keyword-based search support. This engine greatly enhances the flexibility and scalability of directory searches.
  • Catchment areas are now supported.
    • These areas can be populated for select health service offerings (such as those for Palliative Homecare or Meal Services) in the offering's configuration. Areas are defined as a customizable array of map polygons, providing considerable flexibility for disjoint and complex areas.
    • Map searches for these select health services will look for health service offerings whose catchment area spans the pinpointed area of interest in the map.
  • Directory listings can be sorted ascending or descending by wait time and distance by clicking on the respective column header.
  • The appointment "slot" names for Appointment 1 and Appointment 2 can be reassigned to a list of possible names, including Surgery Date, Consult Date, Follow-Up Date, etc. These slot names are clearly shown in both the online view of the referral as well as email notifications.
  • Scheduled dates for referrals prior to 2018 can now be entered for retrospective data entry purposes.
  • Email notifications for appointment cancellations and reschedules have been improved to clarify for the referring site how these dates have changed.
  • Email notifications are skipped when dates are entered in the past (as long as this change is the only significant change made to the referral)
  • For clarity and consistency, referrers are now directed to their user setting page when they choose to edit their contact information, instead of entering it inline.
  • Listings can now be categorized as a "Rapid Assessment Clinic", which can be used to set the "initialAssessment" analytic fields
