  • Enabled Autofill Templates for all Ocean users so the autofill dropdown appears in eligible referral send workflows
  • Added custom export template support for eSubmission analytics so sites can generate tailored eSubmission reports using core and custom fields.  
  • Added eSubmissions to the default landing page options so users can choose to open Ocean directly to their eSubmissions page after login. 
  • Improved eFax referral messaging so Ontario Health eFax recipients are clearly shown as unavailable message targets, while users can continue messaging eReferral participants included in the workflow (Ontario Health).  
  • Added eConsult disclaimer copy to the directory listing setup page so users understand Ontario funding limitations when configuring a listing to accept eConsults (Ontario Health).

  • Resolved an issue whereby eSubmission senders received an error message when attempting to send an eSubmission with an attachment.

  • Added a new HealthMap icon and hover details for eFax listings to give referral senders greater clarity which eRequest features are supported and what updates/communications to expect.  

Fixed Bugs

  • Fixed directory listing configuration so site admins and support users can select the correct organization values for listings during setup.  
  • Resolved referral PDF downloads so PDFs can still be generated and downloaded even if an intermediate listing in the referral path has been deleted.
  • Improved the referral declination workflow so duplicate decline actions from multiple browser tabs no longer decline the referral all the way back to the sender.  
  • Resolved a bug preventing the display of masked eSubmission records to a user that does not have the Shared Encryption Key in their browser.

  • Resolved patient cohort upload and export issues so cohort names with leading spaces or special characters can be searched and exported correctly.

  • Improved eForm performance to reduce load times on large forms (this change does not guarantee that every eForm will load more quickly).  
  • Users are now required to enable two-factor authentication (2FA) before creating a new Ocean Site.  
  • Users are now required to have 2FA enabled before logging in to Cloud Connect.
  • Updated the copy in the Ocean Cloud Connect prompt for a permission code when users attempt to view the SEK. 
  • Users will now see a pop-up prompting them for their Ocean user account password and 2FA code (if applicable) before they can edit integration information within the integration settings page. 
  • Improved the reliability of background EMR updates such as sending documents, notes, or other updates into the EMR, so they are less likely to be delayed during busy periods. 
  • Improved TELUS PS Suite appointment sync reliability by addressing timeout issues when retrieving schedule/appointment data.

  • New Feature- eSubmissions: launched a new Ocean feature for securely sending form submissions to trusted third-party or government recipients. eSubmissions support form-based workflows where information needs to be sent, tracked, and managed through a dedicated submission process, such as specialized drug authority requests. With this initial release, users can send and receive eSubmissions, manage them through dedicated dashboards, view submission details and history, exchange messages and notes, manage attachments, track status updates, and identify submissions that need review.  (Note: Please contact OceanMD for more information about which provinces are offering eSubmissions)
  • Disabled the ability for a referral sender to cancel an active referral that has been sent to a receiver using the Ontario Health eDigital Transfer (eDT) mechanism. The sender will be presented with a clear in-product explanation when they attempt to cancel. (Ontario Health)
  • Updated Provincial Care Coordination Gateway (PCCG) payloads for embedded website referral forms to consistently include requester organization details when required. (Ontario Health) 
  • Updated Regional Authority export APIs to return results in JSON format for easier integration and reporting.

Fixed Bugs

  • Resolved an issue with EMR notification workflows so that EMR charts that were automatically generated on forwarded referrals are now updated with referral PDFs when the referral is subsequently declined.

  • Integration settings now hide saved authentication credentials (e.g. API keys/ secrets/ passwords) and provide safer “compare” and “change” options without ever displaying the stored value.
  • Augmented security auditing for password resets and changes, including when an Ocean administrator resets a user’s password, so these actions are easier to find and investigate.
  • Improved performance when loading patient information by removing a duplicate lookup.
  • Introduced distributed Spring Integration queue support so messages are handled more reliably in horizontally scaled (multi-server) environments.

  • Providers who send referrals to Ontario Health eFax destinations will now only have access to actions that are supported by eFax (Note: messaging, updating the referral or editing patient details are not supported by eFax destinations). 

  • Test listings configured to be in demo mode” are now included in the Ontario Health PHSD directory sync and clearly identified as “demo” listings.

Improvements

  • Updated the minimum supported tablet version to 191. Devices running earlier versions are now required to upgrade to continue use. 

  • Updated the patient details panel so the patient’s name appears as a clear, clickable link for quick access to the patient dashboard.

Fixed Bugs

  • Resolved an Online Booking issue so that patient-level booking duration restrictions are correctly reflected in slot availability when combined with booking window restrictions.

  • New Ocean Open APIs are now available for Regional Authority sites to retrieve export data (listings, sites, users) to support automated reporting and data workflows. 

  • The Regional Authority listing export now includes additional audit and metadata fields. 

  • Enhanced the integration error notification emails by including the referral reference identifier of an undelivered payload and additional clarity on next steps for troubleshooting. 

  • Improved Ontario Provincial Care Coordination Gateway (PCCG) connectivity by ensuring outbound FHIR referral payloads always contain at least one identifier in the Practitioner and Patient resources (Ontario Health). 

  • Ocean directory listings in test-mode now include a metadata test tag in the upload sync to the Ontario Provincial Health Services Directory (PHSD), so that test referrals can be clearly identified and filtered (Ontario Health).

  • Resolved an issue so that resubmitted referrals will correctly update the OSCAR Pro consultation status back to an active state.  
  • Resolved a bug that was causing misalignment between data and column headers when exporting referrals from the eReferrals & eConsults page.

Improvements

  • Team-Based Booking links can now support multiple grouped schedules, giving clinics more flexibility when configuring booking options.  

  • Added a filter to Website Forms folders to select a specific ‘received date range and improved related query logic, to make filtering faster and easier.

Fixed Bugs

  • Resolved an issue so that all online appointment bookings sent via the FHIR Patient Engagement integration contain the associated practitioner.

  • When sending a eReferral/eConsult to a directory listing with multiple health service offerings, Ocean now requires users to select the appropriate offering before sending.
  • eFaxed referrals that don't successfully reach the Ontario Provincial Care Coordination Gateway (PCCG) will now send a technical declination message to the sender. (Ontario Health)

  • Resolved an issue where filtering referrals by MRN could cause “next” navigation/search to fail.

Improvements

  • Improved the kiosk walk-in flow for clinics using FHIR-based CloudConnect appointment integration such that walk-in appointments are automatically placed in the correct spot on the provider’s schedule. 
  • Introduced inline validation for online booking to prevent users from saving booking schedules with a zero future booking window and improved booking configuration clarity. 
  • Added an Accuro configuration option for online booking that limits patients booking options to the provider they are enrolled with.

Fixed Bugs

  • Improved Health Messenger failed login attempt tracking so it resets after a successful login and shows lockout messaging at the right time.
  • Implemented fix to prevent Health Messenger from clearing credentials when a patient ends the session while completing a form.
  • Resolved Accuro appointment status mapping issue so that appointments can no longer be confirmed after they have been cancelled or rescheduled.

  • Early Release of New EMR Notifications in partnership with Nova Scotia: Med Access and Accuro users can now configure EMR notifications for their sent Ocean eRequests — including notifications for declined eRequests and eRequest messages. This enhancement provides greater visibility and workflow efficiency directly within the EMR.
  • The Ocean Healthmap search has been optimized to ensure that listings accepting eRequests and located within the searched geographic area are prioritized in the returned results.

Fixed Bugs

  • Resolved an issue where the ‘eReferral’ and ‘eConsult’ advanced filters in the Ocean Healthmap returned incorrect listings. These filters now correctly display only active listings that are currently accepting eReferrals or eConsults.

Improvements

  • Patients can now cancel appointments through SMS Reminders. Both SMS confirmation and cancellation flows are now using the Health Messenger interface 
  • Patient reminder cancellations are now labeled in EMR Notes and Audit Reports to indicate whether they occurred via SMS or Email.
  • The Weekly Usage Report will now highlight how many appointment reminder cancellations occurred for a given site.

Fixed Bugs

  • Fixed an issue where Ocean was pulling the incorrect OfficeProvider when an appointment was scheduled.

  • The PDFs of Website Forms will now display “eRequests for” or “Self Referral for” copy in them, depending on whether the Website Form is submitted as an eReferral or not.

  • Fixed a regression in Healthmap search results where non-eReferral listing appears above an equivalent eReferral-accepting listing.
  • Updated the 'eConsult' and 'eReferral' enabled values stored on Directory Listings to ensure licence counts under Regional Authority sites are correct.

  • Patient Reminder emails now support appointment cancellations, enabling patients to manage their appointments directly through the Health Messenger interface.

Fixed Bugs

  • Ocean FHIR APIs will now return an error when an empty Communication string is sent to Ocean.
    • For existing referrals, the PDF Generator now supports an empty message.
  • The Ocean Site number is now included in 'Save For Later' URL for draft eRequests.
  • The generation of an eFax referral analytic will now log an error if missing the appropriate fields, rather than stopping the entire creation process.

  • Global Appointment Restriction: Patients can now be restricted from booking multiple appointments of different types with the same provider, within a defined time period.
  • The existing appointment type restriction that prevented patients from booking the same appointment type within a certain number of days, has been split into two separate settings for greater flexibility and clarity:
    • Appointments of a specific type must be a certain number of days apart
    • Prevent patients from booking subsequent appointments until their initial appointment has passed

Fixed Bugs

  • Corrected issues with the selection of the pre-booking form for Team-Based Group Schedules.
  • Resolved an Online Appointment Booking error that would appear upon loading the pre-booking eForm a subsequent time, after backing out for a new patient.

  • The admin checkbox under the Admin -> Users page is now updated correctly when you navigate between pages at the same Ocean site.
  • Files with the .txt format that are uploaded by patients to Ocean are now limited to 500,000 characters (which is approximately 100 pages in PDF format) so that they do not unduly delay the conversion into .PDF format.

  • Ocean generated PDFs now automatically update their titles and header fields based on the eRequest that was sent. Users will see specific, descriptive text that reflects the eRequest that was sent - like "eOrder".
  • Active referrals will no longer be subject to archiving and will be available within Ocean indefinitely. Only referrals that are in a terminal state (Completed, Cancelled, Declined, or Externally Managed) will be archived using Ocean's archiving logic.

  • Ocean users can now opt-in to the Autofill Template feature under their user account settings. This feature allows users to save common answers for any Ocean eRequest form so that they can be quickly and easily re-used.
  • eReferral recipients using PSS will now automatically receive the final PDF imported into their PSS system when a referral is marked as complete—provided their Cloud Connect settings support automatic attachment imports. This enhancement brings PSS in line with the other EMRs that already support the seamless import of completed referral documents.

Fixed Bugs

  • The ‘Route to Central Intake’ setting on Directory Listings now correctly pulls all Central Intake listings (previously the query was limiting the dropdown to only returning the first 100 listings).
  • The autocomplete option in the Healthmap search bar will no longer automatically treat multiple searches as additive. To perform combination or multi-term searches, users should use the Advanced Filter.

Ocean Server Upgrade September 5th, 2024 Release Notes

The Ocean Server upgrade scheduled for September 5th, 2024 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • For Early Access Program Users: Enhancement to the importing of attachments from Ocean into Telus PSS. The Referral Form Summary with eReferral URL will now be included in the progress note for Senders and Receivers.

Fixed Bugs:

  • Updated the eConsult email copy to use “eConsult” terminology consistently rather than “eReferral”.
  • Fixed a bug so that eConsults in Central Intake sites appear in the ‘Accepted as eConsult’ and ‘eConsult in Progress’ status folders as applicable.

Platform

Improvements:

  • Updated the 'check for payment' method to include messaging credits to permit the addition of new licences and patient messaging usage.

Fixed Bugs:

  • Enable Site Admins to remove the Shared Encryption Key (SEK) when it is flagged by Ocean as being malformed.
  • Fixed a date transformation bug that was causing birthdate parsing issues.
  • Fixed bug preventing Support Site users from transferring credits to subsites of their supported sites.
  • Fixed bug that was automatically changing the EMR type of ‘OSCAR Pro’ sites to ‘OSCAR’ sites.
