Ocean Server Upgrade June 9th, 2022 Release Notes

The Ocean Server upgrade scheduled for June 9th, 2022 at 9:30 PM EST contains the following  improvements and fixes.

Provider Network

Improvements

  • Regional Authorities can now specify a patient survey hyperlink that will appear in eReferral appointment reminder emails.
  • Ocean will now refer to the user’s jurisdiction (in User Account Settings > Province) to present province-specific eConsult application guidance. 
  • Implement virus scan for portal users when adding attachments to the Notes, Scheduling or Messaging panes within an eReferral.

Fixed Bugs

  • Patient email notifications for eReferral bookings will no longer include mention of past appointments when a future-dated appointment is added to the referral.
  • When a provider is copied on a newly submitted referral, Ocean will now use the email address associated with the provider’s directory listing to send email notifications rather than defaulting to the email address specified for receiving notification for the Ocean site that the listing is associated with.

 

Patient Engagement

Improvements

  • Site Admin Users now have access to a ‘Duplicate’ function to copy an existing Online Booking > Provider Schedule listing. 
  • An indicator will now be displayed on the Template Manager > Edit Template page when the template has been previously set as the ‘site default’ template.
  • Ukrainian translations are now available for Tablet instructions and for Patient Messaging and the medical intake form.

Fixed Bugs

  • Ocean will no longer allow further Online Booking restrictions to be applied once a restriction for a given weekday has already been applied.

  • Ocean will now create a note in the EMR containing updated demographics that it was not able to programmatically update. 
  • The default sync period between Cloud Connect and OSCAR Pro will now be one day.

Ocean Server Upgrade May 19th, 2022 Release Notes

Provider Network

Improvements

  • Added a new Health Service Offering "Healthcare Navigation Service".
  • Added a new analytic column "integrationName" that captures the name of the API integration bound to a directory listing.
  • When an appointment date is submitted with the HL7 FHIR Wait Time extension set to Wait 1a, Ocean will now use that date as the Initial Assessment appointment date for its wait time calculations.
  • Added fields to enable a site using the Ocean Open APIs to retrieve its own Public Key that has been encrypted with the one-time-key.
  • Added the ability to retrieve a Referral PDF with a cover sheet from the FHIR API. 

Fixed Bugs

  • Addressed a bug preventing eConsults that are ‘saved for later’ from being retrieved. 
  • Addressed a bug preventing updates made to the phone number field in the Site Admin > Organization page from being saved.
  • Addressed a bug affecting eReferral appointment dates when an update is made to them via the HL7 FHIR API.

New Feature

  • A new Template Manager section is now available from the Ocean Launcher to make it easier to create and manage the templates used in the Patient Messaging and Patient Reminders products.
    • Site admin users now have access to a Template Manager landing page that lists the existing templates and provides a summary of key properties.
    • A new Template Settings page groups all of the global settings relevant to template management into a single location.
    • Every new Ocean site created will have two default templates available in the Template Manager - one targeted for Patient Messaging and the other for Patient Reminders - that can be used immediately by any user or as a content guideline that can be customized. 
    • A new Edit Template pages makes the editing of templates easier and more intuitive.
    • Site admin users can now access a shortcut to the Template Manager from the bottom of the template list appearing in the Patient Messaging dialog.

Improvements

  • Implemented translations for key Ocean tablet sign-in and form completion instructions in twelve languages (Tamil, Hindi, Punjabi, Portuguese, Turkish, Spanish, Vietnamese, Korean, Japanese, Filipino, Tagalog, Traditional Chinese).

Fixed Bugs

  • Resolved bug causing patient-facing errors when an Accuro schedule interval ends with hour = 24.

Ocean Server Upgrade April 28th, 2022 Release Notes

The Ocean Server upgrade scheduled for April 28th, 2022 at 9:30 PM EST contains the following features, improvements and fixes.

Improvements

  • Revised the increment options listed in the billing time field of eConsult messages to support the Ontario eReferral-to-eConsult workflow. 
  • The "Apply to respond to eReferrals as eConsults" feature is now only available to users with the clinician type of “Specialist”, “Family Physician”, or “Nurse Practitioner”.
  • Added a new analytic to the main eReferral analytics export that documents which provider sent the latest eConsult message.
  • Updated the font of the referral reference ID in the footer of the referral record file format.
  • Directory Listings claimed to the eFax Ocean Site will be treated the same as unclaimed listings when ‘carbon copied (cc’ed)’ on a sent eReferral.  (Note: This is only available for the eFax proof of concept project at this time.)
  • When an eReferral is sent to the eFax Ocean site, the sender will have the option to have an email notification sent to the patient when updating the Scheduling pane. (Note: This is only available for the eFax proof of concept project at this time.)
  • Added an option to the HL7 FHIR "Retrieve Referral Letter PDF" API endpoint to retrieve the referral summary and all attachments as a single consolidated PDF.

Fixed Bugs

  • Resolved a bug causing the PSS eReferral custom form to display "Needs Review" for referrals with initial attachments.

  • Online Booking is now generally available to (WELL EMR) OSCAR Pro sites. 

Improvements

  • Users can now search the Patient Messaging template list using a text-based search feature.
  • Improvements in how Ocean manages routing of form completions and patient message notifications when multiple Ocean users at a single site interact with the same patient.
  • Added corrective guidance to the Reminder rule configuration page to disallow appointment confirmations when the rule same-day reminder rules.

Improvements

  • Ocean directory listings claimed to the eFax site will display a "Send eReferral via eFax" button and the status updates within the Ocean Portal will reflect that of an eFax (limited to eFax Proof of Concept (PoC) participants)
  • eReferrals that have been sent to an eFax directory listing can be updated by the referring provider with the appointment date and time (limited to eFax PoC participants).
  • Improved the layout of the Admin > Integrations > eReferrals page and clarified the scope and outcomes of the settings and permissions.
  • When an API integration fails, Ocean will immediately send an email notification to the clinical administrator (if populated in the Admin > Site Account > Clinical Administrator field) and after 24 hours of continued failures. 
  • When there are multiple recipients of a eReferral HL7 FHIR payload, the referral target will be specified in the MessageHeader.destination field.

Fixed Bugs

  • Added text wrapping for the health number and gender fields in the Referral Note PDF. 
  • Resolved a bug causing multiple health service offering (HSO) dialogs to open when an site admin user user double-clicked on an HSO. 
  • Resolved a bug preventing referrals from closing when launched from the Patient Summary dashboard.

  • Enhancements to the new multi-factor authentication (MFA) enablement process:
    • The "Disable Two Factor Authentication" Button in the User Account page will be visible, but inactive once the user joins a site that requires MFA.
    • Enhancements to the MFA enablement UI.
  • When the eReferral status is updated in Ocean to “Declined” or “Cancelled”, OSCAR Pro (Well EMR) will now move these into its “Completed” consultation status.

Fixed Bugs

  •  Removed the ‘Any listing containing’ default when the search button is selected on the Ocean Healthmap.
  • Changes to the Referral Note's “referralDescription" item reference will now update the Description of the referral.
  • ‘Child’ referrals' currentHealthservice will no longer be updated due to changes to other referrals from the same ‘source’ referral.

  • OSCAR Por (WELL EMR) users can now set where their secure message and eForms notes appear using a new Cloud Connect setting. 
  • The “Open” button on the OSCAR Pro (WELL EMR) Ocean toolbar has been replaced with a “Patient Summary” button that will launch into a patient-centred view within the Ocean portal.
  • Removed the patient experience survey link at the end of the patient-facing Online Booking flow. 
  • Reduced the date range of appointments that will be retrieved when Ocean is applying booking restrictions before presenting Online Booking appointment options to a patient. 
  • Improvements to the UI and field validation of the OSCAR Pro (WELL EMR) Cloud Connect setup page.

Fixed Bugs

  • Resolved bug causing the user to be automatically logged out from the Ocean portal when their computer’s system clock is ‘fast’ (in the future).

Ocean Server Upgrade February 24th, 2022 Release Notes

The Ocean Server upgrade scheduled for February 24th, 2022 at 9:30 PM EST contains the following improvements and fixes.

 

Provider Network

New Features:

  •  Ocean site administrators can now enable mandatory multi-factor authentication (MFA) for all users invited to their Ocean site. Once enabled, all users without MFA enabled will be prompted to enroll when they receive the invitation to join the site. They will not be granted site access until the MFA has been enabled. 

Improvements:

  • The Gender field on eReferral forms is no longer mandatory.
  • Recipient sites that are not yet using Ocean fully can now mark their referrals as received and managed externally, completing them within their Ocean site.
    • A disclaimer will appear on the Directory Listing view for the site: “This listing does not update the [eReferral/eConsult] status in Ocean. Contact the listing directly as needed for follow-up.”
  • eReferral sites that are designated with a Listing Type of ‘Central Intake’ can now move eReferrals to the 'completed' status via the API.
  • Ocean will now resend API messages that have failed (i.e. Ocean has received a response code other than 200) hourly for up to four days.

Fixed Bugs:

    • Resolved bug preventing logos from appearing in the Directory Listing View of sites accepting eReferrals.

Fixed Bugs:

  • Improved dynamic focus order when navigating through patient facing Online Booking pages. This will ensure that when a user navigates through these pages, their view will automatically be brought to the top of the page.
  • Improved how Reminder rules evaluate when the condition includes a provider that has been removed from the EMR.

Ocean Server Upgrade February 3rd, 2022 Release Notes

The Ocean Server upgrade scheduled for February 3rd, 2022 at 9:30 PM EST contains the following improvements and fixes.

 

Provider Network

Improvements:

  • The Status column in the Sent folders of the Portal view has been cleaned up and simplified to match that of the Patient Dashboard view, for ease of sorting and reviewing referrals.
  • An “Appointment Type” and “Booked” column has been added to the Sent - Booking folders to allow senders to filter and sort on referrals by booking dates.
  • Aligned the Ocean eReferral status mapping with the expanded list of  OSCAR Pro (WELL EMR) Consultation statuses. For example, this includes mapping “Booked - Confirmed” referrals to a new “Booking Confirmed” status in the Oscar consultation, instead of updating the consultation to “Completed” right away.
  • Notes added by a referrer within the Ocean eReferral page will now update the new "Notes" section in the OSCAR Pro (WELL EMR) Consultation window.
  • eReferrals sent via eFax will appear in the Patient Dashboard view’s Status column as ‘Sent via eFax’ (NOTE: This is only applicable to participants in the eFax pilot at this time).
  • The HL7 FHIR eReferral “Notify Update Appointment” API can now be used to remove an appointment.
  • The ‘Allow note entry’ configuration setting for API integrations has been updated so that when it is disabled, neither sender or receiver can add a note to the referral.  It has been relabeled as "Allow shared note entry".  
  • The "Allow referral note edits" configuration setting for API integrations has been relabeled as "Allow Referral Form Summary edits" for clarity.

Fixed Bugs:

  • Addressed bug preventing Regional Authority admin users from viewing the Patient and Provider Survey Link Fields.
  • Patient self-referrals will now be counted in the referral analytics.

 

Patient Engagement

Improvements:

  • As part of our Online Booking WCAG AA improvements, patients booking an online appointment will be warned before their session times out. The warning will give the patient the option to continue where they left off. If the session timeout is exceeded, the patient will be redirected back to the check in page.
  • Accessibility improvements have been made to the progress bar that guides patients through the Online Booking flow.
  • Patients booking online with their browser language set to French will now receive the email notifications for booking confirmations and cancellations in French.
  • eForms submitted via Patient Messages, Patient Reminders and Tablets into the OSCAR Pro (WELL EMR) Documents section as Ocean notes will now always be in PDF format. 

Fixed Bugs:

  • Resolved bug causing Ocean to send an Oscar appointment confirmation update that incorrectly changed appointment status.
  • Resolved bug so that appointments on the last day of the month are retrieved from OSCAR Pro (WELL EMR).
  • Trimmed whitespaces that were causing email addresses to be considered invalid when converting from an OSCAR Pro (WELL EMR) Patient into an Ocean Patient.

Ocean Server Upgrade January 13th, 2022 Release Notes

The Ocean Server upgrade scheduled for January 13th, 2022 at 9:30 PM EST contains the following improvements and fixes.

NOTE:  The 'eServices' section will now be labeled 'Provider Network'.  Along with eReferral and eConsult improvements and fixes, it will also include new and emerging provider-to-provider capabilities, such as the eReferral via eFax capabilities listed below.

 

Provider Network

Improvements

  • Automatic referral splits will now only send the 'child' referrals via the HL7 FHIR API webhook messages.  Manually split referrals will send both the source and child referrals.

The following improvements are currently only available to participants in the eFax pilot:

  • A site can now enable their Healthmap listing to display a “Send eReferral via eFax" Button. 
  • When a referral is sent as an eFax via a Central Intake, the intended recipient will be displayed in the eReferral Dashboard’s Provider column. It will also display “Sent via eFax” in the Status column. 
  • The carbon copy (cc) function will not appear within the eReferral page for listings receiving eReferrals as via eFax.
  • Updated the 'referralSource' analytic field to capture eReferrals sent via eFax.

Fixed Bugs:

  • eReferrals will now display a “Please Wait” dialog when various actions are being processed (e.g. when an eReferral is being sent, actions are performed in the eReferral page). 
  • Ocean user accounts must now be associated with an Ocean site before they can create an eReferral from the Healthmap. 
  • Addressed bug preventing some users from viewing referral attachments that have been uploaded via an API. 

Patient Engagement

Improvements:

  • Implemented a WCAG 2.0 AA compliant progress bar in the Online Booking patient-facing pages.
  • Replaced several EMR-generated error messages that can appear in the Online Booking patient-facing pages so that they are meaningful to the patient. 
  • Online Booking will now prevent the creation of duplicate demographic update notes in Med Access. 

Fixed Bugs:

  • Addressed bug causing the caption field to be overwritten by a custom note when using the "Internationalization" feature in the eForm editor.
  • Ensured that Online Booking appointment cancellation page displays once the appointment has been successfully canceled  in the EMR.

Also added an Offering for  Psychotic Disorders with "schizophrenia", "schizoaffective", "mania", "psychosis", "antipsychotic" as keywords.
  • Updated the button options displayed at the bottom of an Ocean eConsult request when it is first received by a site (Nova Scotia pilot).
  • The Complete button on an Ocean eConsult request is hidden for requesting providers until after an eConsult message has been received (Nova Scotia pilot).
  • The patient email notification will not be sent upon the initial send of an Ocean eConsult Request (Nova Scotia pilot).

  • Addressed bug so that updates to consultations in Ocean will not cause the Well Health (OSCAR Pro) sending provider to be updated to the current-logged-in user (or a default user).
  • Child eReferrals will now store the Source’s ‘referralUrgency’ analytic, rather than defaulting to an "Unassigned" value.
  • Blocked unclaimed listings from being able to be updated to display the "Send Ocean eConsult" button in the Ocean Healthmap.

  • Fixed a timezone discrepancy on the Reminders summary page to match the Ocean site’s timezone.

  • Fixed Online Booking bug that would not allow a patient to cancel and rebook an appointment if a restriction was placed on that day due to caching of the appointment data.
  • Fixed Online Booking bug that was not allowing the “Prevent patients from booking another appointment within ## days”. Ocean was searching for appointments past the number of days in the restriction and would sometimes match on older appointments.

  • Users that are invited to a new site with an email account other than the one associated with their Ocean account can now link the invite to their existing account by through a sign-in feature added to the top of the Sign Up page.

Improvements

  • eReferral users will now be presented with a role-based ‘requirements checklist’ on the eReferrals Settings page to guide them through site setup.
  • A setting has been added to the HSO configuration window to enable the display of a “Send eConsult” button on directory listings.   NOTE: This functionality is intended for Nova Scotia users only, and does not represent the Ontario eConsult Service. Integrated workflow to send eConsults to the Ontario eConsult Service through Ocean will be available to senders in the coming months.
  • The "Respond as eConsult" checkbox and the "Accept as eConsult" button will now be hidden if the initial eConsult has been submitted by fax or phone.
  • Changed the language of the Directory Listing Validation Email Notification to be product-neutral (rather than eReferral focused).
  • Minor updates to the validation prompt and label on Directory Listing claims dialog.

Improvements

  • For eConsult messages, the Messaging pane's "To:" dropdown list will now update to only show the Referrer to ensure the eConsult response is directed appropriately.
  • Added a new setting to the Admin > Integrations > Register a Referral Integration page that allows API integrated sites to disable the ability for Referral Senders to include attachments with the initial referral. 
  • The Open eReferral APIs and FHIR eReferral APIs now support sending automatically split referrals as distinct 'child' referrals to the downstream system.  
  • Added an Wait Time Type extension to the HL7 FHIR eReferral APIs. 
  • Added the Ocean directory listing external service id as a FHIR PractitionerRole identifier sent in the eReferral bundle.
  • The outcome of outbound API calls (success/failure) will now be accessible in the Referral record's Action > View Event Log of each referral. 
  • Ocean will now send an email notification to the site admin if an outbound webhook notification fails.

Fixed Bugs

  • The "Health Information Custodian" selection on the Referrals Configuration page will now be validated for new Ocean sites, when the page is first saved.
  • The eReferral time will now remain empty if it is left blank when saving a booking date (rather than defaulting to 12:00am).
  • EMR appointments passed from Accuro onto the referral’s scheduling pane will no longer be subject to the browser’s timezone.

  • Moved the Appointment Suggestion/Template setting from the schedule setting to the schedule configuration level for Accuro and Med Access EMR modules. This will enable users to specify different appointment suggestion/template slots for alternate schedule configurations.

  • Emails sent from the default Ocean email address will now add "Ocean by CognisantMD" to the "From" email address unless the site admin has set a site specific 'friendly name' to display. The Ocean Server upgrade scheduled for September 16th, 2021 at 9:30 PM EST contains the following improvements and fixes.

Improvements

  • Implemented a virus scanning service for attachments added to eReferrals submitted through the Ocean Healthmap, Referral Website Form Links, or as Inbound eReferrals (Note: the service currently scans attachment uploads from within the eReferral. Scanning for EMR uploaded attachments will follow in a later release).
  • Removed the "Client Type" setting from the Site Features page. 
  • Removed the 'Accept eReferrals/Provider Messages' setting from the Site Features page, and associated functionality.  Site enablement to accept eReferrals is now set only within the Directory Listing.
  • Expanded the information presented in the dialog prompt for site admins to validate a directory listing.

  • The appointment times selection preview that is displayed in the Referral Settings Configuration page will only show time slots between the specified earliest and latest booking times.

  • All of the eReferral configuration settings have now been centralized within the eReferrals product.  From a new Settings Landing page, Admin users will be guided to the configuration settings that are relevant to their site, depending on whether they are eReferral senders and/or receivers.

  • Created unique settings for the “Default Incoming Referral Notification Emails” and “Website Form Notification Email” so that users can specify distinct email addresses/recipients for these event notifications.

  • Patient Reminders can now be created using the new Simple Rule Builder, which makes it easy to select the main conditions used in reminder rules
    • Ocean will now pull the conditions' associated values from the EMR and allow the user to select from this list (rather than requiring them to be manually entered) in order to reduce typographic errors.
    • Providers can now be more easily included in reminder rules using a list pulled into the Simple Rule Builder from the EMR.
  • The iCal attachment included in the Patient Reminder email will always list “Health Appointment” as the event name.

  • Modified the "Authentication" setting in Admin view - Directory Listings tab (under the eReferral Policy section) to be enabled by default. This will improve the validation and accuracy of referrer contact information.

  • Added ‘Colorectal Screening’, ‘Flexible Sigmoidoscopy’, ‘Thrombosis / DVT / VTE Care’, and ‘Addictions Assessment & Referral’ to the Health Service Offerings list.
  • Expanded the descriptions for several of the "Update a referral' API parameters in the Ocean Open API  documentation.

  • Resolved a bug preventing the attachments included in eReferral requests from being added to the downloaded Accuro document describing the sent referral.

Improvements

  • The appointment confirmation feature in Patient Reminder can now be set at an individual reminder rule level and will be displayed on the Main Settings page as part of the reminder rule summary and the text message preview within the Individual Rule setting page.
  • PSS sites using the Patient Authenticated Website Form can now see the name of the submitting patient’s primary provider in the “Priority” column of the Website Form landing page.
  • An Ocean eForm can now be used to update the Accuro field {health insurance number} Version Code field. (Note: Ocean cannot update the health insurance number or province (#8426) 
  • Several new queries have been added to the Admin view’s Report tab for Patient Messaging and Patient Reminders (e.g. forms sent, secure messages sent and appointments confirmed).

Ocean Server Upgrade November 10th 2020 Release Notes

The Ocean Server upgrade scheduled for November 10th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

Improvements

  • Multiple delegates can now be activated together within the New Delegate dropdown.

  • Referrers who are nurse practitioners can now enter in the Authorizer field of the Send Referral user interface the name of a provider who is required to ‘sign-off’ on the referral.  The Authorizer field will display in the Referral view and within the PDF copy.  It can also be used within analytical reporting.
  • The health service offering (HSO)  ‘Oncology’ has been changed to ‘Medical Oncology’ and a new HSO for ‘Obstetrical Ultrasound’ has been added.
  • New “tags” have been added on listings for each Regional Authority Ocean site so that an Advanced Search in the Ocean Healthmap can now be run for listings under each region.

Fixed Bugs

  • Fixed a bug that was causing ‘Referral Update’ email notifications to be sent for all new referrals.
  • Raised the limit for exporting referrals from a Regional Authority site to 10,000.

New Features

  • Telus Med Access clients with Ocean listed in the Telus Launcher feature will be able to launch into Ocean ‘in context’ (the user and patient information will pre-populate in Ocean).  The launch options include opening the Ocean patient dashboard, opening the patient's Ocean record, sending the patient a secure message and adding an eForm. 

Improvements

  • A site admin can now set a subsite on a provider so that the patient messages license is split out on the invoice.
  • Patients can now ‘go back’ to a previous page throughout the Online Booking experience rather than having to start over.
  • A SMS Patient Reminder will be sent to a patient even if they do not have an email address to receive an email reminder. (NOTE:  This feature is currently only available to sites participating in our Early Access Program.)

Fixed Bugs

  • Resolved a bug that was causing email notifications to be sent for all new website form submissions.
  • Improved Online Booking error handling so that the patient will see the appointment confirmation screen (indicating the booking has been completed) even if the Ocean note cannot be uploaded. into the EMR.  (The clinic will receive a notification of the situation and instructions on next steps.)
  • Fixed a bug in Online Booking in which open slots within a contiguous interval are presented even if they are before the day/time time restriction setting.
  • Fixed a bug in Online Booking that caused appointments to be assigned to the wrong Ocean Appointment Type if two types share the same patient-facing label.

eReferral

Improvements

  • When receiving referrals using the OSCAR Pro (WELL EMR), the referral letter will be imported into the Documents view as a PDF.  Any referral attachments will be added as a separate Document.
  • Filenames of imported documents will be more descriptive.
  • Regional authority and central intake users now have the ability to make updates to directory listings that are automatically validated.
  • The list of copied providers will now appear in the ‘Send eReferral’ confirmation window (as a validation step).
  • The CC eReferral function will now notify the copied provider(s) by email (if they're on Ocean), when the eReferral is first sent.
  • Copied providers that have been added or removed from the CC eReferral function will now be recorded in the eReferral event log.
  • Copied providers that are subsequently removed as a stakeholder from the eReferral will have that eReferral removed from their ‘All Received’ folder, and be notified with an automated referral message, similar to the “Revoke Forward” action.
  • The user is now prompted to clear appointment information from the eReferral when declining an eReferral, and the cancellation message to the recipient was updated to remind the site to remove any appointments from their clinic’s schedule.

Fixed Bugs

  • eReferral buttons will now consistently display on the bottom right.
  • The "Reviewed and Closed" Button will now behave as expected when an eReferral is opened directly from an email or the EMR.
  • Added a mitigation to prevent the eReferral user from saving a referral twice when "Send" is selected on a message.
  • Added a mitigation to ensure the ReferralPDF 'Copy status to' section does not overlap the page footer when there are several entries.
  • The redirect links from Ocean Healthmap to the User's Account Page have been updated.
  • Referrals saved as ‘incomplete’ now appear in the Incomplete Folder.

 

Patient Engagement

New Features

  • Individual Patient Reminders rules can now be configured to optionally send patients an SMS reminder (as well as an email reminder).   This feature is available for pre-appointment reminders.  The Reminders download log will include a record of patients that are sent an SMS reminder.   Patients can opt-out of receiving SMS directly from the text message. There is a per-SMS charge that will appear in the Billing section.  (NOTE:  This feature is currently only available to sites participating in our Early Access Program.)

Improvements

  • The transactional pricing for each ad-hoc Ocean Online completed form has been updated to $0.50 and the $0.10 ‘invitation fee’ has now been eliminated.

Fixed Bugs

  • Resolved a bug that was affecting how Ocean handled phone numbers extensions stored in Accuro.
  • Fixed a bug that caused online booking to occasionally use the wrong “office hours” restrictions when two online schedules were linked to the same underlying EMR schedule.

eReferral

New Features

  • Referral senders can now copy provider(s) directly from the healthmap on to an Ocean eReferral, at the time of sending. If the provider’s listing is claimed to an Ocean site, the site will automatically receive a copy of the sent referral.
  • Stakeholders copied on the sent referrals will be automatically notified by email (for claimed Ocean site listings) or fax (for unclaimed site listings) regarding important referral status changes, such as a booking or a cancellation.
  • The user will be informed of referral stakeholders that need to be manually notified of a status update to the referral.
  • The "Copy results to" will be printed on referral PDF letters. 
  • Referral review note items from previous referral notes are now accessible in the review forms at other sites. 

Improvements

  • Central Intake sites can now edit the ‘Referral Received Date’ of inbound referrals. 
  • Email notifications to patients for six key referral events will display the message in the patient’s preferred official language (English or French, as recorded by their healthcare provider), and then display the same message in the other official language below it.
  • The referrer phone and fax number has been added to the SENT BY line at the top of the referral so that it is accessible by Central Intake after forwarding the referral.

Fixed Bugs

  • Addressed a bug preventing the auto-syncing of appointments between OSCAR and Cloud Connect.
  • Resolved a bug that was preventing the booking time from displaying when viewing the referral without signing in. 
  • The sort order on the column headers in the eReferrals folders will now be maintained after an eReferral is opened and then closed within the site.

 

Patient Engagement

New Features

  • A new open API is now available to create a patient-specific weblink to eForms. This can be used to embed an eForm in an external system's communication modalities.  Additionally, a webhook notification can now be enabled to notify the external system when the (set of) eForm(s) have been finalized.

Improvements

  • Patients can now download an calendar event with their appointment details after confirming their appointments from a Patient Reminders weblink.
  • Enhancements to Patient Reminders user interface (e.g. the guided Activation Requirements section).
  • Ocean secure messages will now be marked in the EMR as ‘Ocean: Message Sent’.
  • The OSCAR appointment status will now be automatically updated when a Patient Reminder is sent to the patient (see NOTE below).

Fixed Bugs

  • Ocean will now place secure messages in OSCAR’s Encounter note section and other Ocean notes will appear in the Document section with a document title (see NOTE below).
  • Addressed a bug preventing the auto-syncing of appointments between OSCAR and Cloud Connect.
  • Imported patient message birthdates now require four digits to ensure the patient’s age is correctly recorded in Ocean.

  • Resolved a UTC day-rollover issue that caused some reminder sends to appear on the following day in the Reminder History summary list.
  • Email notifications that are received subsequent to one that contained a “RED” note flag will no longer contain the "RED" note flag.  (It will continue to persist with the Patient view of the Portal.)
  • Resolved a bug that was preventing the provider’s first name from being displayed or applied to secure message receipt notes in the EMR patient chart when the account clinician type was set to "Family Physician".
  • Resolved issues affecting the use of Online Booking alternate schedule feature.  The “Alternate Configuration’ button has been reinstated.

eReferral

New Features

  • A new Review Mode on referrals allows users to click “Next” and navigate quickly between referrals with a single click. 
  • Ocean Admin users can now view and manage user’s delegates within their site. This includes adding users as clinical delegates, assigning primary delegates, and/or assigning users as delegates for specific providers. 
  • New settings are now available in the Admin tab for specifying the site’s hours of operation that will mitigate appointment scheduling-related errors and make it easier to pick the time of the appointments.
  • Sites can now send email reminders to patients containing the appointment information using automated reminder rules. These rules are found and configured within the new navigation Menu option called “Patient Reminders”.

Improvements

  • The eReferral form can now be configured to suppress the Service and Referral Form Dropdowns when unnecessary (e.g. when the form has the health service offering selection embedded through the use of an item referenced “referralService”).
  • The “Done” button on eReferrals has been renamed to “Save & Close”, and will display as “Save & Next” if Review Mode is enabled. 
  • The “Await Reply” option will now solely be found in a referral’s Action Menu, in order to move referrals to the Awaiting Reply tab at any time.

Fixed Bugs

  • Addressed a bug that prevented emails from being sent to new users to verify their email address upon account creation.
  • Resolved a bug that caused the filename of attachments downloaded from Ocean into Accuro to be labeled as ‘null’.
  • Resolved a bug that was preventing the confirmation status from updating when a referral's appointment has been updated and confirmed in the same referral session.
  • The "Allow Forwards" option is now visible in the Integration Permissions Window.
  • Referral email notifications are now sent for all status updates that are triggered via the eReferral API.
  • Addressed a bug that was adding the name of a referral recipient that had declined the referral to subsequent forward events for that referral.
  • Addressed a bug that was causing the eReferral filter to reset incorrectly after opening and closing a referral.

 

Patient Engagement

New Features

  • The Patient Reminders product has been updated with a more user-friendly interface and location!  It is now accessible directly from the Ocean navigation bar.  It also now offers a landing page that includes a summary of the reminders sent in the past seven days (e.g. which reminders and how many patients received each one).  As well, users are able to assign a user-meaningful name to reminder rules (rather than relying on the rule condition).
  • The patient authenticated website form (which allows patients to securely upload file attachments) can now be used with OSCAR. (please see Note below). 

Improvements

  • The Reminders ‘Force Send’ function provides status updates as it runs (e.g. sending, error).

Fixed Bugs

  • Ocean will now send an ‘Overdue Patient Response’ email for Patient Reminders like it does for Patient Messages. 
  • Users switching between sites will now be presented with the most recent Ocean view they were viewing in the previous site.
  • Resolved a bug in the Reminders module that was causing Ocean to endlessly ‘spin’ when ‘Force Send’ was used. 
  • Addressed a bug so that a selected online booking time slot appears selected when the user navigates to another part of the screen.
  • The online booking ‘Alternate Configuration’ feature has been temporarily removed.
  • The ‘Export’ function is now available on the Website Forms module (bottom of the left menu).


Note:    Ocean now has a comprehensive integration with OSCAR. This means that OSCAR users will have the same features for eReferral and Patient Engagement (e.g. kiosks, tablets, patient reminders) as other Ocean-EMR integrations   The integration is currently in beta testing with a few sites.  Please contact your OSCAR Service Provider for details about their plans to support this integration.
