Improvements:

  • When referrals are forwarded multiple times and declined, referrals will return back to the Rapid Access Clinic (if applicable) then Central Intake.
  • Updated Healthmap Listing message shown for Externally Managed Central Intake Listings.

Fixed Bugs:

  • Med Access Extension: Fixed bug that caused attachments to occasionally fail when queued prior to the attachment scanner load.
  • Med Access Extension: Fixed a bug that would occasionally clear a patient's queued attachments from Med Access prior to the user attaching them in Ocean.

Improvements:

  • Users can now Save Filters for a specific folder or groups of folders for all existing filter types.
  • Moved the Print Referrals Button to the Actions Sidebar.
  • Pinned Referral Inbox column headers and filters to the top of the page.
  • Added additional columns for the regionalAuthoritySiteNum, CCEnabled, CCSEK, integrationName and updated HIC to Trustee/Custodian in the Regional Authority Listing Report.

Fixed Bugs:

  • Fixed a bug where the appointment duration field for appointment type mapping was too narrow.

Improvements:

  • Updated the Shared Encryption Key (SEK) change code algorithm, as well as the prompt that appears when a new SEK is successfully created for the site.
  • Added a 'Licence Totals' summary to the top of the new Licence Management page to indicate the number of billable licences added for the site.
  • Updated the status bar and pricing details that appear on the Patient Reminders Settings page, when reminders are configured to run against eReferrals for the site.

Improvements:

  • The Referral History icon will now be site specific and show accurately for both Receivers, Senders, Central Intakes, and for forwards if there are other referrals with the same patient.
  • Improved business rule alignment of the calculation of eReferral purging rules.

Fixed Bugs:

  • Fixed a bug that was causing an error message when clicking on "View the eReferral" in the Needs Review email notifications.
  • Fixed a bug causing eReferrals with updated Wait Times to appear in the Deletion Warnings folder when they were not due to be purged.
  • Fixed a bug causing eReferrals to be imported into the EMR if the scheduling fields were clicked on prior to a 'decline' action.

    • The Patient Reminders Settings page will now display the number of licensed EMR Schedules that Reminder Rules are running against.
    • Online Booking Schedules will now display the EMR Schedule they are configured against underneath the patient-friendly name.
    • Online Booking Schedules now require the EMR Schedule to have a licence prior to activating them. Users will be redirected to the new Licence Management page to do this.
      Admins can only select licensed EMR schedules when setting up and configuring new Online Booking Schedules.
      Enabled Online Booking Links will now display an orange status bar if there are no active Booking Schedules associated with them.
    • The Users Export has been updated with the following changes; the 'Linked EMR Provider' column was removed, the 'Clinician Type' column renamed to 'User Role', and 'License Mapped to User' column updated to 'Patient Messages Licence Type' with the following values: "Message", "Clinic Support" and "Sitewide"

Improvements:

  • Enhanced the filter options for Central Intakes in the eReferrals & eConsults portal Forward folder to filter on referrals that have been forwarded then accepted and declined.
  • Enhanced existing Needs Review by filter in the eReferrals & eConsults portal Needs Review Folder.
  • Changed purge criteria to retain the patients for the full lifecycle of the associated Referral or Website Form. Users are warned when manually deleting Patients that associated notes will also be removed.
  • Added a “Contact Email for Patient Notifications” field in directory listing settings.  When populated, the email address will appear in the referral patient notification emails.

Fixed Bugs:

  • Users are now prevented from viewing Saved for Later referrals from URL links if they do not have appropriate access permissions.

Improvements:

  • New automated email generated and sent to the site when a Regional Authority (RA) disables billing coverage for Patient Messages or Online Booking.
  • Minor updates to the Site Licence Approval’s “Manage” page under RA sites.

Improvements:

  • Enhanced Healthmap search algorithm for relevance ranking.
  • Improved Wait Time Information configuration screen and added an "Unknown" self-reported wait time option.
  • Updated the Healthmap search results layout and wait time information display in the listing offering. The default Calculated Wait Time will now be using the Average Wait Time instead of 90% Within Wait Time.
  • Updated the search results view to display more Wait Time information and updated the Wait Time information display.
  • Updated match listings view with new table functionality and display Chosen Wait Time.

Fixed Bugs:

  • Red validation warnings will now only show for listings that have signed up for eReferrals but not yet validated.

  • Fixed a bug where certain booking restrictions were ignored when patients book with a minimum days before rebooking restriction.

Platform

Improvements:

  • Regional Authority (RA) sites can now provide licence coverage for Patient Messaging and Reminders, as well as Online Booking, for sites within their jurisdiction.
    • An automated email will be sent to the end user site when the RA enables billing coverage.
    • A billing coverage banner will be displayed at the top of the license configuration pages at the end user site when enabled.
    • Bill items covered by the RA are not billed to the source site, and will instead display as $0 in a new section on the site's invoice.
    • RA sites will now receive a monthly invoice for any Patient Engagement licence fees accrued by sites that they are responsible for paying.

Fixed Bugs:

  • Addressed bug so that users cannot be assigned as their own delegate.
  • Addressed bug affecting the ‘Show All” button impacting various components in Patient Engagement products.

Ocean Server Upgrade February 8th, 2024 Release Notes

The Ocean Server upgrade scheduled for Feb 8th, 2024 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • CMD Admins can now enable a Wait Time Management setting for approved Central Intake listings to have their wait time in the HealthMap displayed as "Managed by Central Intake".
  • Patient Reminders appointment confirmations will now update the referral confirmation status.
  • When referrals are marked as Save for Later, the corresponding note in all EMRs now include the referral's listing name and service description.
  • When referrals are marked as Save for Later, the corresponding task in Med Access will now appear as an "Active" task rather than "Completed".
  • Saved for Later referrals can now be accessed from the Ocean Patient Dashboard.

Fixed Bugs:

  • Added a safety check to ensure Med Access and PSS charts are linked only when the patient's DOB matches, in addition to the usual health number linkage.

Patient Engagement

Improvements:

  • The 'prevent patients from booking another appointment within "x" days' restriction has been revised. Now, patients can immediately view and book the next available appointment that will be available after the specified days have passed. Previously, patients were restricted from seeing any available appointment days until the specified days had passed.
  • Improved OSCAR Pro Family Doctor matching based on patient demographics.

Fixed Bugs:

  • Resolved bug so that a second address can be imported from Website Forms into Accuro for new patients.
  • Resolved an issue where Licensed Providers were incorrectly listed in the Unlicensed category within the rule conditions for Patient Reminders.

Platform

Improvements:

  • Providers no longer need to set a Primary Delegate to share their Patient Message License with. Instead, any Administrator, MOA/Secretary, Medical Students, Nurses, Residents, or Physician Assistants will automatically be enabled to send Patient Messages once a Provider License at the site is activated.
  • Ocean Users can now easily add and manage Clinical Delegates for any Ocean site they belong to.

  • Early Access Program Users: Senders and Receivers in Accuro can now enable Referral documents to automatically be assigned.
  • For OSCAR Pro, Ocean will now automatically convert heights with measuring instruction in inches to centimetres and weight in pounds to kilograms on eForms when coded to populate from @ptLatestVal.wt and @ptLatestVal.ht keywords. 
  • SMART launching sites can now specify the MRN and HCN IDs they want Ocean to use from their Patient.read resource.

Fixed Bugs:

  • Referral History icon will no longer appear for Referrals without a past history at the same site going forward. Ensured that only receivers will see the Referral History icon and it is not displayed for Sent referrals.

  • Residents are now identified when sending a referral on behalf of the supervising physician.
  • Patients and providers will now receive email notifications when the Anticipated Time to Appointment is added or updated in the Referral Scheduling Pane.
  • If a referral has been cancelled or declined, senders can now redirect a referral to a new listing with patient demographics and previous attachments included.

Improvements:

  • Minor usability improvements to the Healthmap Advanced Filter. 
  • The Number of Clinicians can now be captured on Directory Listings applied to a Regional Authority.
    • Added a new 'Regional Authority' Section on Directory Listings that captures 'Number of Clinicians'.
    • Updated the Regional Authority Application Workflow.

  • Fixed background errors that resulted when eConsults were marked as completed by receivers.

  • In the Upload Patients from File feature, removed the PS Suite Patient Importer and PS Suite Patient Importer (Legacy) selections from the Importer drop-down, as these methods are no longer supported.

  • Added checks to prevent updates from the Ontario Provincial Provider Registry (PPR) from overwriting existing data with empty values.

Ocean Server Upgrade October 26th, 2023 Release Notes

The Ocean Server upgrade scheduled for October 26th, 2023 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • Additional timeframe options 2-3 years; 3-4 years; 4-5 years; 5+ years have been added to the estimated wait times for referrals. Note that existing referrals set to 2+ years will be grandfathered in but it will no longer be a selectable option going forward.
  • The Regional Authority Approvals table has been updated and a Health Region can now be specified for British Columbia.
  • The RA Export now contains additional fields for Health Region (if applicable), Listing Type, Catchment Area, eReferral and eConsult enablement.
  • A dedicated Advanced Filter button has been added in the Healthmap.
  • Updated the copy in the sign-in screen Provincial Sign In section to indicate ONE ID is for Ontario users.
  • Updated the message generated for when a Referral Form Summary is edited from "The referral note was edited" to "The referral form summary was edited" which is the updated terminology.
  • Referrals for inactive sites will now also be automatically purged.

Fixed Bugs:

  • Fixed a bug where the appointment date could not be manually cleared when saving a referral which affected both the patient notification email for updated referral appointments and the referral status.
  • Fixed a bug regarding inconsistent date format that was coming through the payloads.
  • Fixed a bug to ensure delegates can only initiate referrals for Providers on the site that the Provider belongs to.

  • Resolved a bug where the Tablet Introduction and Completion message language did not distinguish between different regions of a locale.

The Ocean Server upgrade scheduled for October 5th, 2023 at 9:30 PM EST contains the following improvements and fixes.

Improvements:

  • Built logic related to HealthcareService API and V11 messages validation for eConsult Bidirectional integration.
  • Ocean will now require the Professional ID for Physician Assistants, Nurses and Residents when sending an eReferral.
  • Updated referral messaging provider picklist to indicate provider declined forwarded referral.
  • Updated the referral record PDF to state "Source Referral Notes" instead of the old term "Master Referral Notes".

The Ocean Server upgrade scheduled for September 14th, 2023 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • For Med Access and PSS, if the Referring Provider is present in the EMR's Address Book, it will be set for Received Referrals.
    • An indication that the patient has been uploaded by Ocean will be present for both eReferrals and Online Booking in PSS under Patient comments and MA under Care Assignment notes.
  • Providers are now protected from communicating with listings that have yet to complete their HINP's listing validation process.
  • Added HL7 FHIR v0.11.1 (beta) as the default payload type on the Ocean eReferral Integrations page.

  • An eForm associated with an Ocean Study (anonymous) can now be used as an Online Booking post-booking form, and count towards the study results.
  • Added a font toolbar to provide limited formatting for the Online Booking Introductory Message text.
  • Minor update to how the day of the week is displayed in the Online Booking confirmation email.
  • Ocean will prevent patients from booking into the 11:55 pm - 12:00 am slot when the appointments are 5-minute duration and the time restriction is set to 11:59 PM.
  • Patients with the status of 'Inactive' in Accuro will not be provided access to the Online Booking patient flow.

Fixed Bugs:

  • Changes to Patient Messages and Reminders Licence and subsite in Site Admin provider page will now be visible upon saving.
  • The "Real-time Ontario Health Card Validation" setting in the Tablet & Kiosk will remain in the enabled mode upon saving the credentials dialogue.
  • Patients booked in an EMR schedule that is invisible to Cloud Connect can now be able to use the Ocean Kiosk to check-into the EMR's Walk-in schedule.

    • When a patient with an Ontario Health Number enters the version code characters after their numeric health number, Ocean will automatically ignore the version code characters.
    • All hyphens and spaces entered in the Health Number field will be automatically ignored.
  • All provincial health card number formats are now supported for patient identity verification when accessing secure content (e.g., secure messages, attachments, eForms).
  • Implemented a new OAB feature allowing customization of the message shown to patients when there are no Provider Schedules available for the patient to book into. This can be configured within the 'What action message should the patient be shown when there are no schedules available for them to book into?' setting within Booking Link. The message and options are:
    • Default - Shows the default message of "Sorry, we are unable to process your check-in. There are no appointment schedules available to use for online booking. Please contact the office in the usual manner to book an appointment."

      This option is selected automatically which ensures that there is no change for clinics who do not wish to change the existing full message.

    • None - No text is shown after "Sorry, we are unable to process your check-in. There are no appointment schedules available to use for online booking."
    • Custom - Allows the clinic to include any text they want after the initial message of "Sorry, we are unable to process your check-in. There are no appointment schedules available to use for online booking."
  • Added screenreader-compatible headings on eForms.

Fixed Bugs:

  • Fixed a bug with Online Appointment Booking for Med Access which would create duplicate time slots when an appointment was booked online. A single time slot will now exist with the booked appointment, and only the 'Type' column in the Med Access schedule will be coloured.
  • Fixed a bug to ensure that eForm slider widgets are in the proper direction for right-to-left languages.
