Ocean Server Upgrade January 30th, 2025 Release Notes

The Ocean server upgrade scheduled for the evening of January 30th, 2025 contains the following improvements and fixes.

Provider Network

Improvements

  • The Professional ID of the referring provider will no longer be a required field on Inbound referrals (referrals transcribed into Ocean from phone or fax by the recipient site).

Fixed Bugs

  • When a referral is forwarded the health service description is now updated alongside the current health service, when appropriate.
  • Launching into the HealthMap directly into Test Mode will no longer intermittently present the .hide() error.
  • Bulk referral send actions no longer drop HTTP protocol from OAuth token requests.

Patient Engagement

Improvements

  • New Cloud Connect setting for Accuro users to configure if their Online Booking notes download as Encounter Notes or as Documents within a folder.

Fixed Bugs

  • Corrected an Accuro Online Booking issue where the incorrect time was booked in the EMR due to Daylight Savings Time change.
  • Embedded links in email notifications will now take providers to the intended hyperlink destination rather than their default home page.

  • Early Access Program Users - Markable Diagram images can now be included in the Referral View and Referral Record PDF.
  • Externally Managed referrals that are electronically forwarded will now be removed from Externally Managed and placed into the appropriate status folder. There will also be a new option in the Action Menu to remove/add a referral to Externally Managed.
  • Added 'copy-to' providers to the FHIR bundle.
  • Added a new extension within the FHIR bundle to indicate whether items in the Questionnaire Response (form) are hidden, including retracted responses.

  • Additional validation to ensure Website Forms with partial Health Numbers do not import into the wrong patient chart in Oscar Pro.

Improvements:

  • Central Intake users no longer have the ability to update unclaimed directory listings without approval. This privilege is limited to users with Trusted User status under a Regional Authority only.
  • Listings that enable an API integration on a listing that already has active referrals can use a new bulk action feature in the Admin > Integrations page to have these active referrals sent via the integration. 

Fixed Bugs:

  • Fixed an issue causing the Healthmap to display an error when in test mode.

Patient Engagement

Improvements:

  • A French/English language toggle has been added to the patient-facing Online Booking user interface.
  • The Health Messenger has a new menu to unlock patient actions, such as the ability to print and clear all messages.

  • A menu has been added to individual message cards to enable patients to copy and delete individual messages.

Platform

Improvements:

  • Added the ability to setup and configure external clinical decision support integrations (HL7 CDS Hooks) in the Admin > Integrations page.
  • Ocean will now display to the user 'Critical', 'Warning', and/or 'Informational' cards with content from the external CDS service as part of the Send eReferral flow.
  • Added new copy to Section 7 of the Ocean end user licence agreement (EULA).

  • Alphanumeric characters can now be added to provider billing number fields. 
  • Referrals can now be forwarded using the HL7 FHIR eReferral APIs (both v0.11.1 and v0.10.0).

Fixed Bugs:

  • Fixed an issue where an extra progress note was added in Med Access when sending/receiving referrals.

Patient Engagement

Improvements:

  • Improvements to Health Messenger's appointment confirmation modal.

  • The default keyboard for all Health Messenger numeric inputs will now be the numeric keyboard. 
  • The Health Messenger will now always auto-scroll to the newest message.
  • Increased the font size of dates appearing in the Health Messenger.
  • Added controls so that Online Booking does not send the EMR concurrent requests for the same schedulables.

Fixed Bugs:

  • Resolved issue preventing the Online Booking  'max of X appts per Y day' configuration from engaging for FHIR-based integrations.
  • Addressed issue impacting Health Messenger accessibility by making it possible to navigate pop-ups using keyboard buttons.

Platform

Improvements:

  • Ocean's HRM integration now uses Ontario Health's One Access Gateway (OAG) protocol for authentication
  • There is a new ‘Menu Type’ setting in the eForm editor to configure how menu-type items are displayed to the user (ex. Buttons, Dropdown)
  • Changed the copy of the new 'Register a new integration' option from "Data" to “External Data Source"

Fixed Bugs:

  • Resolved bug that was causing an error when a user previewed a shared eForm.

  • OSCAR Pro users will now have default access to the Oscar Pro Attachment Manager.

    • OSCAR-based EMRs (e.g., Avaros) that integrate using the OSCAR Pro Cloud Connect module will now have to enable the ‘Enable Non-OSCAR Pro Compatibility’ feature within Cloud Connect to maintain current integration capabilities.

  • The 'Same-Day Appointment' feature now supports alternate configurations.

  • Added a button to the Health Messenger's 'Appointment Confirmation Redirect' to nudge patients to check their Messages and Forms.

Fixed Bugs:

  • Resolved bug that prevented EMR schedules from being sent to Online Booking when all the suggestion slots have been removed from the EMR. 

  • Fixed bug appearing in the Health Messenger 'Appointment Confirmation' page that was impacted by internationalization of the platform.

  • Fixed bug that caused extra characters to appear in the Online Booking Schedulable Summary page. 

  • Fixed an issue that caused Reminders to ignore provider restrictions due to timing interactions.

  • Fixed bug causing an additional "yes" text to be added to e-form encounter note with French locale.

  • For Early Access Program Users: Enhancement to the importing of attachments from Ocean into Telus PSS. The Referral Form Summary with eReferral URL will now be included in the progress note for Senders and Receivers.

Fixed Bugs:

  • Updated the eConsult email copy to use “eConsult” terminology consistently rather than “eReferral”.
  • Fixed a bug so that eConsults in Central Intake sites appear in the ‘Accepted as eConsult’ and ‘eConsult in Progress’ status folders as applicable.

  • Upon accepting an eReferral and generating a new patient chart in OSCAR Pro, the 'Referral Doctor' field in the OSCAR Pro Master Record will be automatically updated with the referrer's full name if there is an existing contact in the OSCAR Pro Specialist library with a matching Billing #.
  • Modifications to improve the loading times of the eReferrals & eConsults page for sites with many users.

Improvements:

  • New ‘Patient Friendly Name’ field added to the Online Booking alternate configurations.

The Ocean Server upgrade scheduled for July 25th, 2024 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • Enhanced the Directory Listing and Service filters in eReferrals & eConsult dashboard.
    • When referrals are manually entered via the inbound eReferral flow, the user will now be required to select the appropriate listing rather than base it on the selected listing in the Listing and/or Service filter.
    • The Listing filter will no longer look at the referral’s event log and consider it a match when any event is associated with that listing. It will only look at where the referral is currently at for both CI site and non-CI site.
  • The Referring Clinician filter is now available in the General folder group (i.e. Needs Review) and Deletion Warning for Senders.
  • Changed the notification copy in the Declined Referral dialog to "Referral will be returned to Sender".

Fixed Bugs:

  • Fixed a bug causing the notes section at the bottom of a Healthmap listing to disappear when the user navigated away from the listing and then returned.
  • Fixed a bug where the "Are you looking for a specific Health Service?" showed even if the user searched with a specific Health Service.
  • Referrals that are re-opened via an FHIR API message event will now move into the eReferral Receiver's 'Pending Booking' folder.
  • Fixed a bug that was causing filter values set in one eReferral folder to be applied in other folders.

  • Fixed bug so that Ocean will ignore appended characters in the WELL Health OSCAR Pro Confirmed/Cancelled Appointment Status values.

  • The Referral History icon will now be site specific and show accurately for both Receivers, Senders, Central Intakes, and for forwards if there are other referrals with the same patient.
  • Improved business rule alignment of the calculation of eReferral purging rules.

Fixed Bugs:

  • Fixed a bug that was causing an error message when clicking on "View the eReferral" in the Needs Review email notifications.
  • Fixed a bug causing eReferrals with updated Wait Times to appear in the Deletion Warnings folder when they were not due to be purged.

    • The Patient Reminders Settings page will now display the number of licensed EMR Schedules that Reminder Rules are running against.
    • Online Booking Schedules will now display the EMR Schedule they are configured against underneath the patient-friendly name.
    • Online Booking Schedules now require the EMR Schedule to have a licence prior to activating them. Users will be redirected to the new Licence Management page to do this.

    • The Users Export has been updated with the following changes; the 'Linked EMR Provider' column was removed, the 'Clinician Type' column renamed to 'User Role', and 'License Mapped to User' column updated to 'Patient Messages Licence Type' with the following values: "Message", "Clinic Support" and "Sitewide"

  • Fixed a bug causing a duplicate appointment to be sent in the test reminder feature if the Telus PSS "Secondary Provider" field is populated.

  • Regional Authorities will be prevented from indicating coverage of licence fees at a site if another Regional Authority is already covering them.

The Ocean Server upgrade scheduled for April 11th, 2024 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • Enhanced the filter options for Central Intakes in the eReferrals & eConsults portal Forward folder to filter on referrals that have been forwarded then accepted and declined.
  • Enhanced existing Needs Review by filter in the eReferrals & eConsults portal Needs Review Folder.
  • Changed purge criteria to retain the patients for the full lifecycle of the associated Referral or Website Form. Users are warned when manually deleting Patients that associated notes will also be removed.
  • Added a “Contact Email for Patient Notifications” field in directory listing settings.  When populated, the email address will appear in the referral patient notification emails.

Fixed Bugs:

  • Users are now prevented from viewing Saved for Later referrals from URL links if they do not have appropriate access permissions.

Platform

Improvements:

  • New automated email generated and sent to the site when a Regional Authority (RA) disables billing coverage for Patient Messages or Online Booking.
  • Minor updates to the Site Licence Approval’s “Manage” page under RA sites.
  • Ocean will now check whether a site can send messages based on a site-specific payment method  or if there is a RA assigned Patient Messaging licence.

Fixed Bugs:

Improvements:

  • Added Priority and Protocol filters in the eReferrals & eConsult dashboard Pending Booking folder.
  • Added a new Forwards filter in the eReferrals & eConsults dashboard Pending Booking folder for Central Intakes.
  • Added request submitter/delegate Practitioner resource to the FHIR payload.
  • Added a configuration option to allow the use of the patient's email address in the FHIR payload for patient email notifications instead of the patient's Ocean email address.

Fixed Bugs:

  • Fixed an issue in the ReferralAnalytic export where the values of the integrationName and externalServiceId column were not displaying properly after a referral was forwarded.
  • Minor Update to Ocean's v0.11.1 DocumentReference Resource to remove prefixes making the identifier simply be a UUID.
  • Fixed bug with referral counts not updating when a portal filter is applied.

Fixed Bugs:

  • Fixed bug causing Ocean’s FHIR Patient Engagement module to create redundant demographic notes for smoking status.
  • Changed how Ocean updates a site’s appointment types during each sync to mitigate issues where there are mismatches between the previous and current set.

  • Allow Regional Authority sites to manage Patient Engagement licence coverage separately from approving Directory Listings for the Provider Network.

The Ocean Server upgrade scheduled for Feb 29th, 2024 at 9:30 PM EST contains the following improvements and fixes.

Provider Network

Improvements:

  • Enhanced Healthmap search algorithm for relevance ranking.
  • Improved Wait Time Information configuration screen and added an "Unknown" self-reported wait time option.
  • Updated the Healthmap search results layout and wait time information display in the listing offering. The default Calculated Wait Time will now be using the Average Wait Time instead of 90% Within Wait Time.
  • Updated the search results view to display more Wait Time information and updated the Wait Time information display.
  • Updated match listings view with new table functionality and display Chosen Wait Time.

Fixed Bugs:

  • Red validation warnings will now only show for listings that have signed up for eReferrals but not yet validated.

Patient Engagement

Fixed Bugs:

  • Fixed a bug where certain booking restrictions were ignored when patients book with a minimum days before rebooking restriction.

Platform

Improvements:

  • Regional Authority (RA) sites can now provide licence coverage for Patient Messaging and Reminders, as well as Online Booking, for sites within their jurisdiction.
    • An automated email will be sent to the end user site when the RA enables billing coverage.
    • A billing coverage banner will be displayed at the top of the license configuration pages at the end user site when enabled.
    • Bill items covered by the RA are not billed to the source site, and will instead display as $0 in a new section on the site's invoice.
    • RA sites will now receive a monthly invoice for any Patient Engagement licence fees accrued by sites that they are responsible for paying.

Fixed Bugs:

Improvements:

  • CMD Admins can now enable a Wait Time Management setting for approved Central Intake listings to have their wait time in the HealthMap displayed as "Managed by Central Intake".
  • Patient Reminders appointment confirmations will now update the referral confirmation status.
  • When referrals are marked as Save for Later, the corresponding note in all EMRs now include the referral's listing name and service description.
  • When referrals are marked as Save for Later, the corresponding task in Med Access will now appear as an "Active" task rather than "Completed".
  • Saved for Later referrals can now be accessed from the Ocean Patient Dashboard.

Fixed Bugs:

Now, patients can immediately view and book the next available appointment that will be available after the specified days have passed.
