Ocean Server Upgrade July 13th, 2021 Release Notes

The Ocean Server upgrade scheduled for July 13th, 2021 at 9:30 PM EST contains the following improvements and fixes.

NOTE: Beginning on Thursday, August 5, 2021, Ocean releases will occur every third week on Thursday evenings.   Release notes will also be published on these Thursdays. 

 

Improvements

  • New provisioning workflow for enabling clinicians to provide eConsult responses:
    • Site admin users can now enable their sites to receive eConsults (Admin > Site Features, "Allow eReferrals to be responded to as eConsults")
    • Once enabled, the site’s users can apply individually for Regional Authority approval to provide eConsult responses (for remuneration)
    • Regional Authorities can grant eConsult response access at the individual user level (rather than the entire site) 
    • Added instructional aids for the eConsult lifecycle to the eReferral View and email notifications.
  • Removed the directory listing’s address from the iCalendar included in a eReferral patient email notification when the appointment medium is not “In Person”.
  • Additions and updates to the Ocean Healthmap’s directory listings can now only be made by authenticated Ocean users. 
  • The Ocean Healthmap no longer supports Google Places.
  • Revisions to the AEFI report template.
  • Improved FHIR API message error reporting for debugging purposes. 

Fixed Bugs

  • At the bottom of the Directory Listings > Advanced section, the “This listing was last modified by” stamp will now always be populated when a listing is changed. The date of that modification will now also be included in the stamp. 

 

Patient Engagement

Improvements

  • The Sent Reminders History page now displays the number of text message and email reminders sent per reminder rule, as well as the total number of patient reminders sent.
  • Site admins can now enable/disable iCal file from appearing in Patient Reminders emails.
  • Added a safeguard to prevent users from editing a reminder rule while a 'force send' is in progress.

Ocean Server Upgrade June 22nd, 2021 Release Notes

Improvements

  • eReferral Recipient sites can be configured (by request of a regional authority) to have the ability to change the status of an eReferral to ‘Complete’ without adding an appointment to it. 
  • Enabled Central Intake sites to add a referral appointment without specifying an appointment medium.
  • Referral Form Summary edits will only display the most current visible items (rather than also displaying hidden items). 
  • Added clarity to the audit log events by distinguishing between when a letter has been manually printed and when it has been automatically generated.  
  • Ocean’s OAuth2 token requests can now be configured to include a scope parameter.

Fixed Bugs

  • Cosmetic improvement to the Scheduling Pane in the eReferral view. 
  • Any update to the eReferral appointment medium will now trigger an email notification to the  patient.
  • Resolved error so that Ocean patient reference number appears in the OSCAR Ocean toolbar immediately after an eReferral is submitted.
  • Added a check to ensure eReferral site billing begins after the listing has been activated to accept eReferrals (Directory Listings > eReferral Policy section).
  • Addressed billing issue related to eReferral sites with multiple self-referral website forms. 
  • Improvements to ensure that appointment times are displayed properly in the Scheduling Panel view of sending sites.

Improvements

  • Ocean will now forward Patient Messaging email notifications to the ‘clinical delegate email’ (listed in the My Account view and will no longer forward them to the primary and/or clinical delegates).
  • Incoming notes into Med Access will now be marked as "Active" rather than as "Completed".
  • Med Access Online Booking will now read templates from the EMR.
  • Added an Ocean Open API that returns an array of NoteIDs, completion date and associated statuses of all notes for a patient that match the search parameters.

Fixed Bugs

  • Accuro patient uploads will now include custom demographics even if the  patient does not have an upcoming appointment.
  • Fixed back button in the new Test Reminder Rule page for new rules.
  • Resolved bug so that the Test Reminder Rule page displays the correct count for 'No reminders sent' on email only reminders.
  • Addressed issue affecting the ability to upload images to a Patient Message by ‘copy/paste’.
  • Resolved bug affecting the utility of the “Disable EMR Appointment Type Mapping” dialog.

 

Platform

Improvements

  • Added a ‘safety check’ notification to users to confirm the intended Ocean  site they wish to connect to when there are two different PSS/OSCAR EMRs instances that connect to the same Ocean site.
  • When a user changes their email address, a verification email will now be sent to the new address that will prompt the user to login into Ocean to finalize the update.  The former email address will receive an email once the update is completed.

Ocean Server Upgrade June 1st, 2021 Release Notes

The Ocean Server upgrade scheduled for June 1st, 2021 at 9:30 PM EST contains the following features, improvements and fixes. Recently created and updated support articles are listed below. 

 

eServices

Features

  • An appointment medium can now be selected at the time of booking the eReferral, which will then be included in the patient’s booking email notifications.  These selections will also be reflected in the patient handout. 
  • Referrers will now be able to access the eReferral Notes pane to document notes.

Improvements

  • A PDF eReferral letter can be retrieved for download via the HL7 FHIR payload.
  • Referring providers creating a new eReferral using either Ocean's Open API or SMART on FHIR contextual launch can now use the HL7 FHIR API or Ocean open API to receive the initial referral request and updates.
    • Added "Notify on Sent Referrals from this Site" configuration checkbox to the Referral Integration setup form.

Fixed Bugs

  • When an eReferral appointment does not have a specified time, the appointment time component of the iCalendar included in the appointment notification will now be blank. 
  • Adjusted method for creating PDFs from lossless images to reduce PDF file size.

 

Patient Engagement

Features

  • Revamped the Patient Reminders test feature so that users can easily view which patients meet the conditions of a reminder rule without having to fully simulate a real reminder rule.
    • Added a new 'Save and Test Rule' button to the Edit Reminder Rule page, which will open a new page for Reminders testing.  Appointments matching the rule being tested will be displayed.  It will also include a preview panel for the message and body text of the Reminder.

Improvements

  • Modified the integration with Med Access to improve the Online Booking query response times.
  • Added a check to the Admin > Providers tab to determine if the provider has associated subsites before showing the subsites dropdown.
  • Improved Cloud Connect’s ability to support greater EMR action concurrency for Patient Reminders.
  • Files added as attachments to a Patient Message will now be scanned for viruses. 

Fixed Bugs

  • Resolved bug that was leading to duplicate website form submissions.
  • Reminders based on an appointment type of 'Blank/No Type' will now work with Well Health (OSCAR Pro).

  • Referrals initiated from Accuro will now auto-populate the family physician, height and weight [in metric units] and lab value fields in the eReferral.
  • Added a setting to enable sites to download Referral Records and Notes in the TIFF file format instead of the default PDF format.
  • Renamed the "Cancel" action in the Referrals Action Menu to "Cancel Referral" for clarity.
  • Removed the default "Print Referral" button from Ocean eReferral Network listings that do not accept eReferrals.
  • Added a lockout mechanism to the OAuth credentials API to increase security.
  • Added the ability to perform authentication before downloading attachments received via the HL7 FHIR Communication payloads.
  • Added the Referring site's siteNum and PractitionerRole to the HL7 FHIR ServiceRequest resource so that a single POS endpoint can be used to receive referrals for multiple Ocean sites.

Fixed Bugs

  • Improvements to the eReferral import software routine to mitigate confusing UI messaging and duplicated download content. 
  • When a Referral provider-to-provider message is sent via HRM but the provider’s Professional ID has not been saved (in the My Account > Clinical Contact Information section), Ocean will no longer display a checkmark (successful send) icon.

  • Site Administrators can now enable text messages for Reminders without submitting a request to CMD Support.
  • Improved the Reminders rule builder "Provider" filter clarity by labeling and grouping "Licenced"/"Unlicenced" providers.
  • Minor UI/UX enhancements to the Reminders landing page’s Sent Reminders History.
  • Minor UI/UX enhancements to the Reminders Rule Condition Builder.

Fixed Bugs

  • Ocean will now perform a fresh sync with the EMR for all patients identified by the group cohort file to ensure their information is completely up to date.

  • SMART on FHIR implementation enhancements to support Canadian considerations of the HL7 FHIR Patient resource data elements.
  • Updated the examples available in the HL7 FHIR eReferral API Documentation.
  • Ocean’s HL7 FHIR webhook notification now supports system-system authorization to an eReferral target system using OAuth2 client credentials.
  • Added a configuration user interface (UI) to the Admin > Integrations tab to input the OAuth2 client credentials of the eReferral target system for outbound HL7 FHIR eReferral operations.
  • Modified how Referral PDFs are generated to improve privacy posture.

Fixed Bugs

  • The referring provider will now be correctly listed as the referring practitioner in the OSCAR Consultation note that is created upon a sent referral.

  • Clarified the text in the Reminders Universal Settings page that the Time of Day setting reflects when Ocean will begin processing reminders.
  • Implemented virus scanning for attachments that are submitted by patients via a Patient Authenticated Website Form.

  • Reminder rules for post-appointment follow-ups will now suppress sending a reminder to appointments marked as "no show" in the PSS schedule.
  • Resolved bug so that Website Forms are able to make updates to the hnProv (health insurance number province) field in Accuro. 
  • Resolved bug so that the eForm name is included in the title of the Website Form note created within Med Access.
  • Resolved bug so that the Oscar toolbar is updated with the status of “download” after a note has been downloaded. 
  • Resolved bug so that disabled eRequest links accessed from IntakePortal.html are no longer active.

Improvements

  • “Master” referrals (referrals that are sent with more than one health service assigned, and split by the recipient site), will now be referenced as “Source” referrals in Ocean.
  • Improved the ease of identifying and navigating between Source Referrals and their related Child Referrals.
  • Patient demographic updates made to either the Source or Child Referral will be reflected in all related referrals (Source, ‘sibling’ Child referrals).
  • The Child Referral's analytics will reflect the data specific to the Child Referral (rather than the Source Referral). 
  • Added audits and referral events to capture when patient demographics are changed.
  • Added the capability for Ocean to send the "send-communication-from-requester" HL7 FHIR API event and to parse and process a "send-communication-from-provider" event sent by a downstream system.

Patient Engagement

Improvements

  • Separated out a channel of mail delivery for bulk email send jobs to ensure individual patient messaging is not backed up behind large email blasts. As a result, individual patient messages will be delivered more quickly in all circumstances; batch email delivery may be delayed under high volume email situations as has been seen lately for COVID vaccine information sharing.
  • Updated the Patient Reminders email appointment confirmation to use a synchronous flow.
  • Improved the clarity of the statuses displayed while a Patient Reminders ‘Force Send’ is being processed.
  • Ocean will now set the appointment ‘medium’ (i.e. phone, virtual visit) in PSS for appointments generated by Online Booking.

Fixed Bugs

  • Removed the term ‘eRequest’ from the header in the EMR note when Website Form submission is imported.

New Features

  • Ontario’s ONE-ID identity credential can now be used to sign into Ocean.
    • There is also an option to use ONE ID to sign-in from the Ocean Healthmap via a popup login window.

Improvements

  • Removed the footer in patient email notifications for referrals to walk-in health services (e.g. x-rays). 
  • Improved the Referral view's initial loading performance through new searching methods
  • Removed the Referral count from the ‘Completed’ folder.
  • Added ‘Neuroradiology’, ‘Ontario Breast Screening Program (OBSP)’, and ‘Remote Patient Monitoring’ to the list of Health Service Offerings and modified ‘Surgery’ to ‘General Surgery’.

New Features

  • Ocean can now automatically create new patient records within PSS and Med Access from an Online Booking, Website Form, Kiosk or Referral submission. 
    • Sites can enable/disable this feature individually for each product from the Admin > Site Features tab.

Improvements

  • Reminders rules can now be enabled/disabled at an individual rule level rather than universally.
    • Each Reminder rule on the Reminder Main Setting page has an individual enable/disable setting, as well as an indicator of the current status of each rule.
  • The Reminder Rule Builder on the Individual Reminder Setting page will now indicate to the user when a  Reason/Appointment Type/Provider has been deleted (within the EMR), so they can determine if that is the cause of a Reminder Rule not working.

Fixed Bugs

  • Ocean will now populate the health card number during an Accuro demographic update if it is blank.
  • Resolved a bug causing duplicate file downloads into Accuro Documents.

New Features

  • Created an Adverse Event Following Immunization (AEFI) analytic report.
    • Modified the Admin view > Reports tab > Referral Export section to include a Health Service Filter that can be used to generate an CSV export of AEFI records.
    • Added a new open API endpoint to enable fetching of form analytics based on the template name.

Improvements

  • Referral sites administered by the Ontario eServices Program can now create a Patient Self-Referral form (weblink) as part of their licence.
  • Disabled the messaging pane for eReferrals that are submitted by a non-Ocean User (to eliminate ‘broken telephone’ since the sender cannot see the message sent).
  • Ocean will no longer add the (duplicate) "Letter" stamp to the document name in Accuro for sent and received referrals.
  • Included the text “Completed” in the name of downloaded referrals added to Accuro's Documents after the referral is marked as complete, to better differentiate from the original sent referral.
  • Ocean messages sent via Health Report Manager can now accept IDs greater than 20 characters.
  • Added 'Ocean user' fields to core Ocean Open API endpoints in order to enhance capture this data in support of privacy and security audits.

Fixed Bugs

  • Improved error handling when users link their Ocean account to their EMR user on the Healthmap. The user’s default site will no longer need to be set to the site their EMR is integrated with, and Ocean will prompt if the user does not belong to that site.
  • Fixed a bug that prevented users from successfully removing site favorites in the Healthmap.
  • Fixed a bug that caused eConsult “Needs Review” reminder notification to only be triggered once at the 7-day mark, rather than every 7 days moving forward.

  • Ocean now supports advanced referral splitting functionality so that only the relevant information for each ‘child’ Health Service Offering referral is included in the 'child' referral note
  • eReferrals can now be sent to point-of-service systems using the HL7® FHIR® eReferral API defined by the Ontario eReferral HL7 FHIR Implementation Guide - Draft v0.10.0. (Implementation details are available from: https://simplifier.net/guide/eReferral-Ontario/Introduction)

Fixed Bugs

  • Resolved a bug that was creating duplicate imported documents in OSCAR Pro (WELL EMR) from sent eReferrals.
  • Ocean now logs a referral event when a past appointment is added or removed from a referral.
  • The "Save and Close" and "Close" Buttons now behave as expected when a referral is opened from Accuro's Patient Dashboard Link or from the PSS Custom Form.
  • Clicking "Done" within the service directory listing forms serviced by Caredove will now automatically close the  iFrame.
  • Removed the 'request to confirm appointment' from emails sent to patients about rescheduled referrals.
  • Resolved bug so that the OSCAR Ocean toolbar maintains the link for all the site's patients that have an active eReferral.
  • Revised the "Active eReferral/eConsult" counter on the OSCAR Ocean toolbar so that it only includes non-completed eReferrals and eConsults.

  • Patient Reminders can now be created using the new Simple Rule Builder, which makes it easy to select the main conditions used in reminder rules
    • Ocean will now pull the conditions' associated values from the EMR and allow the user to select from this list (rather than requiring them to be manually entered) in order to reduce typographic errors.
    • Providers can now be more easily included in reminder rules using a list pulled into the Simple Rule Builder from the EMR.
  • The iCal attachment included in the Patient Reminder email will always list “Health Appointment” as the event name. 

Fixed Bugs

  • Resolved a bug that was creating duplicate imported documents in OSCAR Pro (WELL EMR) from patient authenticated website form submissions.
  • Resolved inconsistent behaviour in retrieving appointment information from OSCAR Pro (WELL EMR).

Improvements

  • Modified the "Authentication" setting in Admin view - Directory Listings tab (under the eReferral Policy section) to be enabled by default. This will improve the validation and accuracy of referrer contact information.

  • Added ‘Colorectal Screening’, ‘Flexible Sigmoidoscopy’, ‘Thrombosis / DVT / VTE Care’, and ‘Addictions Assessment & Referral’ to the Health Service Offerings list.
  • Expanded the descriptions for several of the "Update a referral' API parameters in the Ocean Open API  documentation. 

Fixed Bugs

  • Resolved a bug preventing the attachments included in eReferral requests from being added to the downloaded Accuro document describing the sent referral.
  • Updated the “Submit initial info for a referral” Ocean Open API endpoint to pass in the listing reference (listingRef) and specific service offering (offeringRef).

Improvements

  • Website forms can now be configured to accept and import submissions into Accuro using an alternateID (file number).
  • Patient replies to Patient Messages will now be labeled in Accuro as  ‘Ocean: Message Response’.
  • Implemented styling of the Ocean template for Patient Messages and Reminders. 

Fixed Bugs

  • Implemented a mitigation so that Patient Reminders cannot change appointment status in the EMR to “Confirmed” if the status is already set to "Arrived".
  • Resolved a bug preventing the ‘Enter’ key from registering a new line character in the Ocean note.
  • Resolved a bug that caused the appointment type to be set incorrectly at Med Access sites using an Online Booking alternate configuration of a provider schedule.

  • Improvements related to the Ocean-CHRIS integration.

Fixed Bugs

  • The French translation for "referral" has been amended to "référence" in the patient email notifications.
  • Home phone numbers now populate correctly into OSCAR Pro (WELL EMR) when eReferrals have been accepted.
  • Fixed bug that was causing the “Referral Doctor” field in an OSCAR Pro (WELL EMR) patient’s master record is being cleared upon importing a referral.
  • Fixed bug to remove extraneous syntax being populated in the OSCAR Pro (WELL EMR) in the referral doctor field.

Patient Engagement

Improvements

  • The appointment confirmation feature in Patient Reminder can now be set at an individual reminder rule level and will be displayed on the Main Settings page as part of the reminder rule summary and the text message preview within the Individual Rule setting page.
  • PSS sites using the Patient Authenticated Website Form can now see the name of the submitting patient’s primary provider in the “Priority” column of the Website Form landing page.
  • An Ocean eForm can now be used to update the Accuro field {health insurance number} Version Code field. (Note: Ocean cannot update the health insurance number or province (#8426)

Ocean Server Upgrade November 10th 2020 Release Notes

The Ocean Server upgrade scheduled for November 10th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

Improvements

  • Multiple delegates can now be activated together within the New Delegate dropdown.

  • Referrers who are nurse practitioners can now enter in the Authorizer field of the Send Referral user interface the name of a provider who is required to ‘sign-off’ on the referral.  The Authorizer field will display in the Referral view and within the PDF copy.  It can also be used within analytical reporting.
  • The health service offering (HSO)  ‘Oncology’ has been changed to ‘Medical Oncology’ and a new HSO for ‘Obstetrical Ultrasound’ has been added.
  • New “tags” have been added on listings for each Regional Authority Ocean site so that an Advanced Search in the Ocean Healthmap can now be run for listings under each region.

Fixed Bugs

  • Fixed a bug that was causing ‘Referral Update’ email notifications to be sent for all new referrals.
  • Raised the limit for exporting referrals from a Regional Authority site to 10,000.

Patient Engagement

New Features

  • Telus Med Access clients with Ocean listed in the Telus Launcher feature will be able to launch into Ocean ‘in context’ (the user and patient information will pre-populate in Ocean).  The launch options include opening the Ocean patient dashboard, opening the patient's Ocean record, sending the patient a secure message and adding an eForm. 

Improvements

  • A site admin can now set a subsite on a provider so that the patient messages license is split out on the invoice.
  • Patients can now ‘go back’ to a previous page throughout the Online Booking experience rather than having to start over.
  • A SMS Patient Reminder will be sent to a patient even if they do not have an email address to receive an email reminder. (NOTE:  This feature is currently only available to sites participating in our Early Access Program.)

Fixed Bugs

  • Resolved a bug that was causing email notifications to be sent for all new website form submissions.
  • Improved Online Booking error handling so that the patient will see the appointment confirmation screen (indicating the booking has been completed) even if the Ocean note cannot be uploaded. into the EMR.  (The clinic will receive a notification of the situation and instructions on next steps.)
  • Fixed a bug in Online Booking in which open slots within a contiguous interval are presented even if they are before the day/time time restriction setting.
  • Fixed a bug in Online Booking that caused appointments to be assigned to the wrong Ocean Appointment Type if two types share the same patient-facing label.

Ocean Server Upgrade October 20th 2020 Release Notes

eReferral

Improvements

  • When receiving referrals using the OSCAR Pro (WELL EMR), the referral letter will be imported into the Documents view as a PDF.  Any referral attachments will be added as a separate Document.
  • Filenames of imported documents will be more descriptive.
  • Regional authority and central intake users now have the ability to make updates to directory listings that are automatically validated.
  • The list of copied providers will now appear in the ‘Send eReferral’ confirmation window (as a validation step).
  • The CC eReferral function will now notify the copied provider(s) by email (if they're on Ocean), when the eReferral is first sent.
  • Copied providers that have been added or removed from the CC eReferral function will now be recorded in the eReferral event log.
  • Copied providers that are subsequently removed as a stakeholder from the eReferral will have that eReferral removed from their ‘All Received’ folder, and be notified with an automated referral message, similar to the “Revoke Forward” action.
  • The user is now prompted to clear appointment information from the eReferral when declining an eReferral, and the cancellation message to the recipient was updated to remind the site to remove any appointments from their clinic’s schedule.

Fixed Bugs

  • eReferral buttons will now consistently display on the bottom right.
  • The "Reviewed and Closed" Button will now behave as expected when an eReferral is opened directly from an email or the EMR.
  • Added a mitigation to prevent the eReferral user from saving a referral twice when "Send" is selected on a message.
  • Added a mitigation to ensure the ReferralPDF 'Copy status to' section does not overlap the page footer when there are several entries.
  • The redirect links from Ocean Healthmap to the User's Account Page have been updated.

Patient Engagement

New Features

  • Individual Patient Reminders rules can now be configured to optionally send patients an SMS reminder (as well as an email reminder).   This feature is available for pre-appointment reminders.  The Reminders download log will include a record of patients that are sent an SMS reminder.   Patients can opt-out of receiving SMS directly from the text message. There is a per-SMS charge that will appear in the Billing section.  (NOTE:  This feature is currently only available to sites participating in our Early Access Program.)

Improvements

  • The transactional pricing for each ad-hoc Ocean Online completed form has been updated to $0.50 and the $0.10 ‘invitation fee’ has now been eliminated.

Fixed Bugs

  • Resolved a bug that was affecting how Ocean handled phone numbers extensions stored in Accuro.
  • Fixed a bug that caused online booking to occasionally use the wrong “office hours” restrictions when two online schedules were linked to the same underlying EMR schedule.

eReferral

New Features

  • Referral senders can now copy provider(s) directly from the healthmap on to an Ocean eReferral, at the time of sending. If the provider’s listing is claimed to an Ocean site, the site will automatically receive a copy of the sent referral.
  • Stakeholders copied on the sent referrals will be automatically notified by email (for claimed Ocean site listings) or fax (for unclaimed site listings) regarding important referral status changes, such as a booking or a cancellation.
  • The user will be informed of referral stakeholders that need to be manually notified of a status update to the referral.
  • The "Copy results to" will be printed on referral PDF letters. 
  • Referral review note items from previous referral notes are now accessible in the review forms at other sites. 

Improvements

  • Central Intake sites can now edit the ‘Referral Received Date’ of inbound referrals. 
  • Email notifications to patients for six key referral events will display the message in the patient’s preferred official language (English or French, as recorded by their healthcare provider), and then display the same message in the other official language below it.
  • The referrer phone and fax number has been added to the SENT BY line at the top of the referral so that it is accessible by Central Intake after forwarding the referral.

Fixed Bugs

  • Addressed a bug preventing the auto-syncing of appointments between OSCAR and Cloud Connect.
  • Resolved a bug that was preventing the booking time from displaying when viewing the referral without signing in. 
  • The sort order on the column headers in the eReferrals folders will now be maintained after an eReferral is opened and then closed within the site.

 

Patient Engagement

New Features

  • A new open API is now available to create a patient-specific weblink to eForms. This can be used to embed an eForm in an external system's communication modalities.  Additionally, a webhook notification can now be enabled to notify the external system when the (set of) eForm(s) have been finalized.

Improvements

  • Patients can now download an calendar event with their appointment details after confirming their appointments from a Patient Reminders weblink.
  • Enhancements to Patient Reminders user interface (e.g. the guided Activation Requirements section).
  • Ocean secure messages will now be marked in the EMR as ‘Ocean: Message Sent’.
  • The OSCAR appointment status will now be automatically updated when a Patient Reminder is sent to the patient (see NOTE below).

eReferral

New Features

  • A new Review Mode on referrals allows users to click “Next” and navigate quickly between referrals with a single click. 
  • Ocean Admin users can now view and manage user’s delegates within their site. This includes adding users as clinical delegates, assigning primary delegates, and/or assigning users as delegates for specific providers. 
  • New settings are now available in the Admin tab for specifying the site’s hours of operation that will mitigate appointment scheduling-related errors and make it easier to pick the time of the appointments.
  • Sites can now send email reminders to patients containing the appointment information using automated reminder rules. These rules are found and configured within the new navigation Menu option called “Patient Reminders”.

Improvements

  • The eReferral form can now be configured to suppress the Service and Referral Form Dropdowns when unnecessary (e.g. when the form has the health service offering selection embedded through the use of an item referenced “referralService”).
  • The “Done” button on eReferrals has been renamed to “Save & Close”, and will display as “Save & Next” if Review Mode is enabled. 
  • The “Await Reply” option will now solely be found in a referral’s Action Menu, in order to move referrals to the Awaiting Reply tab at any time.

  • Addressed a bug that prevented emails from being sent to new users to verify their email address upon account creation.
  • Resolved a bug that caused the filename of attachments downloaded from Ocean into Accuro to be labeled as ‘null’.

Patient Engagement

New Features

  • The Patient Reminders product has been updated with a more user-friendly interface and location!  It is now accessible directly from the Ocean navigation bar.  It also now offers a landing page that includes a summary of the reminders sent in the past seven days (e.g. which reminders and how many patients received each one).  As well, users are able to assign a user-meaningful name to reminder rules (rather than relying on the rule condition).
  • The patient authenticated website form (which allows patients to securely upload file attachments) can now be used with OSCAR. (please see Note below). 

Improvements

  • The Reminders ‘Force Send’ function provides status updates as it runs (e.g. sending, error).

Fixed Bugs

  • Ocean will now send an ‘Overdue Patient Response’ email for Patient Reminders like it does for Patient Messages. 
  • Users switching between sites will now be presented with the most recent Ocean view they were viewing in the previous site.
  • Resolved a bug in the Reminders module that was causing Ocean to endlessly ‘spin’ when ‘Force Send’ was used. 
  • Addressed a bug so that a selected online booking time slot appears selected when the user navigates to another part of the screen.
  • The online booking ‘Alternate Configuration’ feature has been temporarily removed.
  • The ‘Export’ function is now available on the Website Forms module (bottom of the left menu).

Improvements

  • Added a confirmation step for the user to verify the intended eReferral source site when sending a referral from the PSS EMR. This prompt will only appear when the EMR is connected to more than one Ocean site, and the referrer has previously sent a referral at one of the other sites listed.
  • Sites can now enable Ocean to auto-close referrals that have an appointment date in the past, moving them to the Completed folder. 
  • Added an event to the Event Log for “Related Referral Created”, whenever a referral is split into multiple referrals, or a related referral is added.

Fixed Bugs

  • Central Intake can now reclaim a “child” eReferral that had been forwarded twice.
  • Corrected the spelling of the HSO Service ID for ‘Friendly Visiting’.
  • Resolved a bug that was causing notifications to be sent every 10 minutes for non-existent referrals.

Improvements

  • Improvements to the selection and behaviour of the buttons that are displayed for Referral records in the “Awaiting Reply” folder.
  • Ocean referral reference number now appears in the page footer of the Referral PDF Downloads.
  • If the site’s logo is saved in the directory listing, it will now display on the PDF Referral Patient Handouts and Notification Sheet.
  • The referral record will now have appended to it a ‘Forwarded by _____  to _____ on <forwarded date>’ note for each forwarding event (not just the latest one).
  • The eRequest Types in the Website Form Link Configuration panel has been updated to appropriately handle Patient Self-Referrals, and display them in the eReferrals view instead of the Website Form view.
  • OSCAR clients with a Cloud Connect integration will no longer see the ‘Download’ button in the Ocean toolbar as it’s no longer necessary (see Note below).

  • Resolved a bug that was causing some directory listings that were approved by a Regional Authority to still require validation.
  • Resolved a bug occurring when an eReferral record was open and then the browser ‘Back’ button was selected, resulting in the user being redirected to the previous portal view, rather than to the eReferrals view.

  • The new Website Forms and Online Booking views have been simplified by removing unnecessary columns (i.e. Source, Site, Protocol, Priority, Noted from Online Booking and Source and Site from Website Forms). They also now present records in reverse chronological order by default.
  • Website forms that are used to enable patient self-referrals can now be configured to behave and appear in the eReferral view instead of the Website Form view.
  • The confirmation text displayed to patients after they submit a reply to a secure message has been modified.
  • The Ocean User Account view has been updated to follow the pattern of the new navigation and launcher user interface.
  • Improvements to the Online Booking settings user interface.
  • The OSCAR Cloud Connect integration now supports the ability to write measurements in OSCAR (e.g. PHQ-9 values).  (see Note below)

eReferral

New Features

  • OSCAR users can now send eReferrals directly within the Consult panel, upload attachments with the eReferral, as well as have the referral note automatically download into the patient chart. OSCAR will now also automatically update the status of the eReferral within the Consult panel (see Note above).
  • Ocean will now automatically create a new patient chart within OSCAR upon import of an eReferral. If a patient chart already exists (a valid health card number match), Ocean will update the existing record automatically upon import (see Note above).

Improvements

  • When a referral is flagged for review by a site, the referral will now be left in the Pending Booking folder, and a copy of it will be moved to the Needs Review folder. The light grey message bubble icon on referrals within the portal will be replaced with the yellow icon indicating the referral has a message needing review. 
  • A new information flag was added beside the health number field on referrals, so users can be encouraged to add alternate health number identifiers (military id, refugee #, etc) for patients without a health card number. This information has also been added to the “Omit health number” prompt to encourage users to add a number which allows Ocean to track the patient’s referral history. 
  • A “Booked Appointment” column has been added to the "For Me" folder, and an "Appointment Type" Column has been added to to the Booking folders for any Ocean sites with more than one appointment label.
  • A validation step has been included before importing eReferral notes into PSS and Oscar to ensure they are being added to the correct patient record. 
  • DARC/DART date fields can be left empty and edited over time. An error will appear for the user if they attempt to add an appointment to the referral, without first adding in the end date of the DARC/DART.
  • A locking mechanism has been implemented to ensure sequencing across API endpoints.
  • The PSS Ocean Custom Form setting in Cloud Connect is now able to be set per-site across multi-site clinics. 
  • The "Print Notification Sheet" action in the “Notify Referring Provider” prompt now launches the new Status Notification Sheet PDF download.

Fixed Bugs

  • Attachments uploaded to referrals from the Accuro EMR can now be previewed within the browser.
  • The Enter key can now be used to trigger referral printing when the Action menu is opened.
  • Resolved the overlap of text appearing in the PDF downloads.
  • An "Electronically Signed" label was added beside the referrer's signature in the newly formatted PDF downloads.
  • Resolved issue preventing the resubmission of inbound referrals that were transcribed and then declined at Central Intake.

Patient Engagement

New Features

  • Ocean Portal has a new menu that collates the main product modules, views and resources into a single location to make navigation quicker and the user interface cleaner and more intuitive. 
  • Ocean now offers an ‘in-house product tour’ to familiarize new users to the Ocean portal and to highlight new features to current users. 
  • On the My Account page, users can now set an Ocean Portal default landing page. 
  • Ocean can now sync with the OSCAR appointment schedule and automatically update the appointment status via Ocean kiosks and reminders (see Note above).
  • Ocean can now automatically update OSCAR patient demographics, as well as other clinical data bands, from Ocean online messages, web forms, kiosks or tablets (see Note above).

Fixed Bugs

  • Completed forms can now be downloaded as individual progress notes into PSS.
  • Patients can now download secure message attachments multiple times even after clicking ‘I do not need to see this again.

Ocean Server Upgrade June 16th 2020 Release Notes

The Ocean Server upgrade scheduled for June 16th, 2020 at 9:30 PM EST contains the following features, improvements and fixes. 

eReferral

New Features

  • A new option in the Notes pane that enables referral notes, such as assessment outcome notes, to be downloaded and printed. 

  • Ocean support for OSCAR eReferrals (via Cloud Connect), including creating a new patient chart, automatic new consult creation in the consult tab, automatic updates to the consult status and automatic download of referral notes into the patient chart.

Improvements

  • Accuro EMR users will now have medical summary data (diagnoses,medications, allergies) auto-populated into new eReferrals.

  • Reconciled the current Action menu options for downloading and printing the Referral Letter/Receipt, and replaced with two new options: Download Referral Record and Download Referral Note. The Referral Record will be a complete pdf with Notes, Messaging and Attachments included on the referral. The Referral Note will include only the General section and the Referral Note.

eReferral

New Features

  • A new Patient Handout option is now available to print/download in the referral’s Action menu. This handout includes the referral’s appointment date/time, location (with map), booking comments, and booking attachments. This can be used to provide a patient, who is not receiving email updates, information about their appointment.
  • A new Status Notification Sheet for referring providers is now available to print/download in the referral’s Action menu. This sheet includes the status information, appointment date/time, appointment confirmation status, booking comments, and booking attachments. This can be used to notify a referral sender, who is not using Ocean, of updates regarding their referral.
  • The following Health Service Offerings were added; Assistive Equipment, Personal Care, Independent Skills Learning, and Registered Psychotherapy.

Improvements

  • When declining a referral, the box for messaging the reason for declining the referral will now auto-expand as the user types.
  • The “Est. Wait 1” and “Est. Wait 2” labels in the scheduling pane have been updated to state “Anticipated Time to Appointment”. If the appointment label has been configured for the listing, this new label will also be updated to reflect which appointment the wait time is associated with. 
  • The “Protocol” column was added to the “Needs Review” and “For Me” folders in the eRequest tab.
  • For declined referrals, the patient email notification (if chosen to be sent), now has the declined status above the location details. A line was added to the bottom of the email that states: "There is no action required from you at this time. You will be contacted directly, either by phone or email, regarding your referral."
  • For cancelled referrals, the patient email notification (if chosen to be sent), now has the cancelled status above the location details. A line was added to the bottom of the email that states: "If you have any questions regarding this cancellation, please contact your health care provider."
  • If a referring provider resubmits a cancelled or declined referral, the referral Sent Date will now update to reflect the date the referral was last submitted.
  • Two new referral analytics were added to help capture how many times a referral is resubmitted (resubmissionCount), and when the referral was initially sent (referralInitialCreationDate).
  • The Caredove listing sync was updated to include a handful of new mappings.

New Features

  • Added a new option to batch print eReferrals from the Ocean Portal. This is done by choosing referrals within a specific folder, applying filters (such as listing, service offering, or booking date range), and then clicking Print Referrals to generate one pdf of the referrals listed to print.

Improvements

  • Added a “Cancel” button to the bottom of the full-screen referral display.
  • Added an “Import into EMR” option to the Action menu, so referrals can be imported into the EMR at any point in the referral workflow.
  • Updated the date field formatting for referral creation date, message date, and review date found in the Referral Messages Export. 
  • Changed language in referral email notifications so the status is marked as “Completed as eConsult” rather than simply “Completed”, when appropriate. Also updated the “View” button to state “eConsult” when appropriate. 
  • Added a new Integration Permission for referral messaging attachments, separate from referral messaging. Updated the messaging pane UI if messaging is disabled for an integrated referral target.
  • eReferrals can now be updated to “Completed” through the API, regardless of appointment status.

Fixed Bugs

  • Improved error handling when users link their Ocean account to their EMR user on the HealthMap. The user’s default site will no longer need to be set to the site their EMR is integrated with, and Ocean will prompt if the user does not belong to that site.
  • Fixed a bug that prevents users from successfully removing site favorites in the HealthMap.
  • Fixed a bug that caused eConsult “Needs Review” reminder notification to only be triggered once at the 7-day mark, rather than every 7 days moving forward.

  • Developed an “Office Hours” feature that allows providers to specify hours that should not be available on the schedule for online booking.

This feature is currently in a Proof of Concept with the eHealth Centre of Excellence, System Coordinated Access Program and the eConsult Centre of Excellence, to build out an integrated eReferral/eConsult workflow in Ocean.

  • A referral with an appointment that is revoked forward will now allow the revoking site to reclaim ownership instead of rejecting the request.

  • When importing referrals into an integrated EMR, you can now optionally wait on the Import Window for confirmation from Cloud Connect to determine if the import was successful or not.   • The forward referral pane now includes an indicator as to whether the listing is accepting electronic referrals or not (similar to the health map view).
  • Incomplete referrals can now be deleted simply by opening them up and clicking the “Delete” option at the bottom of the referral.

  • Referral email notifications will now include the referrer’s first name and last name for all clinician types.
