How do I update the Anticipated Time to Appointment for multiple referrals at once?

If a referral appointment cannot be scheduled right away, you can communicate an Anticipated Time to Appointment to the patient and referring provider by selecting it from the 'Anticipated Time to Appointment' drop down menu in the Scheduling pane of the referral.

Note: The 'Anticipated Time to Appointment' value you provide should be with respect to the date that the referral was originally sent.

Updating in Bulk

To update the 'Anticipated Time to Appointment' field for multiple referrals at the same time, follow the steps below:

Note: When bulk updating wait times, wait time email notifications will not be sent to referrers or patients.

  • In the Ocean Portal, navigate to the eReferrals & eConsults area.
  • Within the 'Actions' menu in the bottom left corner, press 'Update Wait Times'.
  • Specify the Health Service Category for unbooked referrals you would like to update.
  • Optionally specify the Priority value for the unbooked referrals you would like to update.

    Note: Priority value matching is case-insensitive. E.g., a Priority criteria of "P1" would match on referrals with a Priority value of both "P1" and "p1".

  • Specify the date range of the unbooked referrals you would like to update using the 'Sent after' and 'Sent before' fields.
  • Use the 'Set est. wait time 1 to' and/or 'Set est. wait time 2 to' dropdown menus to select the desired 'Anticipated Time to Appointment' value to set for the matching referrals.
  • Press 'Update Wait Times'.
  • A confirmation message will appear indicating how many estimated wait times were updated.
