Ocean Server Upgrade May 3 2017 Release Notes

The Ocean release scheduled for May 3, 2017 at 9:30 includes the following:

eReferrals:

  • Messages for forwarded central intake referrals can now be directed to a specific party (central intake, sender, recipient, etc.). Notifications have also been confined to affected parties. Finally, "send message" now only happens when a referral is saved.
  • Local notes can now be set back to "allow other sites to view" after being set private.
  • Improvements and bug fixes around the referral view panel UI; in some cases, a blank window would appear due to multiple modal windows opened simultaneously. 
  • Improved handling of local notes in new local note architecture so that updates would always be properly applied; previously they would sometimes appear as separate notes.
  • "Send Message" is now properly hidden in cases that no message can be sent.
  • Minor UI fix to Health Service Directory to force user to choose from search menu before tabbing off (i.e. tab key was allowing user to choose invalid search option).
  • Email patient has been removed from the action menu since it's redundant with the option in the panel.
  • New wait time exclusion option for local note quickpick list: "patient is existing client".
  • Improved forwarding functionality: self-referrals can be forwarded like other referrals and the absence of a health service on a referral will now allow you to forward it to any service provider.
  • Minor performance improvements to Ocean Health Service Directory search.
  • Added more mandatory fields to referrals: now referrers must specify at least one phone number and the street address.
  • Fixed a bug in PSS and OSCAR referral import that would not properly apply demographic fields to patient record.
  • If the referrer is not using an Ocean user account (e.g. using a quick referral form in PS for instance), they will be prompted for their email.
  • Fixed a bug that occasionally caused quirky search string artifacts in Firefox when doing repeated searches.
  • Recently viewed referrals will now be correctly sorted from most recently accessed.
  • You can now search for referrals by source EMR ID (or more generally the source patient external reference). 
  • You can now search for referrals by the MRN number assigned in the referral view.
  • Improved the email notifications of new attachments for a referral. We've also changed the link to open the referral instead of the attachment directly since email clients couldn't do the necessary client-side decryption.
  • "Print" and "Download" options in action menu have been renamed "Print Receipt" and "Download Letter" for clarity.
  • Removed question mark hover overs for all browsers except IE9, since all modern browsers now allow the placeholder help text.
  • Referral view now shows the first name in plain text and the surname in bold in both the title and the patient box.
  • Local notes remain visible after forwarding (previously were hidden to the site that forwarded the referral).
  • More minor tweaks to referral printout (gender symbol, if present, is larger).
  • Fixed phone number validation to reject leading and trailing characters when sending a referral.
  • Fixed line breaks in sibling child referral display.
  • Improved display of master and child referrals. You can also now create a new related referral as a child of an existing master referral to ensure they are linked.
  • "Est. Wait Time" has been renamed to "Estm. Wait Time" for clarity.

Patient Engagement:

  • Added ability to search for patients by cohort ID in the patients tab.
  • Added "please wait" message to deletion of patient record in Ocean patients tab.
  • Tablet version minimum is now 130. Older tablet versions will be prompted to upgrade.
  • Fixed secure message printout to omit the "click confirm" instructions for patient.

General:

  • We've added a new privacy primer for all Ocean users based on our partnership with the WWLHIN. It covers some basic information that all users of the Ocean platform should understand in order to protect patient data privacy.
  • Fixed a bug that could cause a site's encryption key to be set to blank if the hint is updated without setting a new key (note that the encryption of patient data was not affected; this was only the site settings "footprint" of the key used to validate keys entered on devices that was affected).
  • We made end-user JavaScript errors a little noisier to ensure that they would be noticed.
  • Minor wording change to encryption dialog validation error to clarify that you should safely store the encryption key.

Ocean Server Upgrade April 26 2017 Release Notes

The Ocean Server release scheduled for April 26th at 9:30PM includes the following:

eReferrals:

  • New feature: added ability for a regional authority to include patient survey in email booking notifications for participating referral targets to facilitate benefits realization analysis. We've also added a new analytics flag for referrals to indicate that a patient has been notified by email (and thus can be used to assess response rate).
  • New feature: Referral targets can now "name" health service offerings, which will particularly useful for chronic disease management programs such as "Craving Change", which would previously just appear to the referring clinician as "Nutritional Counselling" prior to opening the referral form.
  • Phone numbers manually entered will now be validated and formatted automatically in the referral header.
  • Health Service Directory UI improvements: "Title" search has been renamed to "Name" for clarity (since it also searches surname in some cases); shows a warning message of a health service search is done without a patient location; improved back button behaviour to include location changes.
  • Fix to referral analytics to address an edge case in which a regional authority site forwards a referral to ensure the referral is appropriately tracked.
  • Minor fixes to new "local notes architecture" from last week (e.g. fixing referral printouts to accommodate better)
  • Added more explicit email consent audit trail (in backend audit subsystem) and captured email consent when email address is added/updated in the inbox view of the referral (i.e. after it's been received).
  • "Seen" lifecycle status/event has been renamed to the more generic "complete" to better encompass pathways such as chronic disease and prevention, where workshops may be completed without the patients being "seen" in a specialist appointment sense.
  • The referral printout will no longer include the event log, which was getting verbose based on view access log entries.
  • Referral export will now include all referrals matching export dialog criteria, regardless of what folder is currently open. Forwarded referrals will now be included as well.
  • Now you can edit referral notes for existing internal referrals (i.e. created via "new inbound")
  • Fix to bug that could cause & signs to be replaced with non-sensical characters in the referral note.
  • Minor wording changes in sign up process for new referral targets based on SCA feedback.
  • Fixed a bug that caused booking comments to be duplicated when updated.
  • "Patient Declined" added as option for declining a referral.
  • Added FHIR service mapping framework for future interoperability purposes.
  • Fixed a bug in the new support for multiple patient handouts in appointment booking notifications.

Patient Engagement:

  • Added a maximum cohort size of 1000 patients. If you need to send questionnaires or messages to more than 1000, you can create additional cohorts.
  • Ocean Tablets must be version 129 or higher. Older ones will prompt to upgrade.
  • Fixed a bug that would cause the OceanConnect version information to be hidden from the web portal view.
  •  Small performance optimization to skip a redundant client-side decryption in the patient tab.

General:

  • Minor fix to convert tabs in notes to spaces to address lack of tab character support in some browsers.

Ocean Server Upgrade April 19 2017 Release Notes

The Ocean Server release scheduled for April 19 at 9:30PM ET includes the following:

eReferrals:

  • New UI for referrals to better incorporate the increased amount of information that Ocean supports for a referral. The review detail view will now expand intelligently to show the most clinically relevant data with the least amount of scrolling possible.
  • New feature: A site can now add multiple local notes using standardized choices or using the configurable review form. The standardized choices are tagged with special meaning that will support use cases such as logging calls and excluding referrals from wait time calculations (e.g. if the patient declines initial appointment). A site can also make local notes private instead of being visible to all parties (referral, central intake/RCC, referral recipient).
  • New feature: the referral analytics export can now include a wide variety of reportable fields from a referral form or the local notes, such as diagnosis, acuity, etc. You can read more here: "Accessing eReferral Analytics".
  • Referral targets can now attach multiple patient handouts to the referral service offering that get sent automatically with appointment notifications.
  • Significant improvements to the flow of declining central-intake forwarded referrals; now they simply get returned to central intake for forwarding elsewhere.
  • Health service directory searches will be searched as titles and surnames now to ensure that a clinician looking for a specialist by last name will always find the specialist.
  • Referral retention policies now look at the estimated wait time and will keep the referral for at least that long once accepted.
  • Clinician type will default to family physician when a billing number is specified
  • Added "optional" hint for site name field for referring clinician
  • Added logic to pre-populate the referring clinician information from the PSS quick referral form.
  • Referral analytics export will now automatically choose "network" or "site" based on sensible assumptions about the request.
  • Now when a user chooses a reason for decline from the menu, it will preserve any manually typed reason instead of overwriting.
  • Surname is now bolded in the referral detail view.
  • Address line 2 has been added to the referral detail view.
  • New referral target signups will now be able to pick up the configuration process if they log in directly from the email verification email link.
  • Wait time fields on referrals have been renamed "estimated wait time" to encourage adoption to keep referrers and patients informed.
  • New health services have been added for CDPM: chronic pain self-management, diabetes self-management, patient self-advocacy counseling and nutritional counseling workshops.
  • Removed notification for referrals moved into "awaiting reply" status.
  • The checkbox to send notifications on accept defaults to OFF for new eRequest configurations.
  • Minor fixes to new eRequest link configuration dialog.
  • Referral PDF Printing: referral target titles will now wrap properly.
  • New "** This is a TEST SITE. Do not send real eReferrals here. **" warning will appear at top of referral forms for test sites.
  • Fixed an error condition that would occur when uploading a file to attach to a referral.
  • Improved listing detail panel to make it clear that email addresses and phone numbers will be publicly visible in the directory.
  • The address of central intake will be hidden in referral forwarding notifications to patients.

  • Completion notifications for web questionnaires sent via Ocean Reminders will now be sent to the clinical administrator if enabled.
  • Fixed a bug that appears as an error if you add a file to a secure message then remove it before sending.
  • Tablets must now be version 128 or higher; older versions will be prompted to upgrade automatically.
  • Fixed minor bug that presented "are you sure" twice when leaving a multi-site study.

General:

  • Minor changes to end-user license agreement to mention that the regional authority may have additional terms and may cover referral costs.
  • Fix minor issues around loading encryption dialog multiple times in different places in app.
  • Fixed minor bug that would obscure error message in password reset page.

Ocean Server Upgrade April 5 2017 Release Notes

The Ocean Server release scheduled for April 5th at 9:30 includes the following fixes and improvements:

eReferrals:

  • Referral targets can now specific a third-party online booking system. The button will appear in the listing and the clinician will be prompted to book a patient appointment upon completion of a referral. 
  • Central intake can now "revoke" forwarded referrals from action menu.
  • We've done some significant plumbing work to separate out the referral analytics repository from the persistent referral history for a patient; previously, the analytics repository was used to view referral histories for patients, which was getting awkward for a bunch of technical reasons. You likely won't notice any difference.
  • New users claiming referral targets in Ontario will be asked to indicate their LHIN
  • Minor tweaks to new welcome screen for new referral targets
  • Provided some explanatory text to add listing functionality from admin->listings tab.
  • Central intake forwarding search now has a checkbox option to ignore the health service and search all providers (to handle use case of forwarding an orthopedic surgery referral to a surgeon who only informally handles a specific subspecialty, e.g. ankle.)
  • Minor UI bug fixes continue on new search interface, e.g. enabling enter-key support for region text field and fixing a bug that would prevent search on title without a specified region.
  • Birthdates are now required for all referrals.
  • Improved the layout of printed referrals to be more consistent with the view in the application by moving the patient information to the left-hand side.
  • New optional fields for referrers to enter site name, clinician type and clinician address in referrals. This will be auto-populated from the Ocean User settings and from PS Suite.

Patient Engagement:

  • Tablet version minimum is now 127 instead of 126. Older tablets will prompt you to upgrade.
  • Improved French language support for patients receiving web questionnaires.
  • Fixed a bug that prevented updates of subsite references on tablets in the Tablets tab.
  • Some UI changes to the secure message view for the patient to make it more obvious that they need to click confirm before proceeding (e.g. changing to white background, font style changes, etc.).
  • Minor bug fixes.

General:

  • Minor fixes to encryption key management.
  • Minor UI improvements to password reset screen.
  • Adding a "beta" version of the "Ocean Privacy Primer" that will be rolled out to all users soon. You can view it in the "View My Account" screen for now if you can't wait.

Ocean Server Upgrade March 29 2017 Release Notes

The Ocean Server release scheduled for March 29th 2017 at 9:30 EDT contains the following improvements:

eReferrals:

  • Continued search user interface improvements based on feedback on the changes two weeks ago. We've added logic to "auto-quote" multi-word title searches to reduce noise in search responses, the search button will auto-select the first search option in the drop-down, advanced search is now part of the new search options drop-down, etc.
  • New referral target sign-ups will see a new targeted message display instead of the standard Ocean new user welcome screen. It will tell also them about how to apply to the Regional Authority project in the admin screen, which has in turn been made a little more straightforward by making the "apply" button more prominent.
  • Added new health service "Hospital Medicine".
  • Billing number has been removed from the optional patient printout and CPSO number has been replaced by the more generic "professional ID" to support pathways for NPs, RNs and other healthcare professionals.
  • Added feature for a user to have separate clinical delegate notification emails for referral updates vs. Ocean Online updates.
  • Fixed a bug that would cause referral update notifications to be skipped for anonymous referrers with email addresses only specified in PSS quick referral form.

Patient Engagement:

  • Patients will be auto-removed after 14 days instead of 7 when no forms are pending to better address kiosk-mode use cases.
  • Minor fix to formatting of empty columns in overdue messages notification email.

General:

  • We've made a number of changes to the user interface for entering or updating a shared encryption key. This was partly to clarify privacy best practices and partly to ensure that clinics understand the implications of updating it (and the importance of not losing it).
  • Added feature to generate a report all eForms for a site within the eForms tab (under "more" menu).
  • New user signups will be prompted for province, and if Ontario, the LHIN.
  • Minor look-and-feel and a couple typo fixes.

Ocean Server Upgrade March 22 2017 Release Notes

The Ocean Server release scheduled for March 22nd at 9:30 includes the following features and fixes:

eReferrals:

  • Adding early support for clinician type (e.g. family doctor, specialist, etc.) for Ocean Users; we intend to allow new users to populate this for themselves on sign-up for a variety of use cases in future.
  • Listings' health service panel in the directory will now be initially collapsed with 6 health services instead of 4.
  • Miscellaneous small fixes to new health service directory search interface changes introduced last week.
  • Fixed a data partitioning violation error that would cause referrals being sent from an EMR connected to one Ocean site with a clinician logging in (e.g. to auto-complete referrer info box) with a different default site.
  • Fix to bug that prevented HN searching for (fake) HNs longer than 10 characters.
  • Removed Ocean reference number for referral notifications since the pt could have a different Ocean reference in the referrer and recipient sites.
  • The Forwarded tab will now appear under the Processed tab group.
  • Fix to bug that was not showing the cancellation redline strikethrough for cancelled referrals

Patient Engagement Tools:

  • Improving audit granularity on patients tab to show when a specific patient in Ocean is viewed.
  • Added new status icon for patients tab to show pending web questionnaire invitations.
  • Completion notifications for secure messages and web questionnaires will now be different, making it more convenient for clinics sending both secure messages and questionnaires.
  • Server-side support for an upcoming change to OceanConnect that will notify Ocean Server of appointment cancellations so that it can suppress reminders in those cases. 
  • Added keyword support for subject lines for secure messages and web questionnaire templates.
  • Ocean Tablets on v125 or below will be upgraded to latest.

General:

  • Minor fix to "you are unsubscribed" page for usage reports to omit html tags which appear for some browsers.

Ocean Server Upgrade March 15 2017 Release Notes

The Ocean Server release scheduled for March 15th at 9:30 PM EST includes the following:

eReferrals:

  • Usability improvements in the Health Service Directory; addresses will now autocomplete when typed in, making it easier to find regionally relevant listings when not using an EMR integrated launch point for the referral.
  • Significant performance improvements to the search algorithm; this is the more comprehensive solution to the performance issues that caused the service interruption a couple weeks ago identified in the root cause analysis. We are now using a dedicated text index search for some queries, and forcing a user to choose the type of search to help Ocean choose the correct search path.
  • New health service definition for Chronic Disease Self-Management.
  • Fix to allow scrolling for very long review/triage forms for an eRequest/eReferral.
  • Improvements to the layout of the listing detail management panel.
  • Fixed a bug that caused newly created "related referrals" from being decryptable in some situations.

  • Added a new option to handle overdue message notifications, allowing clinics to either receive a notification digest for newly overdue messages or all overdue messages. You can set this in the Features tab under Admin in the Ocean web portal.
  • Fix to a bug that failed to reuse patient objects for Accuro clinics uploading cohort files of patients.
  • Added Studies tab to Regional Authority sites.

General:

  • Changed the eForm Editor to insert blank lines using the new #blank_line# keyword, which will provide more intuitive note generation for conditional note logic.

 


Ocean Server Upgrade March 8 2017 Release Notes

The Ocean Server release scheduled for March 8, 2017 at 9:30 PM includes the following:

Referrals:

  • Fix to a bug that threw an error viewing master referrals without children.
  • Added fix to properly initialize Referral Authority sites.
  • Removed Accept and Decline buttons for master referrals (those actions can only be done on the child referrals).
  • Added instrumentation/troubleshooting code to help with decrypted referral parse errors.

Patient Engagement:

  • Added code to skip form reminder sends for invalid email addresses.
  • Ocean Reminders: changed patient scheduled removal logic to keep patients at least until their appointment time in order to facilitate second appointment forms.
  • Fix to a bug that would show patients in the patients tab in wrong status when Ocean Reminders is running.

General:

Ocean Server Upgrade Feb 28 2017 Release Notes

The Ocean Server release scheduled for February 28th at 9:30PM includes the following:

eReferrals

  • Better support for referrals that need review from either a user at the recipient site or the referrer. Previously, if a referral was sent for a review by the referrer (for a comment, for example), it would appear in "needs review" state for the recipient, which was confusing.
  • Referral recipients can now update contact information for patients in a referral, e.g. adding an email address that the patient provides over the phone. 
  • More work around the overdue referral setting: added help text, and changed logic to include referring clinician on overdue notifications.
  • Listings with 4 or more service offerings (like a central intake site) will display with health services in a collapsed panel to look nicer.
  • Fixed a bug that prevented the repopulation of review/triage forms for a referral after initial completion.
  • Fix to bug that prevented sending referrals for anonymous EMR users.
  • Fixed a bug that caused referral notifications to go to the referral target instead of the referrer when referrer is sending as an anonymous EMR user.

Patient Engagement

  • New feature: now you can simply check a box in an Ocean Study configuration to capture the patient's EMR ID with the data set (no need to fool around with formulas and keywords anymore). Note that you need to upgrade your Ocean Wave Tablet app to the latest to take advantage of this feature.
  • Added ability to search for a patient by PHN in the patients tab.
  • Added support for searching for patients with 2 character last names.
  • Added support for Accuro users to see patient reminders indicators from within the Accuro appointment screen, as well as the patients tab in Ocean. You will need the latest OceanConnect and OceanWave app versions for this functionality.
  • Added better support for testing Ocean Reminders; e.g. you can now force send a single rule for testing purposes (and get instant feedback on matches), expand script text boxes and you will now see a "please wait" dialog while the send is in progress.
  • Fixed a bug in the favourites management code that could remove favourites in some situations.
  • Fixed the user interface a bit for anonymous EMR users (i.e. users sending secure messages without a dedicated Ocean user account) so that the notification options are consistently disabled (since you need an Ocean user account for those to work).

General

  • Page rendering performance improvements throughout. The Ocean web portal should be snappier.
  • Fixed sample API reference page.
  • Minor changes to the logic we use to figure out who to send what notifications at a clinic based on the email addresses in the site admin page (clinical admin, payer, etc.). The were a few places that we were not consistent in the algorithm (i.e. if clinical admin was blank)
  • Colour improvements in the Health Service Directory (e.g. now registered non-eReferral referral targets are grey checkboxes instead of green)
  • Added a friendly reminder to invoices for March 1st to request prepayment invoices in time for FY2017-18.
  • UI tweaks to the eForms tab to make the search interface more intuitive.

Ocean Server Upgrade Feb 15 2017 Release Notes

The Ocean Server release scheduled for Feb 15 at 9:30PM includes the following fixes and improvements:

eReferrals

  • New feature: support for configuring an "overdue reminder" number of days. An email will be sent automatically to both the referring physician and the recipient if a referral is not booked with the set number of days.
  • By overwhelming popular demand, we've swapped the colours on the referral target icons so that "green" means "accepts eReferrals".
  • CPSO number in signature has been changed to professional ID to better support nurse practitioners and others that may initiate referrals, as well as non-Ontario clinicians.
  • Adding a safety check on the backend to ensure that a user is a site administrator before allowing a change to the private key.
  • Patient address information fields have been added to the referral form (they will be prepopulated by supported EMRs).
  • "Quick Referral Form" and "Standard Referral Form" will no longer appear as options for the referring clinician if a referral target has a designated referral form.
  • OceanHealthMap.ca no longer shows "home" as a navigation option (didn't really make sense in the anonymous user context).
  • OceanHealthMap will properly restrict results to 100 (it would sometimes show more previously for some searches).
  • Added healthcard VC and province to the referral form header.
  • Minor changes to the email notifications to patients (improving subject lines, hiding fax field if not populated, etc.)
  • Fixed a bug that would parse manually entered DoB's incorrectly in a referral form if dashes were used.
  • Fixed a bug that prevented gender symbols from rendering in eReferral printouts.
  • Fixed a bug that could still prevent saving a master referral. 
  • Fixed a bug that caused only one phone number for a patient to appear in the referral printout.

Patient Engagement

  • You can now export all your Form Reminder notifications (which are often used as appointment reminders) for a given date range from the Form Reminders tab.
  • Ocean will now track when a patient opens a secure message, not just when it is confirmed. This information will help clinics understand whether a patient has seen (technically downloaded to browser) but not confirmed receipt vs. simply not clicking the link (i.e. didn't see the email).
  • Added a warning when sending secure messages with user notifications enabled as an anonymous EMR user (previously, these notifications simply didn't get sent -- now the user will be warned);  see this article for more information.
  • Major improvements in patient tab rendering; our testing shows a 50%+ improvement.
  • Improvements to secure message display in IE8.
  • Fixed a bug that would cause unrelated templates to change when changing a template for a rule in Ocean Reminder configuration.
  •  Fix to prevent infinite loop of forms with an eFormAction pointing at itself.

General

  • Miscellaneous improvements to shared key handling in web browsers without full localStorage support, including a fix that prevented decryption of referrals in Safari private browser mode.
  • New shared encryption keys now need to be a full 16 characters to further enhance security although we've eased the requirement to have upper, lower, numeric and punctuation to require only 3 of the 4 in accordance with standard practice. Existing encryption keys will continue to work as is.
  • Fix to minor bug that would cause an error when generating a PDF with an invalid unicode character in a note. 
  • Minor look-and-feel improvements.

Ocean Server Upgrade Feb 1 2017 Release Notes

The Ocean server release scheduled for Feb 1 at 9:30PM EST includes the following fixes and improvements.

eReferrals:

  • Formal support for Regional Authorities in the system. These regional authorities can present their own license agreements, cover referral costs for participants and view de-identified referral analytics data within the Regional Authority "sub-network". Referral targets may apply to join a regional authority via the Admin->Directory Listings panel.
  • Added support for overdue referral bookings. Referral recipients will be able to set a number of days allowed until booking (they can also leave it blank). If that number is exceeded, the primary care clinician and the referral recipient staff people get an email reminder.
  • For central intake flows, the child referral status messages are clearer after forwarding.
  • Central intake users will now see the "Forward" button at the bottom of the referral dialog for convenience.
  • Forwarding eReferrals will now result in an email to the patient and primary care clinician with the phone and fax of the destination site.
  • Forwarding referrals will no longer restrict matching health service providers if the health service is "misc" or "related", so as to allow central intake users to chose any health service provider for such referrals. This is important for cases where a referral may have an "other consult" option for referring clinicians that may need to be split off and forwarded for an undetermined health service.
  • Added support for configuring the referral health service splitting policy (on receipt or manual).
  • Minor usability improvements to canned booking comment functionality.
  • Fix to timezone bug for referrals with booking times set in a different timezone.
  • (Re-)added fax number to the listing view in the health service directory.
  • Fixed bug that appeared when saving a master referral after splitting off child referrals.
  • Referral dialog will now include patient sex.
  • CPSO number field will now be relabeled as "professional ID" for NPs.

Patient Engagement:

Ocean Server Upgrade Jan 25 2017 Release Notes

Ocean Server Upgrade Jan 11 2017 Release Notes

The Ocean Server release scheduled for Jan 11 2017 at 9:30 PM EST includes the following:

 eReferrals:

  • New feature: Master/child support for referrals, allowing central intake sites to "split" referrals with multiple health services indicated into "child referrals". A new folder for "outstanding" referrals will show any master referrals with at least one child referral not booked. Viewing a master referral will show the status of all child referrals under it.
  • Referrals can now be assigned for review by any user, not just physicians. To this end, the drop-down has been replaced by an auto-complete menu to make it easier to choose users. 
  • Fixed a bug that could prevent removal of a referral target favourite.
  • Implemented eReferral Query RESTful APIs previously marked as draft. The specifications have been updated to better reflect anticipated use cases. For more information, see the revised API guide here.

Patient Engagement:

  • Improved form preview mode to show linked eForms (so you can preview "reason for visit" for example, and see any forms linked dependent upon patient answers).
  • Updated custom vital handling to reflect changes to TELUS PS Suite.
  • Adjusted auto-tablet-deregister logic when using HNs to allow more retries in order to avoid deregistering tablets for bad card swipes.

General:

  • Minor stylistic improvements.
  • When multiple eForm notes are completed in a single session resulting in a single note, and the site has not specified a note delimiter in the eForm formatting tab, the individual eForm notes are now separated by a blank line in the generated note.
  • Backend support for new eForm item hints to allow vertical buttons for menus (so the buttons are stack one per row) and same-line text boxes (e.g. so the text field appears on the same line as the label). These will be available via XML, will be reflected in online displays (e.g. web questionnaires and referral forms) and will be added to the editor once tablet support is available (soon).

Ocean Server Upgrade Dec 21 2016 Release Notes

The Ocean server release scheduled for Dec 21, 2016 at 9 PM will include the following fixes and improvements:

eReferrals:

  • New feature: quick access to recently viewed referrals. Under the "processed" menu in the inbox UI, you'll see a folder that allows you to access your 10 most recently viewed referrals, from most recent to least recent.
  • New feature: now you can send a related referral based on a received referral. Whereas forwarding will preserve the health service plus the referral form results, this option will simply populate the patient info and allow you to pick a different health service. Example would be a physio referral based on an orthopedic surgery referral.
  • New feature: you can now reassign a referral target in an eRequest/referral form by setting the referralTargetRef. This feature was added to allow "rerouting" of referrals based on clinician or patient answers. For example, you could have four referral targets representing four clinics within a family health team, with one eRequest Link for patient registration. Depending on the patient's postal code, you could route the eRequest to the proper clinic referral target (where dedicated staff could triage by filtering on only at their clinic's referral target). Note that you can access the referralTargetRef by clicking the title label in the OceanHealthMap "update listing" dialog.
  • New feature: first cut support for central intake referral "splitting", i.e. taking a referral with multiple health service indications and splitting it into individual referrals for forwarding onward to health service. Previously, this was always done automatically upon referral send, which made sense for DI clinics but not central intake. This split is currently done automatically when the referral is "accepted" although that may change based on user feedback (which we welcome, as always).
  • Changed logic to hide the "import" popup dialog (which appears upon acceptance of a referral) to only show for PSS and OSCAR connected Ocean sites.
  • UI improvements for managing a sites favourite referral sites: you can now make them specific to a health service, remove them by right-clicking and it will no longer show the "add favourite" button for listings already in your favourites list.
  • Significant UI improvements for referrers reviewing referrals that require attention; now referrals that require more information (e.g. imaging) will appear in purple with a flag icon to make them easy to spot.
  • Fixes to PDF referral download to include DoB and HN, clinician info at the top (like letterhead) and moving message history below a horizontal line at the bottom to separate from the referral itself.
  • Underlying support for unchecked referral notifications; this will be broadly available in the next few weeks.
  • Improved UI flow for importing a Google Places result into Ocean.
  • Fixed a bug that would cause the patient referral printout to omit the map (it was not properly telling Google it was part of our license).

Patient Engagement:

  • New feature: You can now export related research data with one click. Ocean Studies with aligned participant keys can be exported as one giant spreadsheet with columns corresponding to answers from each survey. This will make complex study data easier to manage. To use this feature, click the export button on the "root" study (i.e. the study that generates the participant key) and click the checkbox "Export related study data". The columns will be added sequentially by eForm, with the eForms themselves being sorted in alphabetic order by title.
  • Fixed a bug that prevented the patient from seeing an acknowledgement after confirming a secure message receipt.
  • Added protection against double-sending secure messages with double-clicks in send invitation dialog.
  • Removed the bogus restriction that prevented viewing past dates in the Accuro daysheet view in Ocean.

  • Central intake can now see forwarded referrals after forwarding. Now when a referral is forwarded, it will appear in the "forwarded" folder and remain visible through it's lifecycle. (This was a fairly significant change since it now means that three parties can see the same referral, e.g. the referrer, central intake and the end-recipient.)
  • Better mobile support for OceanHealthMap.ca.
  • Fixed a bug that prevented referrals in "awaiting reply" from being moved to "needs review" after being updated by the referrer.

Referrals and Health Service Directory:

  • New mobile-friendly Health Service Directory! We did a lot of work over the past few weeks to rebuild the directory on our more mobile-friendly UI platform so it will look great on your phone. It has a new look-and-feel and now supports site-specific "favourites" for easy access to common referral targets (like your favourite DI clinic).
  • Improved referral access security through use of a larger access key.
  • Improvements to referral printing, particularly with respect to margins and pagination.
  • New pediatric subspecialty health services have been added.
  • Removed redundant "internal medicine" specialty in Health Services category browser.
  • We've added a couple other methods to retrieve the referrer name from a referral (it varies depending on how the referral was submitted, so we'll look at the signature as well, if there is no other information identifying the clinician).
  • Fixed bug that would block referral download using right-click "save as".

Patient Engagement Platform

  • Improved the patient experience downloading attachments from secure messages on mobile devices. 
  • Fixed bug that would cause eFormsActions to add forms in the wrong order in Ocean Online & eRequests.

  • Better support for subsite billing; subsite billing allows a clinic to designate ("earmark") funds to go towards a particular set of Ocean services, e.g. a QIP run on 2 specific tablet devices. Previously, you could only apply subsite references to tablets but now you can apply them to Ocean Online, eRequest links and studies. We've also separated them out so you define them prior to use in order to reduce the likelihood of a typo causing billing problems.
  • Added user account lockouts for security reasons. If your password is entered wrong five times in a row (on any device), you will be locked out for 30 seconds. If you go 10 attempts, the lockout becomes an hour.
  • Fixed bug that prevented updates to Email Friendly Name in admin tab.
  • Usability improvements to the eForm Editor around keyword support; now it's available in custom note field and forces the user to explicitly choose from the keyword dropdown to avoid accidental selection.
  • Fixed behaviour for copy-paste of sections with scripting logic in eForm Editor to eliminate false errors.

Ocean Server Upgrade Oct 11 2016 Release Notes

The Ocean Server release scheduled for Oct 11 2016 includes the following new features and fixes:

  • New feature: Referral recipients can now download referrals as PDF files for integration with Accuro document management. In the action menu, you will find "download". Save into your Accuro documents folder and you'll have a pretty faithful reproduction of the fax workflow.
  • General improvements to our eForm localization support. The eForm Browser now lets you search for forms with support for a particular patient language. To support this, we added two properties to eForms: a default patient language (i.e. the language that appears in the editor in the form, generally English so far) and a default clinician language (indicating the language of the generated notes). As before, you can still have many patient languages supported in a single eForm.
  • New feature: you can now export a list of "tablet use logs" in your site's Admin->Reports tab. These logs represent a mixed bag of metrics and information, with one record per patient-tablet session, such as duration and number of completed forms.
  • Clicking "portal" in the PS Suite custom form will now show the patient info within the Ocean web portal.
  • More minor aesthetic improvements as we polish off the new UI rewrite.
  • Fixed a bug that would cause a user to get logged out by previewing a form within a different site.
  • Fixed a bug that didn't allow you to remove a tablet "intro" screen logo.

Ocean Server Upgrade Oct 4 2016 Release Notes

The Ocean Server release scheduled for Oct 4th at 9:00PM EST includes the following fixes/improvements:

eReferrals:

  • We removed the scheduling panel in the standard referral form as it was not used meaningfully and created a lot of confusion for referring docs.
  • You can now sort referrals by date (ascending or descending) or by priority (which was the only option previously)
  • Added logic to automatically check the "confirmed" checkbox for referral appointments if the booked comment is set to "Patient has been contacted by [site name] with appointment."
  • Fixed a bug in which the process of booking an appointment for a patient on a new referral and saving it (without "accepting") would cause the referral to disappear from normal workflow folders. Also removed the "decline" option from cancelled referrals.
  • Minor fixes to the referral target claim process.
  • You can now export referrals *without* marking them as exported; this is useful if you want to preserve the warnings about referrals pending deletion (and so that you can use the "keep longer" option in the eRequest tab)

Patient Engagement:

  • We added a configuration option so that Accuro clients can choose to upload up to 14 days worth of appointments instead of 7 to facilitate some more distant form reminder scenarios.

Ocean Server Upgrade Sept 20 2016 Release Notes

The release scheduled for Sept 20, 2016 at 9:00pm EST will include the following changes/improvements:

  • Ocean Reminders now allows you to configure different reminders for different appointment types! You can configure reminders using a "rules engine" similar to the way you can configure tablets, based on clinic doc, appointment reason and even attributes like sex and age (you will need to be running Accuro and update OceanConnect and Ocean Tablet to v132 to take advantage of this new functionality).
  • Ocean Reminders now allows you to schedule automatic post-appointment forms -- useful for automating clinical research or patient experience surveys.
  • Added new referral folder "awaiting reply" to allow clinics processing eReferrals to conveniently store referrals that are pending some information from the referrer.
  • A new automated email will be sent to the clinical administrator weekly if a sites tablets are below the preferred version, and nightly if the tablets are below the minimum version (this is particularly important for our Accuro clients, since a tablet below the minimum version will not be able to connect to Ocean and thus Accuro updates will fail).
  • Web questionnaire and secure message receipt confirmations will now be sent to a physician's clinical delegate, if set in user preferences.
  • Fixed bug that preventing previewing forms in the "view shared forms" dialog.
  • We added a button in the admin settings to delete all patients in a site.
  • Minor change to invoice generation to display tablet line items in a more sensible way.
  • Fixed a bug that broke secure message attachment uploads on Firefox.
  • Referral booking date searches will now include the end date inclusively.
  • Multipage forms will now have focus reset for patients; previously, the next button would retain focus and it was too easy to skip a page by accident.
  • Added a workaround for older IE browsers to print referrals without losing the current view filter due to pop-up window handling (hold alt-key down).
  • The minimum tablet version to connect will be v125. This is a fairly large "jump" in minimum version and is being done to ensure readiness for Android 6 across all Ocean tablets.
  • Various look-and-feel improvements throughout, to round out the UI redesign earlier this month, including the secure messaging module.

Ocean Server Upgrade Sept 6 2016 Release Notes

The Ocean Server release scheduled for Sept 6th at 2016 contains the following features/changes:

  • A new UI for the Ocean web portal! This release unveils the psuedo-secret UI rewrite we've been working on for a couple months now. Not only does the new UI look great, it's also adaptive, which means that it will work better on devices of all shapes and sizes. The big "user experience" change is that many buttons have been moved to the new left sidebar, which makes it a bit easier to find things. Let us know what you think!
  • OSCAR integration improvements! Our OSCAR integration now pulls pt height and weight, medical histories (to 'pmhx' in Ocean), diagnoses (to 'prob') and allergies (to 'allg') so that tablet rules may depend on them, eForms can verify them with patients and eReferrals can include such information in referrals. Note that you must re-import the OSCAR eForm to use these new fields.
  • You can now mark notes as downloaded in the patients tab. This is to make it a bit easier to manually extract notes as compared to removing the patient -- this will change the status icon to grey and set the timer to auto-delete promptly.
  • We've made Advanced eReferral Management free to celebrate our exciting new SCA project with WWLHIN. Most sites will still keep it disabled since the UI is much simpler without the advanced features.
  • The "payer" field has been moved to Admin->Billing, where you'd expect to find it.
  • Fixes to session management with multiple tabs open; there was a case in which a user may not get logged out properly when connecting as a different role in a different tab.
  • Fix to bug that would throw an error when saving the admin tab for new sites in some cases.
  • Fixed a "race-condition" (i.e. happened somewhat randomly) bug that could cause a localized form to appear in English despite a browser preference for another language.
  • Fixed a bug that threw an error when saving a referral requiring review by no specific user.
  • The appointment date/time selector in the referral detail panel has been reworked to be easier to use.
  • Upgraded the API version with our payment processor to a more current version. There should be no impact on end-users.
  • Fixed issue that prevented referring docs from attaching documents to a referral that's already been sent.
  • Tablets must now be version 113 or higher to connect (your tablets will auto-update if lower than v113).

Ocean Server Upgrade August 16 2016 Release Notes

The release scheduled for August 16th at 9:30 includes the following fixes and improvements:

  • Most Ocean emails have been updated to use newer and much prettier email templates
  • Added support for setting appointment statuses in Accuro. Patients will now be marked as "arrived" when they use the tablet (note that you must have the latest version of OceanConnect installed)
  • A new "sync now" button for Accuro appointments in the patients tab
  • Added "safety check" to skip appointment reminders for past appointments (this can happen if OceanConnect goes offline for a long period of time)
  • Fix to new Accuro batch file upload to set cohort ID correctly on uploaded patients
  • Added support for tablet rules and form scripting and keywords based on the block fee expiry field (available from PSS only at this point)
  • Minor stylistic changes throughout and fixes to standardize some UI components (specifically in referral target management)

Ocean Server Upgrade August 2 2016 Release Notes

The Ocean release scheduled for August 2nd at 9:30 includes the following improvements.

Secure Messaging:

  • New feature: patients can quickly respond to secure messages if the sending clinician checks a box to allow quick responses (in addition to the existing functionality to present questionnaires)
  • Fixed a few issues with secure messaging with attachments: allowing anonymous EMR users to send attachments, fixing a redirect to the login page after patient downloads
  • Fix to overdue Ocean Online message notifications to clear due date when the forms/messages are complete
  • Patients are now warned before leaving the secure message display if they try to close the browser & there are more forms to complete
  • Changed notification option checkboxes in secure message send dialog to be disabled instead of hidden for anonymous EMR users

Other:

  • New feature: Accuro clients can now upload batch files of patients (cohorts) via the new Accuro file uploader and have responses (& message receipts) go directly into the chart. This will be mostly useful for preventative care (e.g. pap, mammo, tetanus, etc.)
  • Added a "test mode" for Ocean Form Reminders that sends all reminders to a test email address (for real appointments)
  • Added a new utility script method to parse dates in the immunization record for a patient (required for tetanus shot reminder rules, for instance)
  • Fixed Admin->Users screen to handle users with dots in their username (regression bug from previous release)
  • Fix to trigger download of restored notes
  • Fix to bug that prevented site admin permissions from being added to a user
  • Tablet minimum version is now v111; older tablet versions will be prompted to upgrade automatically
  • Clinics can now optionally send automatic "accepted" notifications to patients when their eRequest is accepted by staff

 


Ocean Server Upgrade July 19 2016 Release Notes

The Ocean Server release scheduled for July 19th at 9:00PM EST contains the following improvements:

Patient Engagement tools:

  • New feature: now you can use Ocean Online to send files to patients in our secure messaging module. Great for sending lab reqs to patients needing urgent tests.
  • Added option to report on overdue Ocean Online responses "today", meaning that night at midnight for more urgent questionnaires/messages.
  • Miscellaneous fixes and improvements to Ocean Online overdue notifications.
  • More graceful handling of empty email addresses in Ocean Online.
  • We're now showing the birthdate in the patients tab in the patient info pop-ups.
  • Tablets running Ocean Tablet v109 or earlier will be upgraded to latest.

eRequests/eReferrals:

  • You now see a visual indicator (a folder icon) for patients that have been referred to you previously based on health number and date of birth.
  • You can click to see a nice display of the referral history for a patient, including both active referrals and purged referrals (i.e. where PHI has expired).
  • You can now send and view forms in queue for patients from right within the eRequest tab, making it easy to incorporate intake forms into your eReferral process.
  • You can see intake form responses and export them along with the referral notes from the referring clinician (we've rearranged the panels so you can see the referral notes alongside the patient notes and the internal triage/review notes).
  • Added to ability to "extend" the lifespan of an eRequest by 60 days when it is pending deletion.
  • Added podiatry as an Ocean health service.
  • Changed behaviour to *not* notify patients of declined eRequests to support this workflow for patient-facing eRequests.

General:

  • Fix to error that could occur when removing and adding a different credit card in "my account" page.
  • We upgraded some UI library code in preparation for a bit of UI redesign in the next few months.
  • Small changes to UI layout of admin tab.
  • Better error handling for decryption errors.

 


Ocean Server Upgrade July 5 2016 Release Notes

The Ocean Server release scheduled for July 5th at 9:00 contains the following improvements and changes:

  • New 'beta' feature: as many people have requested, now you can set alerts for web questionnaires and secure messages to notify you if a patient doesn't respond or view it within a certain number of days. You can even save your preference as part of your template. You'll get a nightly summary of overdue messages in your email inbox. Tell us what you think!
  • Fix to preserve line breaks when adding sent secure messages to the patient chart
  • Internal changes/improvements to the Ocean Online DoB and HN patient verification process
  • Fix to make it a little more obvious in some sign-up flows (e.g. claiming a referral target) that email verification is pending
  • Refactored the acknowledgement process for EMR actions with OceanConnect to wait until endpoint EMR confirms update before acknowledging message on server. This will make it less likely to lose messages brokered between Accuro and Ocean (it hasn't happened yet to our knowledge, but this should close a potential loophole in future).
  • Fix to escape special HTML characters like '<' in generated clinical notes; previously, you would sometimes lose all rich text formatting in Ocean PSS note when such characters were generated (like 'score < 5; consider imaging')
  • Fix to charset issue that could cause accented characters to appear as garbled characters in emails based on "Send Message" actions in eForms
  • Removed repetitive warning when saving rules about form memory being dependent upon specific patient demographic fields
  • Fix to referral receipts to avoid cut off at top of page 2
  • Aesthetic and minor wording changes in a few places

Ocean Server Upgrade June 21 2016 Release Notes

The Ocean release scheduled for June 21st at 9:00 includes the following changes:

  • New Feature: Ocean Reminders allow you to automatically notify your patients of upcoming appointments and optionally complete forms or view a secure message (Accuro only for now.)
  • Ocean Tablets must now be version 108 or higher to connect. Some sites running older versions will see their tablets auto-update as a result.
  • Keyword support for preferred pharmacy (ptPreferredPharmacy)
  • Improvements to auto-complete UI for scripting
