PS Suite Ocean Toolbar 5.30 (Standard) and Ocean Toolbar (Minimized) Release Notes

This version of the Ocean Toolbar for PS Suite contains the following changes:

  • Certain unsupported "EMR Field" values set by Ocean were resulting in unwanted "yellow sticky" PSS messages that were telling PSS administrators to update these fields manually. These messages should no longer appear.
  • Multiple Ocean sites, some with Cloud Connect enabled and some without, can now be connected to a single PSS instance, since this setting is now saved individually for each Ocean site.
  • Ocean patient references that are 7 digits in length will now display without being cut off.

PS Suite Ocean Attachment Exporter 2.03 Release Notes

This version of the Ocean Attachment Exporter PS Suite custom form contains the following improvements:

  • A rare "NullPointerException" error that prevented certain patient charts from exporting attachments has been fixed.
  • Some PSS Clients were cutting off some printable area along the far-right margin of the attachment. The margins have been adjusted to accommodate these instances.
  • Minor improvements to the error handling are included.

PS Suite Ocean eReferral Form 1.70 Release Notes

This version of the Ocean eReferral PS Suite custom form includes the following changes:

  • The link to the Ocean potal has been updated to the new portal's address.
  • The automatic message that stated, "An old custom form for 'Ocean eReferral' dated on ++ was removed from the chart. Please confirm that the requisition required no further action before you archive this message." has been removed. This message was a nuisance since it was causing significant confusion for users and was furthermore deemed to have no meaningful safety benefit.

PS Suite Incomplete eReferral Form 1.04 Release Notes

Version 1.04 of the Incomplete Referral Form contains the following improvements:

  • Fixed a bug that prevented some sites from opening the Ocean Health Map using the Resume button on the form
  • Fixed a bug that could prevent the follow-up message from attaching to the patient's chart.
  • Added an "(Automatic Message)" clarifying statement to the follow-up message to reduce confusion as to the author of this message.

Note: v1.03 of the form was not released publicly.

This form, once installed, should be automatically inserted into Ocean-enabled PS Suite sites when a user clicks "Save for Later" after initiating an eReferral using Ocean. It provides a convenient link to re-open the eReferral draft.

PS Suite Incomplete eReferral Form 1.02 Release Notes

Version 1.02 of the Incomplete Referral Form contains the following improvements:

  • The incomplete referral form will now automatically remove itself from the chart once it detects that the completed referral's note is present in the chart. 
  • Single-sign-on support has been improved. The incomplete referral form should load more quickly and reliably after the Open button is clicked.
  • Previously the Ocean Health Map page was opened as a redundant page as part of the single-sign-on process; now only the incomplete referral form page will open.

Note: v1.01 of the form was not released publicly.

This form, once installed, should be automatically inserted into Ocean-enabled PS Suite sites when a user clicks "Save for Later" after initiating an eReferral using Ocean. It provides a convenient link to re-open the eReferral draft.

PS Suite Ocean Custom Form 4.08 Release Notes

Version 4.08 of the PS Suite Ocean custom form contains the following improvements:

  • The "Attach" feature using Ocean's Ocean Attachment Exporter form is now more reliable and user-friendly when accessed using this form or the Ocean Toolbar, due to miscellaneous enhancements involving the interaction of these two custom forms.
  • A bug was fixed that sometimes prevented the from from uploading patients to Ocean when these patients had dozens of upcoming repeat appointments
  • The patient's primary provider is now shown in the Ocean Patients tab when this new form (or Cloud Connect) is used to upload the patient
  • Specific exclusions for automatic demographic updates have been included for some client sites

PS Suite Ocean eReferral Form 1.63 Release Notes

  • Pending tests of the category "Miscellaneous Diagnostic Test" will now populate correctly with the specifically-associated pending test category when a new eReferral is downloaded to the chart (e.g. "Colonoscopy").
  • An additional precautionary check is included that ensures all pending eReferral activity is conducted against the current patient chart (even when the chart changes in the midst of a network call)
  • Removed some extra prompts for the shared encryption key when opening an existing eReferral

PS Suite Ocean Toolbar 5.24 (Standard) and Ocean Toolbar (Minimized) Release Notes

The Ocean Toolbar v5.24 for PS Suite contains the following changes:

  • For CloudConnect clinics, this toolbar includes support for automatically setting additional demographics fields via the Ocean Temporary Note: the patient's suffix, Address 2 (residential address), chart number, and insurance number
  • For CloudConnect clinics, this toolbar will automatically refresh the chart when the "Chart out of date" message is shown due to the recent upload of an Ocean note
  • When a message is sent to the administrative staff for manual field updates, it now enforces a more intuitive sort order
  • The Attach button will now open the Ocean Attachment Exporter form in a more user-friendly popup window

PS Suite Ocean Attachment Exporter 2.02 Release Notes

Version 2.02 of the Ocean Attachment Exporter PS Suite custom form contains the following improvements:

  • If the user cancels at the file name prompt, the form will now automatically close and remove itself from the chart.
  • The message prompt for the file name has been changed to say, "Specify a file name to include this chart attachment:"
  • The form will now notify the Ocean Toolbar when the attachment upload is complete, which helps streamline the automatic flow where an attachment is selected and the Refer/Email button is clicked in the Ocean Toolbar. Ocean Toolbar v5.24 (in conjunction with this form) will proceed to open the Ocean webpage after the upload is complete.
  • An error is now shown when the Ocean eReferral form is included as an attachment (since it fails to render and was causing problems for one client)

PS Suite Ocean Custom Form 4.07 Release Notes

Version 4.07 of the PS Suite Ocean custom form contains the following improvements:

  • Appointment times are now included when the patient is uploaded to the portal. (In older versions of the form, when used by newer versions of PSS, the time would be excluded, resulting in midnight displaying as the appointment time.)
  • When sending a referral or emailing a secure message, this form gives the new attachment exporter form sufficient time to prompt for the file name before opening the browser window. (Previously the form would sometimes open the browser window immediately, prior to users specifying a file name, resulting in the attachment missing from the send dialog until the user returned to the EMR to complete this prompt.)
  • Manual demographic field updates for hospital EHR sites are now listed in an order that more closely mirrors the layout of the PSS Patients window, in an effort to simplify manual entry.
  • When the custom form is used to upload a patient, the member status is now uploaded as a textual description (e.g. "FHO Enrolled" instead of a number), consistent with CloudConnect.
  • When uploading patients to Ocean using the custom form, some additional fields are now included in the upload to facilitate use of the Patients tab in the Ocean Portal:
    • The primary provider name is uploaded, which enables the Provider dropdown filter in the Find Patient area in the Patients tab.
    • Provider names are included with the patient's appointments, which results in the patient's provider name displaying in the day sheet in the Ocean Portal
    • The indexed surname is included, which allows users to quickly find patients via surname in the Find Patient area in the Patients tab.

PS Suite Ocean Attachment Exporter 2.00 Release Notes

  • This major new version of the Ocean Attachment Exporter will upload attachments directly to Ocean, instead of exporting it as a file. Attachments are subsequently automatically included in Ocean secure message emails and eReferrals.
  • This change will make the process of including attachments more convenient for users by obviating the need to drag-and-drop or select files on the user's desktop. It also helps protect patient privacy by eliminating the risk of leftover residual files on client machines.

PS Suite Ocean Custom Form 4.06 Release Notes

Version 4.06 of the PS Suite Ocean custom form contains the following improvements. We recommend that any sites using eReferrals or sites using Ocean forms that pre-populate PSS custom forms upgrade to this latest version.

  • When clicking on Email, a background check for any existing 'green bar' note selections was broken by newer versions of PS Suite, leading to an error message. This check has been changed to work around the PS Suite issue.
  • A workaround has been added to fix a bug in newer versions of PS Suite that prevented custom form values from saving successfully (including Ocean eReferral custom form values)
  • The form will now present an error message when it is inserted directly into the chart (since it should only be presented as a popup dialog using a toolbar or the View Form menu item in PS Suite)
  • When clicking Import, a confirmation prompt is now presented to the user to ensure the correct chart is open

  • Fixed a bug that could result in the eReferral follow-up message being assigned to the wrong chart in rare circumstances where the patient's chart is left immediately after opening a new referral.
  • Fixed a bug that prevented the listing title from appearing when an eReferral is manually inserted in the chart

PS Suite Ocean eReferral Form 1.59 Release Notes

  • Pending test and pending consultation mapping has been greatly expanded to include a wide variety of Ocean health directory services. The majority of PS Suite's consultation, diagnostic imaging, and diagnostic test categories can now be populated with a corresponding Ocean eReferral health service.

    • For example, an MRI ordered in Ocean will map to an MRI diagnostic imaging category in PS Suite.

    • In some circumstances more specific mapping is also available; e.g. a referral for "MRI Brain" can map to "MRI Head" in PS Suite (but only if the referral's description has been updated by the referral form to include "head" or "brain")

  • Single-sign-on to Ocean is now handled automatically when a user clicks "Open" to view an existing referral.

The Ocean Toolbar v5.21 for PS Suite contains the following improvements. We recommend that all sites using eReferrals or custom form population upgrade to the latest version.

  • Additional safety checks are included to ensure a note is always downloaded into the correct chart (even in the event of a system malfunction or when the wrong chart is opened by the user)
  • Added a warning prior to importing Ocean Temporary Notes that are more than 30 days old. (This option gives users the opportunity to disregard these old notes rather than processing them and possibly overwriting newer demographic values)
  • Custom secretary message groups as now supported (Note: v4.04 or newer versions of the Ocean custom form are required to define custom secretary message groups)

PS Suite Ocean Custom Form 4.04 Release Notes

Version 4.04 of the PS Suite Ocean custom form contains the following improvements. We recommend that any sites using eReferrals or sites using Ocean forms that pre-populate PSS custom forms upgrade to this latest version.

  • Sites can now specify a custom secretary message group for secretaries or clinic administrators to follow up on changes to the patient's demographics that were triggered by Ocean. The default has always been "secs", the standard secretary messaging group. It can be changed to a custom value (e.g., "secA") by clicking on the Settings button and choosing Advanced Settings -> "Secretary Message Group Initials".

  • The form will now upload all of the patient's upcoming appointments into Ocean, instead of solely the immediate upcoming appointment, to facilitate review within the Ocean day sheet and other areas of Ocean.
  • Two-factor authentication with Ocean is now supported.
  • An incompatibility with PS Suite's "spoken language" that could lead to this value failing to update has been corrected.
  • Miscellaneous improvements were made to error handling

PS Suite Ocean Custom Form 4.03 Release Notes

Version 4.03 of the PS Suite Ocean custom form contains the following improvements. We recommend that any sites using eReferrals or sites using Ocean forms that pre-populate PSS custom forms upgrade to this latest version.

  • Improved the reliability of automatic PS Suite custom form insertion and population based on Ocean eForm answers (particularly when more than one custom form is added at a time, such as two referral forms)

  • For PSS clinics that have more than one site, the Ocean site name will now show alongside the site number once the site has been authenticated or re-authenticated.
    • Note: for existing sites, in order for the site name to display, users must re-authenticate by pressing the Settings button, then Advanced->Reset Ocean Authentication. This step is required one time only.
  • The appointment type of appointments is now included with custom form-based patient uploads. This field allows clinics to use tablet rules that make use of the "reasonForVisit" keyword for both CloudConnect uploads and custom form uploads (previously the custom form would erase this value in Ocean when a patient was re-uploaded)

PS Suite Ocean eReferral Form 1.56 Release Notes

  • The "Referral Sent" summary note generated by the Ocean eReferral form will be created as a discrete note (previously it would sometimes append to today's progress note). It will also be backdated to the date the referral was sent if necessary. It does this by setting the note's date to match the Ocean eReferral custom form's note date (which should match the date of the referral).
  • The final referral completion note now includes the referrer's name and the referral date (note that this functionality depends on the new Ocean server release tentatively scheduled for later this month).

PS Suite Ocean Custom Form 4.00 Release Notes

  • For sites not using Ocean Cloud Connect: This release has a minor change to backdate a downloaded note if necessary to the date the note was last created or modified. (Typically an Ocean note is downloaded and dated the same day, but occasionally a note may be downloaded days or even months later if the chart is not opened after the note is created in Ocean.) Note that this functionality will not be available until the next Ocean server release later this month.
    • (For Cloud Connect users, the note is uploaded separately to PS Suite by the Ocean Cloud Connect server, typically on the same day)

PS Suite Ocean Toolbar 5.17 (Standard) and Ocean Toolbar (Minimized) Release Notes

  • For sites not using Cloud Connect, the toolbar will now poll more frequently when the user selects an Ocean action for a patient. For example, if a user selects the Email or Refer button in the toolbar, the toolbar will poll every 5 seconds for that patient instead of the usual 30 seconds (since the likelihood of a note that needs to be downloaded soon afterward is high). In particular, this polling will help ensure that the notes generated by referrers or secure message senders will be downloaded to the chart promptly after the action is completed, rather than days later when the chart is re-opened. A related bug that caused the toolbar to stop polling after 5 minutes has been fixed.
  • For Cloud Connect users: Fixing a bug that sometimes prevents the "Ocean Temporary Note" from importing when the chart is first opened due to a checkout conflict. The toolbar will now attempt 3 times over the next two minutes to import an "Ocean Temporary Note" before giving up.
  • For Cloud Connect users: The toolbar will now set the date any imported custom forms to match the date of the Ocean Temporary Note. This ensures that custom forms populated by Ocean (including the Ocean eReferral form) will have the correct date, even when the Ocean Temporary Note import is done much later when the chart is opened.


PS Suite Ocean Custom Form 3.98 and 3.99 Release Notes

The PS Suite Ocean custom form v3.99 contains the following changes (note that v3.98 was not publicly released):

  • This version of the Ocean custom form supports the shortcut used by the Ocean eReferral Appointment Notification custom form to assist specialists with sending appointment notifications to the referrer based on their PSS appointment schedule. (Please see the Ocean eReferral Appointment Notification custom form documentation for more information.)

  • Fixed a bug that could prevent a custom form from populating based on eForm answers when two different eForms are used to populate two different custom forms as part of the same user session. For example, if two custom forms are added to the chart, the first custom form would be added to the chart, but iti would fail to set its answers based on the eForm values.
