OSCAR: Guide to Using Ocean with OSCAR

The OSCAR eForm allows you to select an Ocean eForm directly from the appointment screen from your Ocean eForm library and/or your list of eForm Favourites for your patient to complete. Once the patient has completed your form(s), you can download the resultant clinical note in the corresponding patient's chart in your OSCAR EMR.

  1. Add Ocean eForm(s).

    • You can use Ocean without ever having to go into the Ocean Portal. Adding an eForm through Ocean is done via the OSCAR eForm, which you can access in three different ways:

  • The first way is to use the shortcut located on a patient's appointment on the OSCAR Schedule.
  • This will open up the Ocean eForm in a new tab, where you can add forms by selecting the “Add Forms” button.
  • Search for the form(s) you want to add on the left side or select one of your pre-configured favourites. Add an eForm by clicking on its title.
  1. Load the patient's forms on an Ocean Tablet.

    • Once your form(s) have been selected for your patient, enter the 3-digit patient reference number shown on the Ocean eForm and/or the Ocean Toolbar into your Ocean Tablet.
    • This will pull up all the forms that have been queued up for this specific patient.

  • The toolbar is used to download the eForm note. Because the status of the eForm is tracked live by the toolbar, you can view the progress of the form as it is being completed.
  • Once the status reaches “Completed, waiting download”, simply click “Download”.
  • The generated note will appear as a new note, where you can format it however you like. Once finished, please ensure you press the save icon, otherwise the note will be lost.

OSCAR: Guide to the Ocean eForm

  • The Ocean eForm for OSCAR will allow you to access Ocean directly from the appointment screen (see screenshots below). This article will describe the various Ocean features that can be accessed from the Ocean eForm. For instructions on how to install the Ocean eForm, please refer to "Download & Install the Ocean eForm & Toolbar".
3-Digit Patient Ref
The 3-digit number to the right of the Ocean logo is the patient's Ocean reference number. When this number is entered into the Ocean Tablet app, it will subsequently pull up any eForms that have been queued for this specific patient (in addition to eForms that are triggered based on Tablet Rules).
Add Form
This will allow you to search for and select any form(s) that exist in the eForm library. Once you've selected your form(s), you can enter the patient ref into your tablet for the patient to complete.
Email Patient
This will allow you to send a secure message or web questionnaire for the patient to receive via email to complete at home. Note that there is a separate fee for online messaging (please refer to our pricing plans). Settings
This requires you to have an administrative Ocean account. Once you enter your Ocean credentials, you will be able access your site's admin settings, including your initial Ocean settings configuration, resetting your Ocean credentials, and accessing advanced settings (if needed).
Open Form Queue
This will allow you to open and complete an eForm in a web browser on your own computer. Note that if you do not have an Ocean Online subscription, a per-form completion fee will apply.
Find Health Service
This will allow you to access the Ocean eReferral Network directly, where you can send and/or receive eReferrals, if you are set up as an Ocean eReferrer. For more information about Ocean eReferrals, please visit the Ocean eReferral Network website.

OSCAR: Guide to the Ocean Toolbar

The Ocean toolbar for OSCAR will allow you to use Ocean directly from a patient's Encounter screen (see screenshot below). This article will describe the various Ocean features that can be accessed from the Ocean toolbar. For instructions on how to install the Ocean toolbar, please refer to "Download & Install the Ocean eForm & Toolbar".

3-Digit Patient Ref

Add Form

Patient Summary
This will provide a comprehensive summary view of the status of a patient's recent interactions through Ocean, including any active eReferrals and eConsults, the ability add and view any forms queued for a patient, a summary of recent Ocean notes, and the ability complete forms in a browser window on behalf of the patient by clicking on a queued form name.
Email
This will allow you to send a secure message or form for the patient to receive via email to complete at home. To learn how to send emails to patient through Ocean, please refer to "Basic Patient Messages Workflow".
Import
This will allow you to import any clinical notes and/or eReferrals generated by a patient completing form(s) on a tablet as a new patient. To learn how to do these imports, please refer to "Importing eRequests from the Ocean Portal to an EMR".
Refer
This will allow you to access the Ocean Health Services directly, where you can send and/or receive eReferrals, if you are set up as an Ocean eReferrer. More information about Ocean eReferrals can be found on the Ocean eReferral Network website.
